TOOLS MANAGEMENT POLICY
STATEMENT OF POLICY
The aim of this policy is to ensure the highest quality of work on all tasks and assignments. To safeguard
all employees and provide the safest possible working conditions. This policy has been created to detail
the guidelines relating to the usage of tools, equipment & materials in its work.

HOW DO WE VIEW TOOLS IN ORIGIN TECH GROUP.


All tools and equipment will be purchased from an approved supplier who is recognised as meeting or
exceeding construction industry standards. All tools and equipment purchased will be industry
recognised brands that have a proven track record of safety and reliability in usage.
Tools are critical assets that are treated as stock items required to achieve our corporate sales and
revenue objectives. Any action or activity that negatively affects the safe handling of tools is viewed as
sabotage of group business and revenue interest. Hence, everyone handling tools must do so
understanding the huge weight of responsibility.

PROCUREMENT
All tools and equipment will be purchased from an approved supplier who is recognised as meeting or
exceeding construction industry standards. All tools and equipment purchased will be industry
recognised brands that have a proven track record of safety and reliability in usage.

TOOLS REQUEST
All tools & equipment will be requested by the Personnel on the tool requisition form. The requisition is
to be filled out by the Personnel who is an employee of Rhema and approved by a designated line
manager If the User is not an Employee, then an Employee must request and receive on behalf of the
User.

TOOL ISSUANCE
The requesting units, tool officer and Store Manager is responsible for issuing requested and approved
tools. All tools will be issued on an IOU basis. The issuance of tools should be captured in the tool
dashboard by the tool officers, store and requesting supervisor daily, weekly and reconciled monthly
after return.

TOOL RETURN
All tools are to be returned to the Store Manager in good condition. Damaged tools are to be
accompanied by a tool usage report. Users who return tools with unjustifiable damages will be
surcharged accordingly based on the IOU and other considerations. Unreturned and unaccountable tools
will result in full deduction of the IOU.

HEALTH AND SAFETY FOR PERSONNEL


Only certified Personnel are allowed to request and utilise tools. HSE is to confirm proficiency of use for
all power tools and specialised equipment. Each Personnel should have a tool profile showing the tools
that the Personnel is certified to use, and this will be the basis of tools issuance to them. Subcontractors
and other external parties are to prove proficiency before Rhema tools can be utilised. Any Personnel
that is unwell should not be certified to operate any tools. Any Personnel identified by the HSE Officer as
not being in a physically or mentally fit state should be relieved of operating harmful tools.

HEALTH AND SAFETY FOR TOOLS & EQUIPMENT


All tools and equipment are to be issued with a safety certification by the HSE Department. Any tool or
equipment that is not certified safe for use must not be issued.

TOOLS MAINTENANCE
All tools & equipment will be maintained and serviced regularly in accordance with the manufacturer’s
instructions. The Store Manager’s tool records must indicate the maintenance & servicing due date for
applicable tools. If any defect is discovered, the equipment will be placed out of service and will not be
allowed to be used until it has been safely repaired by a competent person or replaced.

TOOLS USAGE
All Rhema Employees will utilise the correct type of tools, equipment, and materials provided that best
meet the requirements of the job having considered all applicable civil, mechanical, and electrical
engineering standards and best practice. All tools are to be used in a safe and responsible manner.

AUTHORISATION
This policy is approved by the Chairman and is effective 1st January 2023
