9. Encoding a message means to change the message into a form suitable for sending. The factors which must be
considered when encoding messages are language, cultural differences etc.
10. The main steps in a communication are in the form of a cyclic process and these are explained below:
i. The First step is initiated by the communicator or sender or organisation originating the communication. It decides
what the message is, how it will be expressed and sent and who it is to be sent to.
ii. The Second step is encoding which means to change the message into a form suitable for sending. The factors which
must be considered when a encoding messages are cultural differences etc.
iii. The Third Step is the message that is the actual information that the sender wishes to convey to the receiver.
iv. The Fourth step is the medium or channel by which the message is sent. Some messages are more effective in written
form, others may be more effective on the telephone. Noise introduced by a communication medium is anything that
interferes with communication.
v. Another step includes the receiver who is the person or organisation to whom the message is sent.
vi. Decoding is another step in the process in which the receiver interprets and understands the message. Sometimes
errors in the decoding occur if the receiver is not sure in understanding the message.
vii. The Last step is the feedback means the receiver's response to the message. Requesting clarification is a part of a
good feedback phase of the communication cycle. Without feedback, the communication remains incomplete.
