MS Project Integration with Project
Management 5.0 – General

1.For using the MS Project Integration of Project Management first of all


the field assignments for import and export have to be configured

2.The standard Customizing of Project Management 5.0, which always


exists in client 000 of the Project Management system, contains
predefined typical field assignments

3.Those standard field assignments can be copied automatically or


manually into other clients of the Project Management system

4.The standard field assignments can be changed for a customer specific


MS Project Integration

Additional Configuration for MSP Server
integration

Navigate in customizing of SAP Portfolio and Project Management to the IMG


activity “Microsoft Project Server Integration” under Common Functions ->
Import and Export of Project Data.

Create a RFC connection to the MS Project Server by using connection type


“G”

Additional Configuration for MSP Server
integration

Define the logical port:

1. Enter the proxy class in the Proxy Class field.

2. Enter the name of the logical port in the Logical Port field.

3. Enter a suitable description of the logical port in the Description field.

4. On the Call Parameters tab page, choose HTTP Destination and select

the RFC destination you configured beforehand from the input help.

5. Choose Save.

Additional Configuration for MSP Server
integration

1. Choose New Entries.

2. Enter the name of the web server alias and the web server address.

3. Set the following parameters and values:

1. Activate the individual object links in the Active column.

2. Make the relevant integration settings to connect the Microsoft Project


server. To do this, select the business object and double-click Settings for
Integration Processes.

3. Specify the relevant applications and logical systems. To do this, select the
business object and double-click Portfolio Add-On to Object Link Types.

1. Navigate in SAP Portfolio and Project Management Customizing to the IMG


Activity “Assign Fields for Export from Project Management” under
Common Functions -> Microsoft Project Client Integration

2. Copy standard field assignments from client 000


a. If R/3 connection to client 000 exists, copy standard field assignment
automatically
b. If no R/3 connection to client 000 exists, copy standard field assignments
manually

3. Change the standard field assignments for customer-specific use of MS

1. Select one Base Project System Element and click on the Dialog Structure
“Field mapping to a cProjects Object”

2. Make sure that change view is displayed

3. Select in context menu “Utilities” the function “Adjustment”

4. Select the R/3 connection to client 000

5. Confirm the following two pop-ups


6. Select all fields
7. Click Button “Adjust”

1. Open the Project Management system in client 000

2. Navigate in SAP Portfolio and Project Management Customizing to the IMG


Activity “Assign Fields for Export from Project Management” under
Common Functions -> Microsoft Project Client Integration

3. Parallel to it, open the Project Management system in client xxx, where the
field assignments have to be copied to and navigate to the IMG activity as
well

4. Select a “Base Project System Element” and click on the Dialog Structure
“Field mapping to a cProjects Object”

5. Copy all mapping table fields

6. Select the same “Base Project System Element” as in client 000 and click
on the Dialog Structure “Field mapping to a cProjects Object”

7. Click on button “New entries” and paste the field into the mapping table

2. Copy standard field assignments from client 000


a. If R/3 connection to client 000 exists, copy standard field assignments
automatically
b. If no R/3 connection to client 000 exists, copy standard field assignments
manually Copying of standard field assignments works similarly as explained for
the export.

3. Change the standard field assignments for customer-specific use of MS

Hints for Export to Microsoft Project

If “Calculation mode” equals “Automatic”

MS Project overwrites the duration from Project Management.


• In MS Project the duration depends on Start and Finish. If the Start date is the same as
the Finish date, in MS Project the duration will automatically be changed to value 0,
regardless of value for duration comes from Project Management.
• Because the calculation of duration depends on Start and Finish and Project
Management and MS Project use different calendar information, the duration in MS
Project can differ from the duration in Project Management.

MS Project overwrites the milestone flag from Project Management.


• If the value of duration is equal to 0, MS Project automatically sets the flag milestone of
tasks, regardless of what value for milestone comes from Project Management.

MS Project overwrites the work from Project Management.


• If the value of duration is equal to 0, in MS Project the work will automatically be changed
to the value 0, regardless of what value for duration comes from Project Management.

Hints for Export to Microsoft Project

The value “Automatic” of “Calculation mode” is a default value in MS Project,


so all projects exported from Project Management will have “Calculation
mode” equals “Automatic”. You can solve that problem with the following
workaround.

1. Open a new MSP project.

2. Change the value of “Calculation mode” to “Manual”.

3. Save that empty MSP project as “cProjects_template.mpp”.

4. Export a Project Management project.

Hints for Export to Microsoft Project

In MS Project, the two MS Project fields “Name” and “Title” are always filled
with the same value because in MS Project there is no difference between
“Name” and “Number” like in Project Management. Due to that, the following
field mapping does not work.

With this field mapping the MS Project fields “Name” and “Title” will contain
the project number from Project Management.
