0 Retrieval Tools

Retrieval tools is systems created for retrieving information. It helps users to find,
recognise, select and obtain information resources of all types. It also contains record that
provide as surrogate records that also called a description or metadata.

According to our findings, the official website of the Jasmine Public Library does not
have any retrieval tools. We have thus suggested solutions for our library by using OPAC,
library catalogue and search engine. The fundamental goal of this system is to allow users to
search materials on parameters such as title, author's name, volume and keywords with mere
clicks.

a) Accessibility
i. How the user can access to your collection?

Users may now access with numerous types of information and data from
different platforms due to development of the internet. Users may even get the
information they want from any location. Information agencies must efficiently manage
their online presence to ensure that users can discover the knowledge they need and
assess if it is accurate and up to date. As an illustration, we've suggested a database
system to provide the user with virtual access and services.

User may access the Jasmine Public Library’s collection through Online Public
Access Catalogue sometimes known as the library catalogue that stands for OPAC. It is
an online repository for all of the library's materials to locate books in the library, use
OPAC. It specifies the number of the items, their call number and whether they are
checked out or on reserve at the library. Once a user creates an account, they may quickly
utilise an OPAC to do activities that formerly required assistance from a librarian. OPAC
offers real-time access to information on what is available, how many holds are placed on
an item, and where it is since it is linked to the circulation system. In addition, users have
the option of reading summaries, adding books to lists, and placing holds on unavailable
items. In actuality, they are not required to visit the library because OPAC’s today are
accessible from anywhere. As a result, when visitors come to the library, they could
already be aware of the location of a certain item.

A bibliographic management system that provides access to bibliographic data


stored in machine-readable form across many access points is classified as an OPAC or
online catalogue feature. Additionally, as it manages the periodicals number depending
on the materials, it also functions as an interactive information retrieval system.

User can also access our collection through card catalogue. Card catalogue is a
catalog which the entries are arranged systematically on cards. It provide users to access
by the author’s name, the title of an item and the subject covered in the item. It also easy
to use for users to search which an alphabetical approach that used in card catalogs. All of
the information provided here enables readers to locate a certain book they're looking for
and may wish to read in a specific library. The library call number is shown as the last
thing on a card catalogue, as you can see. The user search for that number to locate that
book in that library. User can decide if they wish to read that book and they can review
this material. They may come across a book, but they're seeking for something that will
be read quickly, so they can consider the number of pages.

ii. Availability Period of Access

We have put various precautions to avoid the spread of COVID-19 disease in


accordance with the strict adherence to Standard Operating Procedures (SOP) imposed by
the government under the Movement Control Order (MCO) in numerous locations.

b) Retrieve-ability

i. How the patron/user can retrieve the desired materials?

The physical state of library facilities, as well as library services and activities,
must be seen through the perspective of these patron groups in order to ensure equal
opportunities for all library users. Users must register at the circulation desk before using
the library. For registration, they need the status form for employees signed by an institute
or department-signed, their personal ID card (or a passport with a registration card) and if
they have one, an employee ID card from their institution are required. They have two
options for a library card which are they may print a paper copy or use their university
staff ID card as one. Employees who use a paper library card but would want to switch to
an employee ID card in the future should visit the central of Jasmine Public Library in
person with both their employee ID card and paper library card.

All items that provide by our library can also access by virtual access using
website of OPAC. The traditional card catalogue may eventually be replaced by online
public access catalogues as a tool for guiding library users to the materials they need.
They can search the database electronically, which can give them a faster and more
complete way to find the data, sources, books, literature, or other things they want.
ii. Is it user friendly?

The fact that an online public access catalogue is user-friendly and open to all
users is one of its distinctive features. This means that anybody may utilise the system,
regardless of their age, status or even level of computer expertise. The system is built to
provide help if it is required during a search, using a variety of prompts, suggestions, help
topics, FAQs and even error messages as necessary. The format used to present the search
results is simple to read and comprehend.
