SAMPLE ACCEPTANCE LETTER

Dear Student,

I am pleased to inform you that you have been accepted into the Harvard Summer Program in
Program Name. I enjoyed reading your application, and look forward to having you as part of
our group this summer.

Please confirm your attendance in the program by replying to this message by date-
typically one or two weeks. Your timely confirmation allows me to hold your place in the
program. If you wish to decline your offer, please let me know as soon as possible so that the
Harvard Summer School can be properly informed. If you are Harvard College student and
have applied for Harvard-affiliated funding I realize that you are still waiting to hear on this.
Nevertheless, please let me know your general intentions regarding the program as it is
necessary for planning purposes.

Over the next few months, I’ll be in touch with additional information about logistics, course
preparation, and scheduling a pre-departure meeting for our entire group.

A non-refundable deposit is due by March 10 and required to hold your spot in the program.
Payment in full is due by May 16. All payments are made through the Harvard Summer School
only. Please note, if you are a Harvard College student and you receive funding from OCS, you
will not be required to make a deposit (OCS funding will automatically be transferred to the
Summer School).

If you do not have a current and valid passport (valid for at least six months after the last day
of the program), then please apply for one as soon as possible. If you need to apply for a visa
please do not delay, as this can be a lengthy process. You are responsible for obtaining all
documentation as requested by the relevant consulate; if you need a letter of enrollment,
contact Harvard Summer School (summerabroad@dcemail.harvard.edu).

In addition to the information you will receive from me this spring, please review the

Finally, in order to participate in this program, you must sign and return all of the required
forms that will be sent to you by email from the Summer School. These include a “Conditions
of Participation and Assumption of Risk and General Release Form, a “Media Release Form”
and a “Health Clearance Form” that will require your doctor’s review and signature. Please
make sure to attend to these forms promptly upon receipt; they are required by Harvard for
your participation.
