WHAT DO YOU NEED?

✓ Desktop or laptop with a webcam and a microphone


To take the exam, you will need a laptop or a desktop computer, as the Google
Chrome extension required to share your screen is not compatible with mobile
devices. Your laptop or desktop must be equipped with a webcam, a microphone and
a speaker. System requirements: Windows 7 and higher, Mac OS X and higher,
ChromeOS and most Linux distributions (64-bit Ubuntu 14.04+, Debian 8+,
openSUSE 13.3+ or Fedora Linux 24+).

✓ Google Chrome browser needs to be installed


You need to have Google Chrome browser installed, so that you can add the extension
required for screen sharing. Please make sure that you have the administrator rights
in order to add the extension to your browser.

✓ Photo ID
Before starting the exam, you will need to identify yourself with your student card,
passport, ID card, or a driver’s license that has your name and photo on it. You can
cover the private information such as serial number of the document.

✓ Tablet or smartphone with a camera


You might be required to use the camera of your smartphone or tablet. We will let
you know whether this is applicable. You will need to download an app (34MB) which
is compatible with any Android 5.1 or higher and iOS (Apple) 10.0 or higher.
Note: Huawei P30, Samsung Galaxy A3 (2016), Google Pixel 3 and newer are not
compatible with the app.

✓ Stable internet connection


In order to run the exam without any problems, you need to have a steady internet
connection (Wi-Fi will be required for mobile streaming) with a minimum upload
speed of 1,5 Mbps. Please be aware that you cannot use mobile data!

HOW TO REGISTER?

1. You book your exam through your training provider.


Your training provider will book your exam for the exact day and time of the exam.

Please be aware that you should be able to take the exam at this time, otherwise
your access to the exam will expire. The fee will not be refunded!

2. You will receive an e-mail with the instructions for checking your system and
setting it up for the exam.
You will need to install a Google Chrome extension and an app on your smartphone or tablet.
Note: For some exam modules, it is not required to use a smart device.

Be aware that you need the administrator rights to install the Google Chrome extension.

Please make sure to complete the system check at least 48 hours before the exam!
If this is not done on time and your system is not functioning well, you will not be able
to postpone the exam, your exam access will expire and the fee will not be refunded!

The e-mail that you will receive after the booking from
ProctorExam (exams@proctorexam.com)

Note: If you did not receive the system check email at least 48 hours before the exam, please
contact your exam center/training provider!

System Check

Please conduct the system check with the exact same technical environment as during
the exam (same room, same internet connection, same devices)!

Note: Please do not use a headset for the system check!

During the system check, you will be asked to install the ProctorExam
mobile application on your smart device
Note: For some exam modules, it is not required to use a smart device, so this step will
not appear during the system check

After installing the application, open it and scan the QR code displayed
on your screen (see the example below)

When the system check is completed, you will see the following message

3. After completing the system check, you will receive the acces to your exam
from ProctorExam.

The sender of the e-mail is ProctorExam, the subject is „Access to your online exam“.
Make sure to check your spam folder if you did not receive this e-mail!

After clicking on „Start Exam“ you will see at what time you can start the exam.
Make sure to start the exam right after the exam access opens. If you miss this timeframe,
your exam login will expire and you will not be able to start the exam anymore.

The fees will not be refunded.

ON THE EXAM DAY

✓ Prepare your environment

Before starting your exam, please make sure that:

• the room is well lit and quiet (there must be no loud noises inside or outside the room)
• you are alone during the whole exam
• there are no additional devices, books or other forbidden materials within your reach

You will have to show your environment to the proctor and will not be able to start the exam if there are
additional devices, books or other forbidden aids that can help you during the exam.

Note: For ISTQB exams you are allowed to use a whiteboard / chalkboard (e.g. either a portable toy
whiteboard which can be bought at a toy store or an office whiteboard) to make notes during the exam.
If you are intending to use a whiteboard / chalkboard, please prepare it before the exam and have it
within your reach. This is valid exclusively for ISTQB exams!

✓ Have your photo ID with you

✓ Log into the system on time


You can start the exam by following the link from step 2 of your invitation e-mail.

The exam access is only valid during the time indicated in the e-mail.

After logging into the system, you will be guided through following steps:

Note: You will be welcomed by the proctor in the chat window at the bottom of the screen.
The proctor can hear you, but can only contact you through the chat window.
You can contact the proctor via the chat window throughout the whole duration of the exam.

2. Set up your smart device

Note: For some exam modules, it is not required to use a smart device, so this step will not appear.

Turn on airplane mode on your device, then scan the QR code on your screen with the ProctorExam
App that you have downloaded on your smart device.
Please make sure that your smart device is connected to Wi-Fi. It is not possible to use mobile data!

The camera on your smart device will start recording.

As your device will be working during the whole duration of the exam, please make sure that it is fully
charged or is charging during the exam! Remember that you cannot use your laptop or desktop for
charging as your mobile device will have to be placed 3 meters away from your laptop or desktop!

3. Show your surroundings

Using your smart device camera, show your surroundings to the proctor.

Please be aware that the proctor will guide you through these steps via chat messages.

You will need to show your computer and keyboard, your desk and the area behind your computer, the
space under your desk and the ceiling as well as the corners of your room.

Lastly, you will be asked to show your ears to the proctor to prove that you are not using earphones.
Please be aware that in case you are using hearing aids, you will need to remove them before the exam.

4. Set up your cameras

Both of your cameras – the webcam and the smart device camera must be set up.

You will have to place your mobile device with the camera 3 meters away from you, so that the camera
captures you and the screen of your laptop or desktop.

If you are taking an ISTQB exam and are intending to use a whiteboard/chalkboard, you will need to
show it to the proctor. The board must be clean before the start of the exam and must be located within
your reach AND within the camera view.

The proctor will ask you to show that the marker you are using is erasable. You will need to write a word
on your whiteboard/chalkboard and erase it.

✓ Start the exam


Follow the instructions on your screen to access the exam system. The exam will be open in a new tab.

Do not close the ProctorExam tab throughout the whole exam duration.

HOW TO USE THE EXAM SYSTEM?

1. Read and accept the examination conditions

2. Fill in your personal data. Make sure that there are no typos or mistakes in your
name or e-mail address

Note: Please be aware that when you are logged into the exam system, you will not be able to see
your video stream.

3. Start the exam by clicking „Ready“

4. Read the conditions for taking your exam and accept them

These are the conditions relevant for your specific exam. Here you can find the information about
the duration of your exam, the pass mark etc.

5. Your exam starts now

The exam time starts running from this point.

By using the toolbar on top of the window, you can

go to next or previous question

mark the question

open the attachment

open calculator

make notes

finish the exam if you are done before the exam time runs out

If there is no attachment in a specific exam question, you will not see the „Attachment“ button in
the toolbar. In case the „Attachment“ button is shown, it meant that the question contains an
attachment.

You can see the remaining exam time in the top right corner.
The overview of the questions can be seen on the left side of the screen.
You will receive a notification at the bottom right of the screen if proctor sends you a message.

It is always possible to contact your proctor in the ProctorExan tab.


To do so, please use the chat window at the bottom of the screen.

You can make notes on the whiteboard/chalkboard at any point of the exam, as long as you stay
within you camera view (valid only for ISTQB exams)!

The proctor may ask you to show your whiteboard/chalkboard to the camera at any point of the
exam.

6. After you have answered all the questions and would like to finish the exam,
please use the „Finish" button in the toolbar.

After finishing the exam it is NOT POSSIBLE to resume the exam!

7. Your result will be displayed

8. Your proctor will ask you to erase your whiteboard/chalkboard before exiting
the exam system*

Should you not follow this rule, the proctor will report the incident and your exam result will be
invalidated!
*only for ISTQB exams

9. You can now exit the exam system

Go to the ProctorExam tab and click on the blue „Finish Exam“ button.

Your exam results will be sent to you via e-mail within one week after the exam!
You will receive your certificate from your exam center/training provider!
Please contact them to inquire about the certificate delivery times!

WHAT IS NOT ALLOWED DURING THE EXAM?

 using extra devices


 using a VPN software
 using books, notes or additional materials
 making notes on paper
 using headphones, earphones or hearing aids
 talking or singing
 having third persons in the room with you at any point of the exam
 taking toilet breaks

Please be aware that if you break the exam conditions or involve in fraudulent exam practices, the proctor
must stop your exam. You will not be refunded.

DATA STORAGE

Here you can find the information regarding the data that is recorded and stored during and after the
examination process.

The online exam system and the Google Chrome extension records and stores

• Video and audio stream during the entire exam session. The participant is notified with a message
that the recording will start from a certain point and has to give their consent to proceed
• Screen recording of the participant’s desktop (including the exam answers)
• Snapshot of the participant’s face and a photo ID (information such as ID number, address etc. can
be covered)
• Chat messages
o There are two chat tools: technical support and proctor support
• Exam content & exam result
• Name, language and e-mail address of the participant
• Date, time and duration of the exam
• Proctor's notes, e.g. notes on suspicious behavior of the participant during the exam
• Browser version, operating system, IP address

Further video streams are recorded and saved from the smartphone

Before the start of the exam, the participant must use their smartphone camera to show their surroundings
by making a video recording of:

• Their desk, keyboard and monitor


• Area behind the monitor
• Area under the desk and the ceiling
• All corners of the room (and therefore also the walls)
• Close-up of the ears (note: hearing aids must be removed).

During the exam, the video stream of the participant from a 3-meter distance is recorded and stored.

Deletion of data

Video data, the snapshot and the ID are usually deleted within 14 days. In the event of deviations from this
procedure, the participant will be informed promptly.

During the system check, the video and audio data (without snapshots) are also transmitted, but not saved.
