Chapter 1

INTRODUCTION

Project Context
In the constantly changing realm of higher education, effective resource
management plays a pivotal role in ensuring the prosperity and endurance of
academic institutions. President Ramon Magsaysay State University (PRMSU) is
dedicated to maintaining a standard of excellence in education, a commitment that is
particularly evident at the San Marcelino Campus, notably within the College of
Tourism and Hospitality Management (CTHM). This department stands as a
cornerstone in nurturing aspiring professionals for the ever-evolving and vibrant
domain of tourism and hospitality. This commitment to excellence reflects not only in
the educational programs offered but also in the partnerships forged with industry
players. By attracting experienced faculty and collaborating with professionals in the
field, the CTHM department ensures that its students receive not only theoretical
knowledge but also insights and skills directly applicable in real-world scenarios.
Functioning in a vital setting, the CTHM department, much like other
academic units, needs careful coordination and efficient use of resources. Managing
inventory, involving educational materials, equipment, and consumables, becomes a
crucial part of this coordination. A well-structured and effective inventory
management system is essential for the department to smoothly accomplish its
educational goals. Established on the foundation of academic prowess and practical
applicability, the CTHM department at PRMSU San Marcelino Campus has
transformed into a distinguished hub for tourism and hospitality education.
Committed to delivering high-quality education, the department has broadened its
academic offerings, attracted seasoned faculty, and established partnerships to provide
students with a comprehensive learning experience.
As the department has expanded, so has the need for resources to support a
variety of academic activities, such as lectures, laboratory sessions, and hands-on
training. The increasing intricacy of managing these resources calls for a inventory
management system that aligns with the department's goals and ensures the optimal
utilization of available resources.
Inventory management in schools is more than just handling materials; it's a crucial
strategy that directly affects the quality of education. A good system makes sure that
all the tools, materials, and equipment needed for lessons are easily accessible. This
not only prevents disruptions in learning but also boosts teachers' productivity,
creating a positive and effective learning environment for students.
In the CTHM department, where students learn through hands-on experiences,
having a well-functioning inventory management system becomes even more critical.
Whether it's culinary tools or materials for tourism studies, the department's inventory
includes a variety of items that directly influence the overall quality of education
provided to students.
This project aims to develop a web based application and mobile application
to collect and process inventory data for College of Tourism and Hospitality
Management Department, President Ramon Magsaysay State University(PRMSU),
inventory ID and other related information in order to give general information of the
particular item where the mobile application can display either online or offline.
Inventory management will be done on web based application where an authorized
staff can handle the inventory.Furthermore, the study aligns with the broader
objectives of PRMSU, emphasizing continuous improvement and innovation in
academic practices. A robust inventory management system not only aligns with the
university's commitment to excellence but also serves as a model for other
departments grappling with similar challenges.

Purpose and Description


The purpose of this study is to comprehensively assess, analyze, and propose
improvements for the inventory management system within the College of Tourism
and Hospitality Management (CTHM) at President Ramon Magsaysay State
University (PRMSU) San Marcelino Campus. The primary goal is to enhance the
efficiency and effectiveness of the current inventory management practices,
addressing identified challenges and aligning the system with the specific needs of the
department. This study aims to provide valuable insights into the existing state of
inventory management, identify areas for improvement, and propose
recommendations that contribute to the overall advancement of the CTHM
department.
This study is all about how the CTHM department at PRMSU San Marcelino Campus
handles its inventory. We're not just sticking to one method we're using a mix of
surveys, interviews, and digging through documents to really get the lowdown on how
things are currently managed. The research will focus on assessing the accuracy of
inventory records, identifying any delays in replenishing resources, and evaluating the
overall effectiveness of the current system. Special attention will be given to the
unique requirements of the CTHM department, where hands-on training and practical
experiences are integral components of the system.
Objectives
The main objectives of this research are as follows:
 To propose and develop an improved inventory management system
particular to the specific needs of the CTHM department.
 To track an item inventory in CTHM department at PRMSU San Marcelino
Campus.
 To identify the challenges and weakness in the existing inventory
management practices.
 To give general information of the item of the CTHM department at PRMSU
San Marcelino Campus
Scope and Limitation
The scope of this research encompasses the assessment and improvement of
the inventory management system lies within the CTHM department at PRMSU San
Marcelino Campus.The inventory management system enhanced the capability of
Department of CTHM to handle past, present, and future filling of information that is
necessary for managing equipment.
This system is used for monitoring and updating information of stocks and
products,sorting, and viewing, adding, editing and deleting. Anything irrelevant to
these is therefor out of the scope of the system.. The users of this system are Admin
Staff, Department Staff and Inventory Staff who have the permission to access the
system.
The system only depends on human entry and it lacks in terms of reliability.
The user might enter data incorrectly, introducing inaccurate data that is used in
decision making. Although it updates each time a item enters the system, without
periodic verification of actual inventory to perpetual inventory checking. This may
trigger that were not monitored by the proposed system due to technical error,
damaged or scrapped units. Also, the proposed inventory system is incapable of
monitoring particular item.

Chapter 2
REVIEW OF RELATED LITERATURE
This chapter presents the review of related literature and studies that is
significant in the development of the present study.The review of related literature
mainly maintain the application development process.
Inventory management systems were created to help dealerships implement,
maintain, and fine-tune their inventory plans. Dealers who use inventory management
systems realize quicker vehicle turns and a higher ROI than dealers that don’t.
Choosing the right system can make a significant contribution to your inventory
management efforts. This strategy helps a lot to come up with a successful outcome.

According to the article “Global Economics, Management and Trades” proper
management of inventory is important to maintain and improve the health of
organization. Efficient management of the inventories will improve the profitability of
the organization.” (S.R.Kasisomayajula,2014) Inventory management helps
companies identify which and how much stock to order at what time. It tracks
inventory from purchase to the sale of goods. The practice identifies and responds to
trends to ensure there’s always enough stock to fulfill customer orders and proper
warning of a shortage. Successful inventory management minimize inventory, lower
cost and improves profitability.
According to the article “What are the Benefits of Using a Computerized
Inventory Management System?” it was stated that any business that sells products
needs a reliable method for inventory management. With bar codes, point-of-sale
software and warehouse tracking, computerized management systems make it easy for
business to stay updated consistently.(K. Leonard, 2018).Computerized inventory
informs employees and customers within seconds whether an item is in stock. This
helps flag reordering needs and provides better service to customers. Many of the
computerized inventory platforms integrate with accounting software to track cash
flow. This makes the process of transferring inventory costs and assets between
programs seamless and reduces the need for additional bookkeeping costs. Inventory
management software does more than track where inventory is located and when to
reorder it. A data collection system is used to create needed forecasting and strategic
planning reports. Business owners review trends regarding which products do well in
certain months or during specific cyclical seasons. Business owners use this data to
plan for growth and order inventory intelligently to best utilize cash flow resources.
In the study from Averion, Gaela, and Libo (2009) entitled “Monitoring and
Inventory for discovery Mall.com”, it stated that it will minimize the difficulty of the
manager in processing inventory because physical counting products, stocks and
computing inventory summary will be the system job. It will monitor the availability
of products, items to prevent under stocking, over stocking and running out of stock.

transaction between dealer and supplier relationship because of the updated supplier
information and price list of items will correspond to collaboration with other

The study entitled “Sales and Inventory system” (Laranang, Maaño, and
Nañola, 2009)examined that business nowadays takes the advantage of using modern
technology to improve their status and ensuring an efficient and newer way to make
their work easier. They state that the main problem of the Osaka Iridology is what
modern effective tool must be used in creating and developing a sales and inventory
system that will manage efficiently their transaction. So they develop a system that
inclusively for the transaction of Osaka Iridology, such as monitoring of their
medicine and their daily sales.
Technical Background
In the current state of academic institutions, the implementation of Inventory
Management Systems (IMS) has become necessary for capable resource utilization.
These systems go beyond traditional manual methods, incorporating advanced
technologies to facilitate the tracking, monitoring, and replenishment of resources
within educational departments.Inventory Management Systems leverage various
technologies to enhance accuracy, speed, and overall system efficiency.
Inventory management software is a digital system designed to monitor
inventory levels, manage item, monitor the item, and facilitate item. In the system
sector, it is utilized to generate work , sorting of materials, and other pertinent to
production.This software is mitigate the risks of product overstock and shortages.
Essentially, it serves as a means of structuring inventory information that was
traditionally stored in physical documents or spreadsheet formats.
The technology used to develop the inventory management system are using
Microsoft Visual Studio 2019, ASP.NET and XAMPP (MariaDB).The mandatory
need of the system is the Desktop with a Monitor Screen (Minimum 1024 by 768
pixels), mouse, keyboard, and modem to have an internet connection for the
computer.
Microsoft Visual Studio 2019
Microsoft Visual Studio 2019 serves as a tool created by Microsoft to provide
developers with an integrated development environment (IDE). This versatile IDE is
employed in crafting diverse applications, spanning desktop, web, mobile, cloud, and
game development. Acting as the follow-up to Visual Studio 2017, Visual Studio
2019 introduces numerous enhancements and features to facilitate the development
process.This is the IDE that supports multiple programming languages such as C#,
Visual Basic, and more. It provides tools for building a variety of applications,
including desktop, web, cloud, mobile, and game development. Microsoft distributes
Visual Studio in different editions. The Community and Express edition is freeware,
while the Professional edition is the entry-level commercial edition of Visual Studio
and Enterprise provides a new set of software development, database development,
collaboration, metrics, architecture, testing, and reporting tools, which are paid for.

ASP.NET
ASP.NET stands out as an open-source web framework developed by
Microsoft, tailored for crafting web applications and services. It seamlessly integrates
into the broader .NET platform, offering a prospering, innovative, and adaptable
foundation for creating contemporary web applications.
ASP.NET embraces cross-platform development, empowering developers to
construct and deploy applications on a range of operating systems, including
Windows, Linux, macOS, and Docker containers. This flexibility enables developers
to select the operating system that aligns best with their specific requirements and
infrastructure.Additionally, there's ASP.NET Core—an innovative, cross-platform,
high-performance, and open-source framework designed for constructing modern,
cloud-based, and internet-connected applications. ASP.NET Core marks a significant
progression from the conventional ASP.NET framework, featuring modularity,
lightweight design, and enhanced flexibility.
The capacity to operate on diverse platforms, coupled with the open-source
nature of ASP.NET Core, positions it as a favored choice for developers engaged in
crafting web applications and services across various environments.
XAMPP
XAMPP is a free and open-source cross-platform web server solution stack
package consisting mainly of the Apache HTTP Server, MariaDB database, and
interpreters for scripts written in the PHP and Perl programming languages MariaDB
is a community-developed, commercially supported branch of the MySQL relational
database management system (RDBMS), intended to remain free and open-source
software under the (GNU) General Public License. Some of the original developers of
MySQL led the development.XAMPP provides a convenient way for developers to
set up a local environment that mirrors the configuration of a live web server. This
allows developers to test their websites or web applications locally before deploying
them to a live server. XAMPP is available for various operating systems, making it a
versatile choice for developers working on different platforms.

CHAPTER 3
METHODOLOGY
Requirement analysis
The CTHM department of PRMSU San Marcelino Campus have no existing
system for inventory management. CTHM coordinator use a manual monitoring and
checking of bar equipment for training session. The following is a part of the

Marcelino Campus
Project Development
The project development started after conducting the interview and research
about our proposed system. The grouped decided to use the Waterfall model for our
proposed system development Life Cycle because the proponents really believe that
using this model. The following process of this model for the development of this
project is a step by step procedure to identify what the researchers are doing to
develop the proposed system.

DEVELOPMENT

The group conducted an interview in CTHM Department of PRMSU San


Marcelino Campus to gather data information. We have noticed that by updating their
products they have to write manual in the record books and checking of the remaining
items. For our proposed system, this will help to make it faster and accurate to control
the inventory of their products by updating and adding using this computerized
inventory system.

Proposed System
We proposed to develop and provides a foundation for an effective Inventory
Management System, addressing key aspects of inventory control, order management,
reporting, and integration with existing business processes. The specific details and
technologies used may vary based on the organization's needs and preferences.
We propose to provide an easy management procedure when adding deleting,
editing, deleting, and searching specific information. It will include aspects such as
controlling and maintaining to Emphasis on efficient inventory control, reduced costs,
and improved decision-making. Every Transaction here is logged and monitored by
someone in a higher position. This propose system aim to improve the service offered
by the CTHM department of PRMSU San Marcelino Campus.
