Hi All,
Just a quick clarification for building secretaries and other heavy users of our booking system. The heaviest lift for
getting door schedules in the Eleyo system will be for Kayla and I. We have already spoke about our plan for
getting these schedules in the system.
I will input the regular door schedules during the school day. The only thing building secretaries will need to do to
prepare for the week of 11/27 is to verify that your events (if any) have a door schedule included. Also, please
note that regular schedules are already in the AMAG system so nothing will stop working in that regard.
One other note, I will be doing a regular check each week to make sure all events for the upcoming week have
door schedules. If they don't, I'll reach out and ask you. 🙂

Subject: PLEASE READ: Updated Building Door Lock/Unlock Scheduling Process (effective 11/27/23)
Hello Everyone,
I have some exciting news regarding our process of getting doors locked and unlocked for regular school day
activities, special events, and other activities. Yvonne, Donna, and I met earlier this week to discuss moving away
from the Microsoft Teams schedule that currently houses our building door lock and unlock schedules. We have
successfully come up with a plan that will reduce the need for this system!
We are now moving to putting doors schedules in our Eleyo scheduling software at the point where you are
scheduling your events. This creates greater efficiency and reduces human error that comes from entering things
in multiple systems. This will also empower our secretaries and others that book space to make a direct request
for the door schedules they need.
We will move to the new process effective 11/27/23. I will work to get the ongoing door schedules into the Eleyo
system. If you have upcoming requests, you will want to make sure that the door schedules are included in your
request. I am leaving detailed instructions below and I am also always available to support those that need it. If
you have never been trained to use the Eleyo scheduling system please email me individually and I will schedule a
time to come train you. It will take 15 to 20 minutes.

Hello Everyone,
Now that our items for next year's calendar have been input into the google calendar that Mary shared with us,
I'd like to ask that we also get these events into Eleyo. This is an important step in the process as it allows for
accurate information regarding evening activities throughout the school year. It is also helpful in avoiding conflicts
with rentals/community events and assists in giving custodial and building monitors a heads up on large events.
Below is a link to a document that gives step by step instructions on how to book events into Eleyo. I am also
always happy to come to your site and give a refresher. If you could have all your items for next year in Eleyo by
June 30, 2023, that would be wonderful. I will send another reminder as well. Please forward this email to anyone
who I may have missed.
Types of events to include in Eleyo:
Anything that is happening after school at your site

Concerts
Conferences
Carnivals
Other big events
History Day and other Exhibitions
Speech invites
Practice schedules
Trainings in your own building
There is also an option to block off an entire building if that is a need. Please also include any setup notes you may
have.
Eleyo Booking Instructions
For bookings in other buildings such as the FCC, feel free to send an internal facilities use request.
