SAFETY SAVVY: A DEEP DIVE INTO TECHNIQUES AND STRATEGIES

FOR ENSURING ATTENDEES PROTECTION DURING EVENT

BACKGROUND OF THE STUDY

An event can be described as gathering of people for a specific purpose. Events can be
taken for a variety of reasons and can be of various forms. Depending on what type of
event is going to happen, there is need for different levels of preparations and activity
planning by the event organizer. There are so many types of events and the events can
be on a small scale or a large one. Different type of events include like, weddings,
award ceremonies, festivals,corporate meetings, seminars and workshops, product
launch, trade exhibitions etc.in the same way, event management is a route of
outsourcing the occasions which are either, social business or the combination of two.
Events can be so diverse from political rallies to weddings. For any kind of social
occasion or business, an event management team is the main source to organize it.
Therefore, event management is the proper application of project management to the
development and creation of conference, vets and festivals. To plan, organise and run
an event it requires time to investigate, research and plan. Event planning needs
methods for investigation and research, and requires variety of skills. These skills
include such diverse trades and professionals as project management, sign writing,
accounting and personnel management. The amount of time it will need depends on
event type, theme, objective, location, size and attractions, skills and experience.
Event manger is the main person behind in organizing an event. For even the smallest
of events, the event manager should undertake a formal planning stage, including a
risk assessment. So events and festival.

In terms of safety of the people in one event the management is the one who are
responsible for the occurrence in there place, there's a lot of possibility to have chaos
in the event since it's very crowded.
This study provides information on how to ensure the safety of the attendees in one
event.
Most of event places use physical features like meeting space, guests rooms and
public area to market their properties to meeting planners
Having a proper security system in place can help to protect guests from unwarranted
theft and crime. It can also help you to protect your staff, physical resources, and
assets from damage. Hence, it is extremely important for you to equip your property
with the latest safety and security standards.

The study examines how event place safety and security attributes influence the
site inspection practices of meeting planners and the relative importance of event
places safety and security attributes in influencing a meeting planner's decision to
choose a event places as the site for a meeting as well as her/his willingness to pay
more for a hotel with safety and security certification. The study also explored the
relationship of meeting planners' experience level and the nature of the meetings they
plan in relation to the importance they place on hotel safety and security attributes.
Three dimensions of the 20 event places safety and security attributes were found: (1)
visible safety features, (2) documentation and staff training, and (3) general security
features. Further analyses showed that “visible safety features” and “documentation
and staff training” play a significant role in the hotel site inspection practices of
meeting planners. “Documentation and staff training” also had a positive impact on
planners' site selection of a hotel with a safety and security certification over one
without. In addition, the meeting planners' willingness to pay more for a hotel with a
safety and security certification was positively influenced by the “documentation and
staff training” and “general security” features. The implications of these findings and
future research issues are discussed.

Do this as part of a general site induction and briefings about individual work
activities or tasks. For example, you may need to tell people coming onto site about:

■where they can safely park


first aid, toilets and wash facilities

■ emergency arrangements

weather forecast news

procedures for using / booking plant

You may also want to provide relevant health and safety information to the public, eg
in the form of signage.

Have appropriate management systems in place for each phase of the event to make
sure health and safety risks are controlled. While the numbers onsite during the public
period will be significantly greater, the need for safety management during build up,
load-in, breakdown and load-out is just as important. There may be fewer people, but
this is likely to be when the highest-risk work activities are carried out.
Ensure co-operation and proper co-ordination of all work activities on the site. This
does not mean you become responsible for all the individual technical work carried
out by third parties. Rather you should make sure you develop a safe overall phased
programme of work by taking into account contractor risk assessments and
communicating this to all relevant parties.
