What is a Project?
• Project Defined
– A complex, non routine, one-time effort limited by
time, budget, resources, and performance
specifications designed to meet customer needs.
• Major Characteristics of a Project
– Has an established objective.
– Has a defined life span with a beginning and an end.
– Requires across-the-organizational participation.
– Involves doing something never been done before.
– Has specific time, cost, and performance requirements.

What is a Project?
• A project is “a temporary endeavor undertaken
to accomplish a unique product or service”
(PMBOK® Guide 2000, p. 4)
• Attributes of projects
– unique purpose
– temporary
– require resources, often from various areas
– should have a primary sponsor and/or customer
– involve uncertainty

October, 2023 Project Management, Lecture 1 9

What is a Project?
Temporary:
• Definite beginning and end
• End is reached when the project objectives have been achieved
• Market window
• Ad hoc team

Unique:
• Something new
• Size does not matter: New airliner
• Requires progressive elaboration
– Progressive
• Proceeding in steps-Continuing steadily in increments
– Elaboration
• Worked out with care and detail - Developed thoroughly

Some Types of Projects

• Developing or acquiring a new or

modified information system
• Constructing a Building
• Running a campaign for political office
• Implementing a new business

October, 2023 Project Management, Lecture 1 11

Classifications of the projects

According to Complexity:
• Easy: A project is classified as easy when the relationships between tasks are
basic and detailed planning. A small work team and a few external
stakeholders.
• Complicated: There are many task interdependencies. This type of project
requires proper planning. Here, the importance of project management and
how an effective tool could help to meet project constraints.

According to the Source of Capital:

 Public: Financing comes from Governmental institutions.
 Private: Financing comes from businesses or private companies.
 Mixed: Financing comes from a mixed source of both public
and private funding.

Classifications of the projects

According to Project content:
• Construction: These are projects that have anything to do with
the construction of civil or architectural work. Construction is
an engineering project and the process of planning its execution
must be done to achieve the desired outcome.
• IT: Any project that has to do with software development, IT
system, etc.
• Business: These projects are involved with the development of
a business idea, management of a work team, cost management,
etc., and they usually follow a commercial strategy.
• Service or product production: These are projects that involve
the development of an innovative product or service, design of a
new product, etc.
October, 2023 Project Management, Lecture 1 13

Classifications of the projects

According to those Involved:
• Departmental: When a certain department or area of an
organization is involved.
• Internal: When a whole company itself is involved in the
project’s development.
• External: When a company outsources external project
manager or teams to execute the project. This is common in
digital transformations, process improvements and strategy
changes

Classifications of the projects

According to its Objective:
• Production: Oriented at the production of a product or
service taking into consideration a certain determined
objective to be met by an organization.
• Social: Oriented at the improvement of the quality of life
of people.
• Educational: Oriented at the education of others. This is
always done to make them better.
• Community: Oriented at people too, however with their
involvement.
• Research: Oriented at innovation and the gaining of
knowledge to enhance the operational efficiency of an
organization.

What is Project Management?

 Project management is “the application of knowledge, skills,
tools, and techniques to project activities in order to meet
project requirements” (PMI*, Project Management Body of
Knowledge (PMBOK® Guide), 2000, p. 6)

 The art of organising, leading, reporting and completing a

project through people .

 The project management team is responsible for determining

what ideas and practices are appropriate for any given
project
*The Project Management Institute (PMI) is an international professional
society. Their web site is www.pmi.org.

Advantages of Using Formal Project

Management
• Better control of financial, physical, and human
resources
• Improved customer relations
• Shorter development times
• Lower costs
• Higher quality and increased reliability
• Higher profit margins
• Improved productivity
• Better internal coordination
• Higher worker morale

October, 2023 Project Management, Lecture 1 19

The Importance of Project

Management
• Factors leading to the increased use
of project management:
– Compression of the product life cycle
– Knowledge explosion
– Triple bottom line (planet, people,
profit)
– Corporate downsizing
– Increased customer focus
– Small projects represent big problems

Benefits of an Integrative Approach

to Project Management
• Integration (or centralization) of project management
provides senior management with:
– An overview of all project management activities
– A big picture of how organizational resources are used
– A risk assessment of their portfolio of projects
– A rough metric of the firm’s improvement in managing
projects relative to others in the industry
– Linkages of senior management with actual project
execution management

October, 2023 Project Management, Lecture 1 21

9 Project Management Knowledge Areas

• Knowledge areas describe the key competencies

that project managers must develop
– 4 core knowledge areas lead to specific project
objectives (scope, time, cost, and quality)
– 4 facilitating knowledge areas are the means through
which the project objectives are achieved (human
resources, communication, risk, and procurement
management)
– 1 knowledge area (project integration management)
affects and is affected by all of the other knowledge
areas

Project Management Framework

October, 2023 Project Management, Lecture 1 23

The Triple Constraint

• Every project is constrained in different ways by

its
– Scope goals: What is the project trying to
accomplish?
– Time goals: How long should it take to complete?
– Cost goals: What should it cost?
• It is the project manager’s duty to balance these
three often competing goals

How Project Management Relates to

Other Disciplines

• Much of the knowledge needed to manage

projects is unique to the discipline of project
management
• Project mangers must also have knowledge
and experience in
– general management
– the application area of the project

Project Stakeholders
• Stakeholders are the people involved in or
affected by project activities
• Stakeholders include
– the project sponsor and project team
– support staff
– customers
– users
– suppliers
– opponents to the project

October, 2023 Project Management, Lecture 1 29

Stakeholder Engagement process

Sponsor:
• A sponsor is a person or group who provides supplies and support for
the project and is liable for assisting success. He may be external or
internal to the organization.
Customers and Users:
• Customers are the people or organizations who will approve and
manage the project’s product, service, or result.
• Users, as clear from the name, use the product.
• Suppliers:
 Traditionally, suppliers might have been considered to be
organizations contracted to provide physical supplies such as goods,
materials, labors, and so on,

October, 2023 Project Management, Lecture 1 31

The Challenge of Project Management

• The Project Manager
– Manages temporary, non-repetitive activities and
frequently acts independently of the formal
organization.
• Marshals resources for the project.
• Is linked directly to the customer interface.
• Provides direction, coordination, and integration
to the project team.
• Is responsible for performance and success of the project.
– Must induce the right people at the right time to
address the right issues and make the right decisions.

10/4/2023

Integrated Project Management

Systems
• Problems resulting from the use of piecemeal project
management systems:
– Do not tie together the overall strategies of the firm.
– Fail to prioritize selection of projects by their
importance of their contribution to the firm.
– Are not integrated throughout the project life cycle.
– Do not match project planning and controls with
organizational culture to make appropriate adjustments
in support of project endeavors.

October, 2023 Project Management, Lecture 1 33

Major Functions of Portfolio

Management
• Oversee project selection.
• Monitor aggregate resource levels and skills.
• Encourage use of best practices.
• Balance projects in the portfolio in order to represent a risk
level appropriate to the organization.
• Improve communication among all stakeholders.
• Create a total organization perspective that goes beyond
thinking.
• Improve overall management of projects over time.
