Navigation links
Navigation links help users get to information within a workbook, quickly. People who use screen readers
sometimes scan a list of links. Links should convey clear and accurate information about the destination.

1 Give links meaningful names. Inventory List worksheet uses 2 navigation links: "Start" and
"Inventory pick list". See navigation link sample image in cell C4.

2 Add screen tip text that describes, in brief, what will happen when that link is selected. See
screen text sample image below.

3 Accessible users find it helpful to call out important shapes like this in the worksheet. For
instance, the A1 summary input message indicates a navigation button exists and tells the user
where it directs them to. See the A1 input message in Inventory List worksheet.

4 It takes several steps for accessible users to access a shape with a link. There are a few ways we
make that easier for them.

4.1 Make sure the shape fits entirely within a cell block (e.g. cell E2 of Inventory List
worksheet).

4.2 Add text to the cell with the shape that mirrors the text in the shape.

4.3 Make the text hyperlinked and align entirely behind shape.

4.4 Add an input message that says there is a navigation link in this cell.

4.5 Add the exact same link and screen tip text to the cell as in the shape.

4.6 Hide the text by modifying the Hyperlink cell style or creating a custom style such that the
font color is the same as the background color. Make sure both Hyperlink and Followed
Hyperlink cell styles match.
Conditional Formatting
Conditional formatting is useful to highlight data that matches a defined set of criteria.

1 Conditional formatting is not an accessible feature but is highly leveraged when developing
visually appealing templates. To help accessible users understand when conditional formats
have been used, more annotations must be made.

3 Cell C8 adds more context for the highlighting done within the table image.

4 To help accessible users understand when conditional formats have been used, use annotations.

5 Do not refer to colors when indicating items that are highlighted. If you must mention a color,
include the RGB values with the color reference.

Icon sets
Icon sets as a part of conditional formatting are not an accessible feature but are highly leveraged when
developing visually appealing templates. To help accessible users understand when icon sets have been used,
use annotations.

1 Icon sets are useful to highlight data that matches a defined set of criteria but whenever possible
must be accompanied by text as in the Reorder example image in cell C4.

2 An input message in table headings with icon sets within the row or column of the heading,
help accessible users understand when an icon set is within a cell. See input message example
in cell D4.

The input message for column K from Inventory List worksheet in cell D4 has the following
text: "A flag icon in this column indicates items in inventory ready for reordering".

3 Heading cell of column K of Inventory List adds more context for the highlighting done within
the table. For a visual user, a blank heading with icons only within the column is usable.
However, to make this accessible, there must be text added.

Tip: Sometimes decreasing the width of a column or making the heading text the same color as
the background will hide the text to retain visual appeal.

4 When making accessible templates that contain icon sets, be sure to deselect to
Show Icon Only within the conditional formatting options.

5 After applying the conditional formatting, create a custom style called Icon Set. For the number
setting, create a custom number format: "Reorder";"";"".

Note this custom style has been applied to column K or Inventory worksheet.

The text "Reorder" appears, along with the icon as in the sample image in cell F3.

Tip: Sometimes the additional text isn't visual appealing. Similar to hiding heading text, a
custom style can be created and applied to the column to hide the text in the data cells.
