INTRODUCTION
Nekta is a company that deals with beekeeping and selling of honey.
The company offers a variety of services such as the selling of beehives
and associated accessories to bee farmers as well as the setting up of
the beehives for the bee farmers. It also offers training on beekeeping
and partakes in the buying of honey-related products from farmers for
resale. The company in question sells the beekeeping accessories in
three packages categorized as follows:
 A single hive which is one beehive and its associated accessories
for setting up.
 A mini package which consists of six beehives, harvesting
accessories, beehive setting up and training for one person for
one day.
 A full package which consists of twelve beehives and a honey
extractor. It also includes training for two people for one day and
a honey harvesting kit for two people.
SYSTEM ANALYSIS
PROBLEM DEFINITION
The company has been running on a manual system of collecting and
storing of records as well manual calculation of payments made by
farmers and product of sales acquired by the company. Although the
company has functioned using the above methods, they have been
experiencing some minor hindrances preventing it from moving
forward. The setbacks are as follows:
o It is time consuming. Considering the fact that the company has
several farmers seeking their services, the time taken for each
farmer’s payment to be tabulated increases.
o It is tiresome. The collection and storing of each farmer’s records
leads to fatigue.
o It involves loss of records. Due to poor data management, several
files are lost in the process of storage.
o It involves lack of integrity. It becomes difficult to observe each
farmer’s payment methods hence leading to theft of money due
to lack of supervision.

OVERVIEW OF EXISTING SYSTEM
The existing system is tedious as it is manual. Data is recorded manually
and payments are tabulated manually. The company rarely observes
the progress of sales due to the backlog of data in the system.

LIMITATIONS OF EXISTING SYSTEM


1. Loss of profit due to the lack of observation of progress of sales
hence theft.
2. Lack of ability to acquire new information due to the backlog in
the system.
3. Time consuming and tedious as all the activities carried out in the
system are manual.
PROPOSED SYSTEM
OVERVIEW OF PROPOSED SYSTEM
The proposed system will completely switch to being automated. This
will work in favor of the company as each operation carried out within
the system will be monitored and recorded hence increasing growth of
the company.

OBJECTIVES OF PROPOSED SYSTEM


The proposed system should be able to carry out the following after
development.
a) Maintain records of bee farmers
b) Maintain records of trainee farmers
c) Maintain records of services rendered and
products sold by the company
d) Capture payments for each package
e) Capture income from various sales and
training services
f) Capture details of purchases from farmers
SCOPE OF PROPOSED SYSTEM
The proposed system will support the following:
Computation of:
 Payments for the services to farmers
 Payments made to farmers for honey deliveries
 Total sales to clients
 Transport earnings
 Income from training
 Total income for the company
Generation of appropriate reports.

BENEFITS OF PROPOSED SYSTEM


The proposed system will bring about the following benefits
 Reduce the fatigue employs experience as the system will
automated hence promoting easy manipulation of data
 Improve on the issue of time as the system will carry out activities
and operations at a faster rate.
 Increase the profit made by the company as each transaction
made by a farmer will be monitored and recorded which will
prevent theft.
FEASIBILITY STUDY
The feasibility study of the proposed system will be solely based on the
following:

SCHEDULE FEASIBILITY
The duration of time within which the new automated system is to be
implemented will be roughly six months. Each task will be tackled and
accomplished within a given number of weeks. The following feasibility

TECHNICAL FEASIBILITY
In the technical feasibility, various technologies are used to implement
the system. As much as the technologies are available in the market,
they are quite pricey and difficult to use without proper training but are
necessary. The following devices were used after accumulation of
adequate funds and proper staff training:
An uninterruptable power supply
Mainframe computers
Magnetic ink character reader
A laser printer
A compact disk

OPERATIONAL FEASIBILITY
Skills in Microsoft access and Microsoft excel as well as skills in the
printing sector are required for the system to be implemented. The
staff underwent training on how to use the new modifications to the
system and hence it became easy to understand and use. The members
are comfortable and satisfied with the new changes as it will enhance
operations and improve on efficiency by simplifying their work.
