Onboarding Checklist for New Employees – Your First Week

Congratulations and welcome to your first week!

Your job this week is to settle in, meet your colleagues and to begin learning about the organization and
your role.

As a new employee, there can be lots of new information to absorb and many tasks to complete. The
following checklist is intended to help guide you through the first week of the onboarding journey. While
you are responsible for aspects of your onboarding journey, please know that your supervisor, buddy or
team members are available to support you and assist with any questions that you may have.

Welcome and Introductions


Some of these tasks are only applicable if you will be working in office, or whenever your first day in the office is:
Find your workspace and surrounding areas (e.g., kitchen, break rooms, washrooms, lockers)
Get introduced to your immediate team members
Get assigned a “Buddy” (if applicable)
Get Photo ID/Access Pass, printer “fob” and any other access tools you need
If you are new to the BC Public Service:
Ask your supervisor what your employee ID number is (in some cases, this may not be available on
your first day)

Facilities Tour
If you will be in the office, or whenever your first day in the office is:
Tour the overall facilities and the various work units, including:
 Entrances/exits and evacuation routes, emergency alarms, extinguishers, exits and muster stations
 Break/kitchen areas (inform them of any severe allergies or protocols to be aware of)
 Incoming/outgoing mail and deliveries
 Garbage, recycling and confidential shredding
 Printers/copiers
 Meeting rooms
 Parking, bike storage, exercise & locker facilities, showers

Get introduced to branch staff and particularly:
 Branch admin
 First Aid Attendants and Safety Warden
 Union Representatives (if applicable)
 Director, Executive Director and Executive Member

Schedule
Review and discuss your schedule for the day and Week One
Find out about your hours of work (schedule) and lunch and coffee breaks
 Your supervisor will set this schedule up in Time and Pay. If you are a current BC Public Service
employee, any previous schedules will be canceled and updated
Discuss any flexible work options available for your work unit (if applicable)
 Review Work Arrangements for more information

Pay and Benefits


If you are new to the BC Public Service or changing positions, complete and submit your applicable pay
and benefits forms once you receive your employee number. For more information refer to Careers &
MyHR.
☐  New Bargaining Unit employees must submit Assignment of Union Dues forms and all other forms
listed on the Benefits for Bargaining Unit Employees website
 New Excluded employees must submit all forms listed on the Benefits for Excluded Employees
website
☐ Discuss pay days and time entry protocols and procedures with your supervisor
If you are new to the BC Public Service:
Complete and submit the following forms:
☐  Payroll Direct Deposit Authorization
 TD1 and TD1BC
☐ Ask about the pay day schedule and when you can expect to see your first pay cheque
Ensure you have access to My Time and Pay by clicking on “Self Service” tab, then launch (if you have
☐ troubles connecting, contact MyHR)
On your Employee Self-Service (ESS) page launched from My Time and Pay, you should have a number
of boxes. Explore them all and ensure you have access to them. If you have difficulties launching any
of them, let your supervisor know and/or contact MyHR.
☐  Time/Leave Employee WorkCentre (log into Employee Self-Serve to initiate the Time and Pay set-
up). Make sure you review your monthly schedule to ensure it is correct. If it isn’t, let your
supervisor know. Sign up for the Time and Pay course for more information.
 Learning (log into Employee Self-Serve to access the Learning System)
Update your Personal Details
☐ Click on “Personal Details” on the Employee Self-Service page in Time and Pay and review and update
your address, contact details, emergency contacts and any additional information

Work Unit Processes


Ask about the dress code (e.g. casual Fridays)
Ask about procedures for when absent from work, working overtime and requesting vacation
Learn about the protocols for personal and shared computer drives
Find out about any other office protocols or correspondence for your work unit

Tools and Technology


Find out your phone number(s) or ensure your phone number(s) have been transferred
Familiarize yourself with the phone system (if necessary) and set up your mobile device (if applicable)
Set up your voicemail with your name and your new work unit
Create or update your email signature (ask your supervisor if there is a template to use for your team)
☐ Find out about any other computer applications required for your role and work unit
☐ For Ministry specific applications and technical support contact the Ministry of Health Help Desk
If you are new to the BC Public Service:
Review telephone, mobile device, email, social media policies and procedures
Log on to your computer using your IDIR name (to be provided) and create a password
Register for Multi-Factor Authentication (MFA) (IDIR restricted)
 MFA registration is required for all new IDIR users
Validate your IDIR. You may not be able to do this on your first day, but it needs to be completed as
soon as you are able to
Set up your email (click on Outlook and follow the instructions)
Register your ‘fob’ (visit the nearest printer, scan your ‘fob’ and follow the onscreen instructions)

Ministry and Branch


Begin to review and talk to your supervisor and colleagues about ministry specific information. There is a lot to
learn when you start and you aren’t expected to know it all, so give yourself time to take in the information
over the coming weeks and months. Always feel free to ask questions and discuss with your team!
Review and discuss the following with your supervisor and how they connect to the work:
 Ministry’s Vision and Mission and
☐  Ministry Plans
 Minister’s Mandate Letter
 Government Strategic Plan
Review division and branch plans and organizational charts to:
 Familiarize yourself with the Ministry and your branch and team’s structure
☐  Review who the Members of Executive and Executive Directors are for your ministry/branch
 Understand the work and priorities of your division
☐ Ask about key contacts/phone lists and who the key stakeholders are
☐ Take a look at the Ministry intranet site, Health ePlace, and the New Employee Onboarding page
Find out about branch intranet and SharePoint sites or any other useful websites/intranet sites
☐ specific to your work unit
☐ Learn about ministry or branch specific communications or regular meetings
Learn about important documents related to the sector/ministry, branch or division/team that will
☐ assist you in your new role
Ask about any special correspondence such as for cabinet operations and any other branch specific
☐ correspondence, protocols, or policies
Learn about records management and file storage procedures (paper based and electronic records)

Get Connected
☐ Schedule time with your team members to connect and learn more about each other
☐ Make connections with other colleagues in the branch, clients and stakeholders
☐ If you wish, add your photo to your profile on Health ePlace

Your Role and Performance Expectations


☐ Review your job description and role
☐ Learn about the competencies necessary to be successful in your role and as part of your new team
Work with your supervisor to understand expectations for success - first week, first month and

☐ Find out about your first assignment and/or tasks to be completed

Your Supervisor
☐ Find out their leadership style
☐ Discuss how you like to be led and recognized
Confirm how you will communicate with your supervisor or receive support as you onboard to your
☐ new role
☐ Understand your reporting relationships
☐ Learn about how the work is organized, assigned and prioritized

Training and Development


If you haven’t completed the following already, register and complete the mandatory training (within
the noted timeframe) through the Learning Centre. Note: completion is not required the first week:
 Annual Review of the Standards of Conduct & Oath of Employment (take annually)
 IM 117 Information Management: Access, Information Security, Privacy and Records Management
(to be completed every two (2) years thereafter)
 Diversity and Inclusion Essentials (to be completed once)

 Fraud Awareness and Prevention (to be completed within first six (6) months and every three (3)
years thereafter)
Any other Ministry, branch, and/or role specific required or recommended training, including:
 San'yas Core Indigenous Cultural Safety Health Training (to be completed once)
 Health Sector 101 (to be completed once)
 Peer to Peer Learning hosted by groups at the Ministry of Health
☐ Check with your supervisor for other required/recommended training specific for your role
If you are new to the BC Public Service, register to take:

☐ Oath of Employment (must be completed within your first 90 days)

Safety, Health, and Wellness


All new employees and employees changing position to a different branch must complete the New
Employee Health & Safety Orientation to familiarize themselves with the unique safety protocols at

 Review New and Young Worker Orientation on MyHR
 Read Occupational Safety and Health (HR Policy 04)
Discuss any additional ergonomic needs with your supervisor.
☐  If you are unsure do a self-assessment by completing the Computer Workstation Self Setup E-Tool.
Then discuss any needs identified with your supervisor and/or an in-house Ergonomic Assessor
☐ Review the Ministry of Health Occupational Safety & Health intranet page

☐ Voluntarily disclose any medical conditions or severe allergies to the first Aid Attendant
Remember you won’t be able to take it all in at once. Take breaks give yourself time to assimilate new
