Role of Shape and Structure Builders as a Construction Administrator

Project name: Baluwatar Residence Date: 2023, December-20


Location: Baluwatar, Kathmandu

1. Project Coordination: Collaborating with Site Engineer, Architect, Engineer and


Owner to ensure effective communication and coordination throughout the project

2. Administration: Managing and administrating construction, including scope of work,


tracking changes on site and ensuring compliance with contractual obligations.

3. Permitting and Compliance: Coordinating the execution of necessary permits and


ensuring that construction activities comply with National Building Code
(NBC :2020)

4. Document Control: Managing and organizing project drawings, specifications, and


other relevant paperwork. Ensuring that the Owner have access to the latest and
accurate information.

5. Quality Assurance and Control: Implementing and monitoring quality assurance


and control processes to ensure that construction work meets specified design and
standards and adhere to project requirement/ objective.

6. Schedule Management: Collaborating with the project scheduling team to track


project timeline. Identifying potential delays and working to mitigate risk to the
project schedule.

7. Communication: Serving as a bridge between the Owner and Contractor/builder


(Octa Construction) facilitating effective communication and addressing issues or
concerns that may arise during construction.

8. Change Management: Managing change orders and variations to the construction


contract, including reviewing and processing change requests, negotiating changes
with contractor (Octa Construction) and ensuring proper documentation.

9. Risk Management: Identifying and assessing potential risk to the project and
developing strategies to mitigate these risks. This may include issues related to the
structural stability/ Retrofitting work of the building.

10. Site Visits and Inspection: Conducting regular site visits and inspections to monitor
construction projects and ensure that work is carried out according to plans and
specifications.

11. Closeout Procedures: Coordinating the completion and closeout of the construction
project, including final inspections, checklists, and handover of the project
documentation to the owner.
Shape and Structure Builders Pvt. Ltd (Construction Administrator)
won’t be responsible for the following:

1. Design Decisions: The Construction administrator is not responsible for making


design decisions or alterations. Design related responsibilities are under the role of the
project architect or designer (Octa Construction).

2. Public Relations and Community Engagement: Public relations and community


engagement are generally not the direct responsibility of the construction administrator
(Shape and Structure Builders). However, we may contribute to communication efforts
as part of a broad team.

3. Land Use Planning/ Site Development: Responsibilities related to land use planning
or site development or regulatory approvals, are not part of the construction
administrator roles. This may involve collaboration with architect (Octa Construction)
or regular specialists.

4. Financial Decision- Making Beyond Budget Oversight: The construction


administrator is not authorized/ responsible to make financial decision/ billing of the
project. Major financial decisions may involve collaboration with project manager.

5. Direct Supervision of Construction Crews: While overseeing construction progress,


the construction administrator (Shape and Structure Builders) is not responsible for
directly supervising or managing the day-to-day activities of construction crews. This
falls under contractor scope (Octa Construction).

6. Procurement of Materials: Procuring construction materials is not within the direct


responsibilities of the construction administrator (Shape and Structure Builders).
However, we may collaborate with the site engineer/ contractor (Octa Construction) to
ensure material meets project specification.

7. Hands-On Construction Work: The construction administrator (Shape and Structure


Builders) does not engage in physical construction activities or perform on-site
construction work. Our role is supervisory and administrative in nature.

8. Legal Decision-Making: Legal decisions, including dispute resolution and contract


interpretation are not the primary responsibility of the construction administrator.
Legal matters may involve collaborating with legal professionals.
9. Architectural Design Review: Detail review on designs is not within the scope of the
construction administrator.
Note: Designers (Octa Construction) are responsible for providing design, make changes and
approve the Architectural/ Structural/ Electrical and Sanitary drawings.
