INTRODUCTION

Email is defined as the transmission of messages online.


It is the mostly used features of communication
networks that may contain text, files, images, or other
attachments. Typically, computerized information is
transmitted over the Internet to a specific individual or
group of people.

Email messages are transmitted by email servers; uses


multiple protocols within TCP / IP
suite. For example, SMTP is a protocol, stands for
simple mail forwarding protocol and is used for sending
messages and some IMAP or POP protocols are used to
retrieve messages from the mail server. If you want to
sign in to your mail account, you just need to enter a
valid email address, password, and email servers used
to send and receive messages.

Although most webmail servers automatically set up


your mail account, so you only need to enter your email
address and password. However, you may need to
configure each account when using an email client such
as Microsoft Outlook or Apple Mail. Additionally, to
enter an email address and password, you may also
need to enter incoming and outgoing email servers with
the appropriate port numbers individually.

Components of Email

Email messages include three components, such as:

 Message envelope: Displays email envelope.


 Message Subject: Contains the subject line of the
email and information of the sender / recipient.
 Message body: Includes images, text, and other
file attachments.

Uses of Email

It can be used for communication within an


organization or in person, including between two people
or a large group of people. Most people benefit from
email communication with colleagues or friends or
individuals or small groups. Allows you to connect with
others around the world and send and receive photos,
texts, links, and other attachments. Additionally, it
gives users the advantage to connect flexibility to their
own system.

There are also other benefits too;


If you use it for communication between two people or
small groups that will benefit to remind participants of
the approaching deadlines and critical tasks and time
and send follow-up emails to professionals after
appointments.
Users can also use the email to instantly remind all
upcoming events or notify the team of a time change.
In addition, it can be used by companies or
organizations to transfer information to multiple

employees or customers. In particular, email is used for
newsletters, where subscribers of the mailing list are
sent direct marketing campaigns with promotional
content from the company.

Email can also be used to deliver hidden sales to


completed purchases or convert leads into paying
customers.

Advantages of Email

There are many benefits to email, which are as follows:

Most Cost Effective: Email is the most cost effective


social networking service as there are a few email
services available to individuals and organizations for
free.

Email gives users the benefit of accessing email


anywhere at any time when they have an internet
connection.

Speed and simplicity: Email can be easily written with


the right information and contacts. It can be changed
quickly.

Bulk posting: You can easily send a message to


multiple people via email.

Disadvantages of Email

Invalid: Compared to other forms of communication,


emails are not personal. For example, if you are talking
to anyone by phone or face-to-face contact it is more
appropriate to communicate than email.

Malicious Use: As email can be sent by anyone if they


only have an email address. In some cases, an
unauthorized person may send you an email, which
could be dangerous for stealing your personal
information. Therefore, they may use email to spread
gossip or false information.

Spam: Although in recent days, email features have


improved, there are still major problems with the advent
of unsolicited advertising and spam via email. It can be
very difficult and time-consuming to control.

Protocols

There are three common methods used to deliver email


over the Internet: Simple Mail Transfer Protocol
(SMTP), Post Office Protocol (POP), and Internet
Message Access Protocol (IMAP).

All three use TCP, and the last two are used to access
electronic mailboxes. Special records stored on DNS
servers also play a role, using UDP. The current version
of POP is version 3 (POP3) and the current version of
IMAP is version 4 (IMAP4).

Although not a protocol, there are a series of Multi-


Purpose Internet Mail Extensions (just MIME, not
“MIME”) for various types of email attachments (not
just simple text). Lastly, a lot of related information
adds authenticity to basic email protocols.
