CHAPTER 1
THE PROBLEM AND ITS SCOPE
Introduction

In today's fast-paced and technologically driven world, businesses and educational

institutions are continually seeking innovative ways to improve their operations, enhance

customer experiences, and streamline their management processes. The advent of

information technology has brought about a transformative shift in the way organizations

function, offering unprecedented opportunities for efficiency and productivity. One such

area where technology has made a significant impact is in the management of business and

educational systems, including inventory, cashiering, enrollment, and tutorial scheduling.

This study serves as an introduction to a thorough investigation of the Dunamis Online

Shop, Inventory, and Tutorial Scheduling Management System with SMS Notification. A

multidimensional system created to meet the changing requirements of commercial

enterprises and academic institutions.

Background

1.1. The Evolving Landscape of Business and Education

The landscape of business and education has evolved dramatically in recent years.

Traditional brick-and-mortar stores have increasingly migrated to online platforms to

reach a global customer base, while educational institutions are faced with the challenge of

managing enrollment, tutorial scheduling, and communication in an increasingly digital

and remote environment. In both cases, efficient management of inventory and cashiering

is paramount to success.
1.2. The Role of Information Technology

Information technology has played a pivotal role in shaping the modern business and

educational environment. It has enabled businesses to reach customers beyond

geographical boundaries and has facilitated the delivery of educational services through

online learning platforms. However, this technological shift has also created new

challenges related to data management, communication, and customer service.

Problem Statement

Managing various facets of a business or educational institution, such as inventory,

cashiering, enrollment, and tutorial scheduling, can be a complex and time-consuming

endeavor. Traditional methods of management often lead to inefficiencies, errors, and

communication gaps, which can adversely affect customer satisfaction and operational

effectiveness. To address these challenges, organizations require an integrated and

comprehensive management system that streamlines these processes while ensuring

accuracy and timely communication.

Research Objective

The primary objective of this study is to explore and evaluate the "Dunamis Online Shop,

Inventory, and Tutorial Scheduling Management System with SMS Notification" as a

holistic solution for businesses and educational institutions. This research aims to examine

the key features and functionalities of the system. Assess the impact of the system on the

efficiency and effectiveness of inventory management and cashiering in online shops.

Investigate the system's ability to streamline enrollment and tutorial scheduling processes

in educational institutions. Analyze the role of SMS notifications in improving

communication and customer engagement. Evaluate the overall benefits and limitations of

the system in enhancing operations in businesses and educational institutions.

Significance of the Study

The study lies in its potential to contribute to the improvement of business and educational

management processes in an increasingly digital world. By evaluating the Dunamis

System's effectiveness, this research can provide valuable insights into the benefits of

integrated management solutions for various sectors. Moreover, the study can guide

businesses and educational institutions in making informed decisions regarding technology

adoption and system implementation to enhance their operations.

Online Shop Owners: Online shop owners can benefit from this system by efficiently

managing their inventory, tracking sales, and processing orders. The SMS notification

feature can keep customers informed about their orders and promotions, enhancing

customer satisfaction and loyalty.

This study will be beneficial to the following group or individual:

Scope and Delimitation

Scope

This study outlines the boundaries and limitations of the Dunamis Online Shop,

Inventory, and Tutorial Scheduling Management System with SMS Notification. This

scope defines the extent to which the system will be developed, implemented, and

evaluated, including the specific features, functionalities, and components it encompasses.

Online Shop will include an online shopping platform that allows users to browse,

search for, and purchase products offered by Dunamis. It will include features for product

categorization, shopping cart management, and order processing. Inventory Management

will manage Dunamis' inventory, updating product availability, tracking stock levels, and

generating reports for stock management. Cashiering will handle cashiering functions,

including payment processing, generating receipts, and maintaining transaction records.

Enrollment Management will facilitate the enrollment process for students, including

registration, course selection, and fee payment. Tutorial Scheduling will enable students to

schedule tutorials or appointments with tutors, considering tutor availability and course

requirements. SMS Notification will be integrated into the system to send updates,

reminders, and confirmations to users regarding their transactions, orders, and

appointments.

Customers are individuals who use the online shop to purchase products.Dunamis

Staff Employees who manage inventory, cashiering, and enrollment processes. Tutors

Individuals responsible for providing tutorials to students. Students are individuals who

enroll in courses and schedule tutorials. Geographical Scope will initially be implemented
for Dunamis and its customers within a specified geographical region or regions, with

provisions for future scalability. Data Management will handle data related to products,

inventory, transactions, enrollment, tutorial schedules, and user accounts.

Delimitations:

The music teacher may focus on a specific set of instruments due to resource

constraints, such as piano, guitar, ukulele, voice, violin and drums. Other instruments and

any music related may not be available for lessons. The system won’t provide live tutoring

but rather serve as a scheduling, online enrollment and shop to buy instruments in the

shop. It does not replace the real music teacher.

The system’s Financial Transactions will support basic payment processing such as

Gcash or Cash on hand and cashiering functions but will not integrate with external

financial institutions or handle complex financial transactions like loans or investments

( any other payment method are not included in the scope). Third-party Integration, the

study does not include in-depth integration with third-party systems or services beyond

SMS notifications. While security measures will be implemented, this study does not

focus extensively on cybersecurity or advanced encryption methods. Legal and

Compliance does not address specific legal and compliance issues related to online

business, such as data protection regulations or taxation. The study does not explore the

performance limitations of the system concerning high transaction volumes or scalability

beyond the initial implementation. User training and onboarding are beyond the scope of

this study but will be necessary during system implementation. Ongoing system

maintenance and user support are assumed but are not covered in this study.

The system will only be accessible at Dunamis Musical lessons and Music

Instrument Shop, Dipolog City, Zamboanga del Norte.
