CHAPTER I

The Problem and It’s Background

Introduction

As the world advances further its technology, papers are continuously replaced by digital

records. A process is often considered progress. The transition from physical sheets made from

wood pulp to the binary language written in code may be deemed modularization, as the

development of countries are often measured by the extensivity of technological reliance in its

communal processes.

Our chosen locale, "Km35 Quirino Highway, Brgy Sto. Cristo, SJDM, Bulacan," was

selected strategically to assess the applicability and impact of our proposal for a web and mobile

renting and monitoring system with QR code technology for payments. This locale's significance

lies in its prime location along a major transportation route, emphasizing the critical necessity for

efficient property management and streamlined rental processes, given its accessibility and

potential for high property turnover. By focusing on this specific locale, we gain valuable

insights into the dynamics of Brgy Sto. Cristo in San Jose del Monte, Bulacan, including local

governance regulations, market conditions, and community demographics, all of which

significantly influence the utility and adoption of our system. Tailoring our solution to address

the unique needs and preferences of this locale demonstrates our commitment to enhancing

property management practices, simplifying rental transactions, contributing to the region's

economic growth, and ensuring compliance with pertinent local regulations, making it a suitable

setting for evaluating the utility of our proposal.

Therefore, in the matter of rental transaction records and payment tracking, developing,

and incorporating a system which provides monitoring assistance will, going by the said

argument, improve the quality and ease of managing a rental property business.

Keeping track of the tenants unpaid by a huge time margin using only a written logbook

may prove to be difficult, as such a method may be limiting. A digital system for records offers a

more elaborate and inconvenient process, which this paper aims to explain.

The existing study on Sales and Monitoring Management System represents a

comprehensive investigation into the development and implementation of a digital system aimed

at optimizing sales processes and enhancing monitoring capabilities within various industries.

This study encompasses the design, functionality, and effectiveness of the system, which

typically includes features such as inventory management, sales tracking, customer relationship

management (CRM), and real-time monitoring tools. The research delves into the impact of such

systems on business efficiency, revenue generation, customer satisfaction, and overall

operational effectiveness. Additionally, it may explore the integration of advanced technologies,

data analytics, and user-friendly interfaces to ensure seamless adoption and utilization by

businesses. The findings of this study provide valuable insights into the benefits and challenges

associated with Sales and Monitoring Management Systems, serving as a valuable resource for

organizations seeking to improve their sales processes and monitoring capabilities in an

increasingly digital and competitive landscape.

Background of the Study

Renting properties, whether commercial or residential, is a complex process that involves

multiple stages and stakeholders. Property management companies play a crucial role in

facilitating the rental process by managing the properties and ensuring compliance with rental

agreements. However, managing rental properties can be a challenging task, especially when it

comes to monitoring tenant activity and processing rental payments.

Sing Kollective Property Leasing is a property management company that recognizes the

challenges involved in managing rental properties. To address these challenges, they propose

developing a web and mobile renting and monitoring system that incorporates QR code

technology for payments. The proposed system aims to provide a streamlined rental experience

for tenants while improving the management and monitoring of rental properties for property

managers.

The incorporation of QR code technology for payments within the proposed system

represents a noteworthy advancement in the realm of property management. QR codes have

gained substantial traction in recent years, finding applications across various sectors, including

marketing and access control. In the context of property management, QR codes provide a secure

and streamlined method for handling rental payments.

The proposed system will allow tenants to browse and make rental payments, and report

any maintenance issues through the web or mobile application. Property managers can use the

system to monitor tenant activity, track rental payments, and receive notifications when

payments are due or late. With the incorporation of QR code technology for payments, the

system will provide a convenient and secure way for tenants to make payments, reducing the risk

of fraud and increasing customer satisfaction.

The proposed web and mobile renting and monitoring system with QR code technology

for payments has the potential to revolutionize the property management industry by providing a

more streamlined and efficient rental experience for tenants while improving the management

and monitoring of rental properties for property managers. This study aims to develop and

evaluate the effectiveness of the proposed system for Sing Kollective Property Learning.

Statement of the Problem

The difficulties involved in managing rental properties for property management

organizations are the broad issue this study attempts to address. The renting process can be

complicated, comprising a number of steps and parties, such as landlords, property managers,

and tenants. Dissatisfaction among stakeholders and a decline in the overall efficiency of the

renting process can be brought on by ineffective rental payment systems, and security concerns.

Certainly, here are some questions aligned with the general problem statement:

1. How do property management organizations currently handle the complexities

associated with managing rental properties, including the involvement of multiple

stakeholders like landlords, property managers, and tenants?

2. What are the key factors contributing to dissatisfaction among stakeholders involved in

the rental process, and how do these factors impact the overall efficiency of property

management?

3. In what ways have existing rental payment systems proven to be ineffective, and how

do these inefficiencies affect the rental process?

4. What security concerns are prevalent in the current property management practices,

particularly related to rental payment transactions?

5. How can the development and implementation of a web and mobile renting and

monitoring system with QR code technology for payments address the challenges posed

by the management of rental properties, including stakeholder dissatisfaction, process

inefficiencies, and security issues?

6. What specific benefits and improvements can be expected from the proposed system in

terms of streamlining rental property management practices and enhancing stakeholder

satisfaction?

These questions aim to guide the research and provide a framework for addressing the

challenges associated with rental property management and the proposed solution.

Objectives of the Study

General Objective:

The overarching goal of this study is to create a rental management system that

significantly enhances the administration and supervision of rental properties. This system will

streamline the rental procedure, integrate QR code technology for rental payments, elevate the

tenant experience, and ultimately improve the overall efficiency of the rental property

management process. The study aims to address the operational challenges and difficulties faced

by rental property management firms, with a particular focus on Sing Kollective Property

Leasing.

Specific Objectives:

● Develop a Web and Mobile Rental and Monitoring System - Create a comprehensive
web and mobile platform tailored specifically for Sing Kollective Property Leasing. This
platform will simplify the rental process and enhance the management and monitoring of
rental properties.
● Implement QR Code Technology for Rental Payments - Integrate QR code technology
into the system to facilitate a more efficient and secure rental payment process for both
tenants and property managers. This enhancement will streamline the payment collection
process.
● Enhance Visibility into Tenant Activity - Improve the system's capabilities to provide
better insights into tenant activity, allowing for more effective monitoring and
management of rental properties. This increased visibility will aid in maintaining
property compliance and security.

● Enhance Overall Efficiency of the Rental Process - Minimize delays and errors in

processing rental agreements and payments, ultimately improving the efficiency of the

rental process. This objective will contribute to tenant satisfaction and operational

effectiveness.

Significance of the Study

The system to be made by the researchers is primarily focused on the landlords managing

tenants. The results of the study will be great benefit to the following:

Landlords. This research will help the landlords to be familiar with and acknowledge this new

kind of monitoring system, and it will also determine how convenient and easy to use this

system. Furthermore, it will serve as their record regarding the tenant’s rent bills, electricity and

water bills.

Clients. This study will help the clients enhance their experience and easily access information

regarding their property concerns, as well as always being updated and notified of their payments

and due dates.

Industry. This research will better clarify the state of the industry in the Philippines. Therefore,

this paper will contribute to decision-making on which path the modernization should take.

Future Researchers. This study will improve their understanding in advanced technology by

developing a system and they will become more conscious of the existence and benefits of new

technology.

Scope and Delimitation

Scope

The objective of this research project is to develop a comprehensive web and mobile

system that encompasses all aspects of rental property management, including leasing, payments,

monitoring, QR code integration, and reporting. The primary focus is on optimizing the

operations of Sing Kollective Property Leasing. The project's aim is to leverage cutting-edge

technological features, such as QR code payment technology and online leasing and monitoring

systems, to elevate the efficiency and convenience of rental property management processes.

This initiative seeks to provide an innovative solution to the challenges associated with rental

property management.

Furthermore, this study will The sample selected for this study was specifically landlords

managing tenants pursuing an easy way of managing renting and monitoring system for Sing

Kollective Property Leasing. The results obtained in this study may not be applicable to services

that is not related to this business.provide valuable insights into the opportunities and challenges

related to the integration of technology in the administration of rental properties.

Limitations

Internet Connection Dependency

The system's functionality and access to its features are dependent on an internet connection.
Users can only utilize the system's features when they have an active internet connection. Offline
access or functionality is not available in this version of the system.

Compatibility with Android Platform

The proposed system is designed exclusively for Android devices. It can only be installed and
run on Android smartphones and tablets. Cross-platform compatibility, such as iOS or other
operating systems, is not within the scope of this version of the system.

Definition of Terms

Bill: A written document generated by a service provider or seller that itemizes the specific

goods or services rendered, including their quantity, and specifies the amount owed by the

recipient. Bills typically include a due date for payment, facilitating the financial transaction.

Landlord or Lessee:

- Landlord: A person or entity who legally owns residential or commercial property and enters

into a contractual agreement with a tenant to allow them to occupy and use the property in

exchange for periodic rent payments.

- Lessee: A person or entity who enters into a contractual agreement with a landlord to occupy

and use a residential or commercial property in exchange for periodic rent payments.

Mobile: Refers to any portable electronic device or technology that enables users to access and
utilize information, communication, or services while on the move, often powered by battery and
featuring wireless connectivity.

Monitoring: The systematic and continuous process of collecting, analyzing, and recording data
or observations regarding a particular subject, often using specific tools, methods, or technology
to ensure accurate measurement and control.

Rent: A recurring financial transaction in which a tenant makes periodic payments to a landlord,
typically on a monthly basis, as part of a contractual agreement that allows the tenant to occupy
and use a specific property and its amenities.

System: A collection of interconnected components or objects that work together in a


coordinated and organized manner to perform specific tasks or functions, often characterized by
inputs, processes, and outputs.

Tenant: An individual or entity who legally occupies and uses a residential or commercial
property owned by a landlord under a contractual agreement that specifies the terms, duration,
and financial obligations associated with the occupancy.

Web: The World Wide Web (WWW) is a global system of interconnected documents and
multimedia content that can be accessed via web browsers over the internet. It is built on the
hypertext transfer protocol (HTTP) and comprises websites, web pages, and online resources
linked through hyperlinks.

Review of Related Literature

Related Technologies

Some of the related technologies that may be used in the development of the web and

mobile renting and monitoring system for Sing Kollective Property Leasing with QR code for

payment include mobile application development frameworks, web development frameworks,

database management systems, QR code payment technologies and cloud hosting services.

Mobile application development frameworks such as React Native and Flutter can be

used to create mobile apps for tenants and property managers to access and manage rental

properties. When implementing these frameworks, related sampling techniques should be

employed to ensure app usability and user satisfaction. Web development frameworks like Ruby

on Rails and Django can be utilized to develop the web-based interface of the rental property

management system, and usability testing can be conducted to enhance the user experience.

Database management systems like MySQL, Oracle, and MongoDB can be used to store and

manage data related to rental properties, tenants, and payments, with data sampling methods

applied for quality assurance. QR code payment technologies such as PayPal and Stripe can be

integrated with the rental property management system to enable tenants to make rent payments

using QR codes, requiring rigorous testing of the payment processing workflow. Finally, cloud

hosting services like AWS and GCP can be used to host the rental property management system,

providing scalability and flexibility in managing the system and data, necessitating load testing

to ensure optimal performance under varying workloads.

Mobile operating systems such as iOS and Android are also related technologies that may

be used in the development of the web and mobile renting and monitoring system for Sing

Kollective Property Leasing with QR Code for payment. The system can be developed as a

native mobile application for both iOS and Android platforms, enabling tenants and property

managers to access and manage rental properties on their mobile devices. The mobile app can

also integrate with the QR Code payment technologies, providing a seamless and secure payment

experience for tenants. The development of the mobile app may require the use of specific

mobile development tools and languages, such as Xcode and Swift for iOS and Android Studio

and Kotlin for Android.

Foreign Literature

The success of property management relies heavily on efficient and effective

management practices. Over the years, technological advancements have transformed the way

proper managers operate and has led to the emergence of various property management software

and systems.

According to Daniel Fehrm (2020) a web application used by real estate brokers and is

primarily used on devices with larger screens but it can also be used with a mobile phone.

However, from a user perspective the mobile version is difficult to use since real estate brokers

have to spend a lot of time searching for the feature they are looking for. This thesis aims to find

a possible solution by creating a new mobile view that contains shortcuts to the features the real

estate brokers really need when they must use their phone. This is done by first identifying the

most important features by sending out a survey to a group of sing collective property leasing

owner and tenants users. With those features in place, the next steps are to create a prototype and

evaluate how many fewer clicks and how much less time it takes to reach a specific feature with

the prototype. From the survey we identify 7 features that are considered important to have in the

new mobile view. From the prototype we conclude that reaching the 7 features takes one click

and less than one second to reach, which is a large decrease compared to the current solution.

Cloud-Based Property Management Software: “What is it and Why Do You Need It?” by

Samson Varghese:

This article focuses on the advantages of cloud-based property management software. It

highlights that such software enables property managers and landlords to access real-time data

from anywhere, enhancing their ability to monitor and manage properties effectively. This study

emphasizes the benefits of improved data security offered by cloud-based solutions, as data is

stored securely on remote servers. Additionally, the article emphasizes that cloud-based software

can increase operational efficiency by automating various property management tasks.

“Smart Homes: A Comprehensive Review on Technology and Automation in Rental

Properties” by Ceyhun Ozgur and Tugce Ulutas:

This article examines the potential of smart home technology in rental properties. It explores

how implementing smart home devices and automation systems can enhance the rental

experience for tenants and improve the overall management of rental properties. This study

highlights that features like automated temperature control, smart locks and security systems can

increase tenant satisfaction, provide convenience, and reduce maintenance costs for property

owners. It emphasizes the importance of integrating smart home technology seamlessly into

rental properties to maximize its benefits.

“Design and Implementation of Rental Management System Based on the Internet of

Things” by Yanzhao Zhang and Yacheng Yang:

This article focuses on the application of the Internet of Things (IoT) in rental management

systems. It proposes a rental management system that utilizes IoT technologies such as sensors,

automation systems, and data analysis. The study emphasizes that IoT can significantly improve

property monitoring and maintenance processes by enabling real-time data collection, analysis,

and automated responses. It also highlights how IoT-based systems can facilitate a more efficient

and secure payment process for tenants. The article emphasizes the potential of IoT in enhancing

the overall rental management process.

Local Literature

According to Monteverde Avigail (2022) Businesses including the promotion of rental

properties, utilized the advantage of using technologies to attract more clients. Most of them use

a website to easily advertised their properties online. Hence, there were lots of existing system

developed to find hotels and apartments online, without considering other affordable rental

houses, such as boarding houses and bed spacers. Rental House Smart Finder using Rapid

Application Development basis for Evaluation of ISO-205010 was developed to assist the clients

in finding affordable variations of rental houses such as boarding house, dormitories, hotels and

others. The system can also provide necessary information of specific rental house properties and

even gave an alternative option by providing near rental property listings using kilometer

distance. The system can also accept reservation request from the clients.

According to Oldewarris (2018), the rental industry is of a great benefit for the lower-

class of manila. They serve as a temporary home for impermanent residence. The paper

Oldewarris published provides a picture of the rental industry in the city of Libis, Manila, and

discusses about solving some issues that exist in the area.

Bernardo, Alayaay, Cabardo, et al. (2018) developed RenTahanan, an advertisement

platform for rental units or houses. The platform enabled rental owners to post their unit and its

location to expand their reach with clients. The survey in their paper concluded that their

demographic users were satisfied and thought it useful.

Synthesis

The researchers assert that each piece of literature and study cited in this research are

comparable to the current study, and they relate and distinguish the research based on how their

transaction differs from the proposed study’s transaction, procedure, and design. In the context of

our topic, which is the development of a rental and monitoring system for Sing Kollective

Property Leasing, we can draw parallels to the literature’s focus on inventory management

systems.

While the cited literature primarily discusses inventory management systems, it aligns

with our research as both inventory management and rental management involve the tracking

and monitoring of assets or resources. The similar conclusion reached in the literature, that an

inventory management system is vital for a business’s day-to-day operation, can be extended to

our research. It highlights the importance of an efficient rental and monitoring system for Sing

collective Property Leasing in effectively managing their rental properties and ensuring smooth

operations.

Moreover, just as the literature emphasizes that both manual and electronic inventory

management systems have benefits and drawbacks, out research acknowledges that different

approaches, such as traditional property management methods versus digital solutions, may have

their own advantages and limitations. This further reinforces the need for a comprehensive and

well-designed rental and monitoring system tailored to the specific requirements and objectives

of Sing Kollective Property Leasing.

By drawing on the existing literature and its conclusions, their research builds upon the

understanding of the significance of inventory management systems and extends it to the domain

of rental property management. It highlights the necessity of an efficient and well-implemented

rental and monitoring system to optimize the operations and success of Sing Kollective Property

Leasing. In comparison to previous studies, their findings underscore the heightened importance

of such a system in the context of rental property management.

This System Flow Diagram represents the flow of actions and decisions in the process of

renting and monitoring a property using a web and mobile system with QR code payment. The

diagram starts with the user requesting property information and goes through various steps such

as submitting a rental application, processing the application, generating a lease agreement,

requesting payment via QR code, updating payment status, activating real-time monitoring (if

enabled) and sending alerts and reports.

CHAPTER III

Methodology

This chapter discussion was centered on the approaches taken by researchers to conduct

their studies in order to systematically respond to the particular questions they were asked to

investigate. Specifically, the research design, population and sample, research instrument, data

gathering procedure, and statistical tool used fordata analysis are explained in this chapter.

Research Design

A research design also called a research strategy, is a plan to answer a set of questions

(McCombes, 2019). It is a framework that includes the methods and procedures to collect,

analyze, and interpret data. In other words, the research design describes how the researcher will

investigate the central problem of the research and is, thus part of the research proposal. In this

study, it involves a mixed-methods approach combining qualitative and quantitative data

collection methods, including interviews, focus groups, observations, and surveys. Purposive

sampling will be used to select participants, and data analysis will involve thematic analysis for

qualitative data and statistical analysis for quantitative data.

Population and Sample of the Study

The population of the study includes tenants, property owners, property management

companies, and users of similar rental management systems. The sample will consist of a

specific number of individuals, such as 30 tenants, 5 property owners, selected through purposive

sampling to represent the larger population and provide insights into their experiences and

preferences.

Research Instrument

In gathering data for this study, the researchers used different tools or instruments and

these are survey, interview, observation and focus group.

Data Collection

Data collection is the process of gathering information on variables of interest from a

sample of research participants.

● The first thing the researcher does is make an observation of the sing kollective property
leasing and study the problems of their business.
● Second, the researchers conduct an interview and with the owner as well as the tenant of
sing collective property leasing company so that they get a sense of the business
problems and can help them find a solution.
● The researchers also conducted a survey questionnaire that the owner and the tenants of
sing collective property leasing could easily understand and answer in a specific way
● Third, the researchers will compile and organize the responses of the owners and renters
of sing kollective property leasing since they are crucial to the rest of their research study.
● Fourth, after the data-gathering interview, the researchers decided to propose a web-and-
mobile-based system for their business that the owners and tenants might benefit from.
● And lastly, in gathering data the researchers used a qualitative method in collecting and

analyzing data from our target respondents, which was chosen as the focus of the

research study.

Statistical Method

The term methodology means the technique and procedure of the system adopted for

conducting a research study. It shows how data will be collected and the tools for collecting data,

system methodology, the proposed system input and output, users and systems development

tools. System development is a technique that is used to show how the proposed system will be

developed. In this case, the methodology used will be an Agile SDLC. It is included in the stages

that the developer will use when developing the system.

Methodology of Study

The Agile SDLC, or the Agile Software Development Life Cycle, refers to the iterative
approach to delivering a software product. It aims to deliver functional software products in
small increments while incorporating feedback and making adjustments as necessary. The
proponents used this methodology because of the fact that the software can be continuously
upgraded throughout the development process.

In this phase the proponents will take time to define and plan the gathered requirements

from the client before dividing it into development. After analyzing, proponents can determine

what type of solution or system would meet those needs outline the requirements, and set up the

development process. Requirements definition is the most crucial part of this project. A

requirement is a description of what a system should do (Lutz & Woodhouse, 1997).

Design

When the proponents define the requirements, the work begins. Proponents will start

working on their project, which aims to deploy a working Inventory Management System. The

product will undergo various stages of improvement, so it includes simple, minimal

functionality.

Development

This phase involves converting design and requirements into executable programs, the

proponents will begin developing a system. The prototype is iteratively modified to respond to

initial design for clients; requirements.

Testing

In this phase, the proponents and the client examine the developed system’s performance

and look for the bug. When the designing and the development phase is done the proponents and

the client or users may judge whether or not the system meets their expectations. If the result

from the partial test satisfactory, then a change in the requirements, design and revised system

are carried out.

Deployment

In this phase, the proponents issue a product for the users work environment, the system

will be used by the store owner. The delivered system should encompass the needed

functionality and the approved system qualities as dictated by the users.

Maintenance

After deployment of the system, the maintenance phase will start as the proponents knew

that there would still be updates to maintain the system more stable and more efficient.
