Introduction to System
Coffee Shop Management involves different Processes likeManaging
Employee & Customer details, working of Token system,working with Offers
to be applied in coffee shop, generating Reportsaccording to the working of
system and Menu Card for coffee shop;checkout is linked with Token form
where system starts and severalother tasks.Performing all these tasks
manually becomes too complex and timeconsuming.The aim of this document
is to gather and analyse and give an in-depth insight of the complete Coffee
Shop Management. This systemwill help to automate the work and make it
easier for the manager to manage the coffee.
Scope of the System
This management system will be designed to minimize the manual workin
maintaining
Managing Employee & Customer details, working ofToken system, working
with Offers to be applied in coffee shop,generating Reports according to the
working of system and Menu Cardfor coffee shop and
other managements in coffee shop.It aims to maximize the productivity and
provide improved managedSystem. This System will be easy to understand
and use.More specifically, this system is designed to allow an admin to
managethe employee records, Customer records, Products records and
othermanagements in coffee shop
Whereas, it maintain the relationship between customer and the admin inthe
technical way with the help of coffee shop management software. Thesoftware
will facilitate creation of different Reports such asCustomer report & Product
report
Proposed System
The proposed system provides user friendly interface and also provides
powerful and efficient database management system. Theaim of proposed
system is to develop a system of improved facilities.The existing system work
is done manually thus hampering itsaccuracy and effectiveness. The proposed
system can overcome thelimitations of the existing system.The system provides
proper security and reduces the manual work.The existing system has several
disadvantages and many moredifficulties to work. The proposed system tries
to eliminate or reducethese difficulties up to some extent.The proposed system
will help the user to reduce the workload andmental conflict. Through this
system it is possible to print variousreports and bills for the organization.The
aim of the proposed system is to develop a system of improvedfacilities.

Fact Finding Techniques

To study any system the analyst needs to collect facts and all relevant
information. The facts when expressed in quantitative form aretermed as
data.The success of any project depends upon the accuracy of availabledata.
Accurate information can be collected with help of certainmethods/
techniques. These specific methods for finding informationof the system are
termed as fact finding techniques.Interview, Questionnaire, Record Review
and Observations are thedifferent fact finding techniques used by the analyst.
The analyst mayuse more than one technique for investigation.To make the
system effective, I have followed following fact findingtechniques to collect the
detailed information about Cafe Management System
Feasibility Study
The feasibility study is major factor, which contributes to the analysis
and development of the system. The decision of the system analyst
whether to design a particular system or not depends on its feasibility
study.
1. Operational Feasibility:
• The introduction to this system is not going to hamper anyuser of the
system. This system is useful for administrator of Cafe Management
System
• This system is very flexible and user friendly.
• This system provides GUI application.
2. Technical Feasibility:
• This feasibility deals with technicality of the system. Insteadof storing
data of Product & Employee in manual way thissystem is fully
automated.
• No efficient manpower is required to handle the system.
3. Economical Feasibility:
• This area is concerned with cost incurred for thedevelopment and
implementation of the system .Themaintenance of the system on the
other hand and the benefitsderived from it .The cost benefits analysis is
effectiveness ofthe system
• The benefits and savings obtained using the system is far more
compared to the invested cost as it reduces operationalcosts through
lower bills.
4. Behavioral Feasibility:
This includes the following questions:

Advantages and Limitations

Advantages:The system is very simple in design and to implement. The
systemrequires very low system resources and will work in almost
allconfigurations.It has got following advantages:
A. User friendly application.
B. Secured database.
C. Fast processing.
D. Data can be updated easily.
E. Database records can be maintained in computers.
 F. Any records can be retrieved when required.
G. System reduces manual workload.
H. Redundancy of data is avoided
I. Records can be searched and sorted easily.
J. Less error prone and accuracy is maintained.
K. Provides data reports.
L. Helps to maintain accounts.
• Limitations:
A. Every system has some limitations or drawbacks, some of thelimitations
of Coffee Shop Management system are:

C. It can be used by a Single Person.
D. As it is machine dependent, machine failure may result indata loss.

Future Enhancement
Coffee Shop Management is a project developed by us which aims at
providing an automated management system for Coffee Shop. This project
deals with solving the errors caused due to manual work.The project also
provides security of the data entered by the admin.The project Coffee Shop
Management is therefore targeted towardsimproving the existing system by
making it automated. All the details
are entered into the system with ease. The project focusses on entering
the information and presenting different details in an easy andintelligible
way.This project therefore tries to minimize the errors caused duringentering
the data manually by providing necessary validations.

Conclusion
• The system developed has no network support. In future thesystem
might provide that more than one user may work and sharing data.
• As new technology is developed the system might make use ofsuch
technology
