Mail Merge Introduction
MAIL MERGE
When user wants to send invitation letters (generally invitation letters have the identical
standard information except the mailing addresses of the recipient to be printed on the top) to
a group of people, then the problem is to prints these letters because each time user has to go
back to the same document in order to change the address.
To solve the problem, MS Word provides a facility named "Mail Merge" which allows merging
of main document with mailing lists.
To create the multiple copies of letters, email etc. MS Word facility the mail merge features.

COMPONENTS OF MAIL MERGE


1. Main Document: this document contains the content (e.g. letter) with various field names,
such as first name, last name, address, etc. which are accessed and saved from a data file. After
this, it inserts the names and addresses in the specific places in the merged document.
2. Field name: specify the place where the variable information is to be inserted. It is noted that
the field name of both main document as well as data file are same.
3. Data file: all the information which are to be placed into the main document are stored in
the data file. This file saves all the information in the tabulation form. Data source covers the
information that will vary or differ.
For example invitation letters would contain recipient's information, such as:
i. Name ii. Address lii. Phone number

Steps of mail merge

Step 1) Select a document type:


The first step is to collect a document type.to do this go to the mailing tab then click on start
mail merge command then choose and select the document type.

Step 2) Connect the document to a data source:


After selecting document type the next step is to select the recipient list also known as data
source. To select the data source open the 'mailing tab' and go to the 'start mailing merge
group. Click the 'select recipients' and choose any one option from the lists.
Step 3) Edit Recipients:
user can create a new list, but if the user has an existing list, then he/she should select existing
lists. If needed, then user can also edit the recipient list.

Step 4) Insert merge fields:


After selecting and editing the recipient lists the next step is to insert the merge field. To insert
the Merge field, firstly select the place where you want to insert the different blocks, such as
title block etc. and point out cursor at that place.

Step 5) Preview your letters:


After completing the insert merge field users can see the preview the of the letter using
preview results available on the mailing tab. If there is any error then users have a chance to
remove errors.

Step6) Finish the mail merge:


In the end select the finish group over the mailing tab and choose the finish and merge option
and select options accordingly.

Inserting Picture In MS Excel
Inserting a picture in your worksheet is an easy way to show information or add visual
interest. Following are the Steps to add picture in excel sheet.

1. Go to the Insert tab.

2. Click on the Pictures option (it’s in the illustrations group).

3. In the ‘Insert Picture’ dialog box, locate the pictures that you want to insert into a
cell in Excel.

5. Re-size the picture/image so that it can fit perfectly.

Microsoft PowerPoint
Introduction

Microsoft PowerPoint, virtual presentation software developed by Robert Gaskins and


Dennis Austin for the American computer software company Forethought, Inc. The
program, initially named Presenter, was released for the Apple Macintosh in 1987. In
July of that year, the Microsoft Corporation, in its first significant software acquisition,
purchased the rights to PowerPoint for $14 million.

PowerPoint was designed to facilitate visual demonstrations for group presentations in


the business environment. Presentations are arranged as a series of individually
designed “slides” that contain images, text, or other objects.

Creating a presentation
1. Open PowerPoint.
2. In the left pane, select New.
3. Select an option:
 To create a presentation from scratch, select Blank Presentation.
 To use a prepared design, select one of the templates.
 To see tips for using PowerPoint, select Take a Tour, and then
select Create, .

Adding a slide
1. In the thumbnails on the left pane, select the slide you want your new slide to
follow.
2. In the Home tab, in the Slides section, select New Slide.
3. In the Slides section, select Layout, and then select the layout you want from the
menu.

Adding a picture
1. Go to the Insert tab.
2. To add a picture:
 In the Images section, select Pictures.
 In the Insert Picture From menu, select the source you want.
 Browse for the picture you want, select it, and then select Insert.

Adding a Theme
1. On the DESIGN tab, in the Themes group, click More.
2. Do one of the following:
3. Under Custom, choose a custom theme to apply.
4. Under Office, click a built-in theme to apply. If your goal is to display little to no
color in your presentation, (something plain with a white background), apply
the Office Theme

Animation in Microsoft PowerPoint
Animation
Animation is a method in which figures are manipulated to appear as moving images. In
traditional animation, images are drawn or painted by hand on transparent celluloid
sheets to be photographed and exhibited on film. We can perform simple Animation in
Microsoft PowerPoint with the Following Method.

Adding animations and effects


1. Select the object or text you want to animate.
2. Select Animations and choose an animation.
3. Select Effect Options and choose an effect.

Manage animations and effects
There are different ways to start animations in your presentation:
 On Click - Start an animation when you click a slide.
 With Previous - Play an animation at the same time as the previous animation in
your sequence.
 After Previous - Start an animation immediately after the previous one happens.
 Duration - Lengthen or shorten an effect.
 Delay - Add time before an effect runs.

Add more effects to an animation


1. Select an object or text with an animation.
2. Select Add Animation and choose one.
