1. Introduction
The software SafeLink for Windows, together with the Safe Interface USB which is
shown in the below picture, can be used for operations on safes such as
commissioning
reading out events
service opening etc

SafeLink for Windows can be run on a service PC or service tablet offered by ASSA
ABLOY Hospitality, or on any standard laptop or tablet meeting the requirements
in section 1.1 below. From now on in this manual, 'PC' will be used for all variants.

1.1 PC requirements

1.2 Terminology
User code (guest code) 4- or 6-digit code chosen by the user in order to lock and unlock the safe.
Service Device A Service Device is a tool which allows you to unlock a safe in case:
user has forgotten his/her code
guest has checked out without unlocking the safe
kids have been playing and accidentally locked the safe
batteries in safe are dead
Depending on type of Service Device, you also have the possibility to:
view and print event log (audit trail)
administer users and passwords/PIN codes
program safe’s memory
use rental system (Code Activator)

Service Opening Procedure when using a Service Device to unlock a safe; see chapter 9
for more information.
Service Code This is a code which is programmed into the safe and into the memory
of the Service Device. A Service Opening will only be possible if the
code in safe and Service Device are identical.

Safe: At delivery, the safe has a default Service Code. When setting
room number in the safe, the Service Code will be set to the hotel's
unique Service Code.

Service Device: The Service Code in the Service Device will be set
when keying in the License Code.
Decoding In case the Service Code in safe and Service Device are different,
the safe can be unlocked by a Decoding procedure. This procedure
is performed by logging into the service portal; see separate instruction for
the service portal with details about Decoding. Until end of May 2018, it is
also possible to perform Decoding in the web site My ASSA ABLOY
hospitality.

After a successful Decoding, the safe’s Service Code will automatically


be set to the hotel's unique Service Code.
User The user name of an authorized hotel security person
Password The password corresponding to a user name
License Code This is a code needed to complete the SafeLink for Windows software
installation. The License Code contains encrypted data like System Number
and Service Code.

The License Code should be kept securely to avoid any misuse. The Hotel
Manager, or other person selected by the Hotel Manager to be responsible
for adding and organizing users in the SafeLink for Windows software,
should take care of the License Code. If the License Code is lost or
possibly stolen, please contact your local ASSA ABLOY Hospitality
distributor to achieve a new one.
System Number / This is a unique number for each hotel. Through the System Number,
Hotel ID ASSA ABLOY Hospitality can find all information about Service Devices
and Service Codes at the hotel. This number should be kept securely
and be referred to on any additional orders.

1.3 Checklist before start


SafeLink for Windows software must be installed; see chapter 2. For computer
requirements, see above. Note: A valid license code is required to install the
SafeLink for Windows software.
A valid password is required to log on to the SafeLink for Windows software;
see chapter 3.
Make sure that the time in the SafeLink for Windows software is correct;
see section 5.2.
A Safe Interface USB (see picture here) is required for communication between
the safe and the SafeLink for Windows software.
Before taking the safes and SafeLink for Windows software into normal use, they
must be set up properly to make sure that all operations between them will run
smoothly. SafeLink for Windows setup operations are described in chapter 5,
while programming of safes is found in chapter 6. Note: Backup made in an
older SafeLink for Windows version must be restored if you want to keep
old settings and users.
For printing of event logs or safe configuration, see chapter 8.

2. To install the software and

Important: To avoid compability issues, we strongly advise to make a backup of
existing database and remove any older version of SafeLink for Windows before
following the installation steps below.

2.1 To install the software

1. Double click on SafeLink vx.xx Setup.exe.
2. Depending on firewall, the application might
be blocked. If any of the two messages 'Application
blocked' to the left are shown (the first one if
the application has never been installed before,
the second one if the installation has previously
been blocked).
- if the application has not been previously
installed, mark the radio button 'I trust
the application. Let it continue.'
- if the application has previously been
blocked, click the link 'change the
application permissions'.

3. When the application has been allowed,


the message to the left is shown.

4. In the Welcome dialog, click Next.

5. If a previous installation is detected, follow the


instruction in the message which is shown.

6. In the Ready to Install dialog, click Next.

7. A message that License Code is required will


be shown; make sure that you have the code
ready at hand and then click I Have My License
Code Ready.

8. The installation will start.

9. In the License Code dialog: key in
the license code (20 digits) manually,
or if you have it in a document or e-mail,
copy it and click Paste from Clipboard.
10.Click Next.

Note: The License Code should be kept


securely by the Hotel Manager or other
person selected by the Hotel Manager to
be responsible for adding and organizing
users in the SafeLink for Windows software.

11.In the USB Safe Interface Drivers dialog, follow


the instruction on
the screen and then click Next.

12.In the Installation Finished dialog, click Finish.

3. To start and exit from the software

3.1 To start the software


1. Open SafeLink from the Start menu, or double click
on the shortcut icon.

2. If this is the first installation of any SafeLink for Windows


software on the PC, or if you selected to overwrite or
not use the old database, the screen to the left will
be displayed. Type in a password which is selected
by the Hotel Manager and needs to be reconfirmed.
Note: Make sure to remember this Hotel Manager
password, which must be kept securely and only be
used by the person responsible for administrating
users. If this password is lost, the SafeLink for
Windows software needs to be re-installed
(see chapter 2) and a new password be selected.

3. To log in, enter the password and click OK.

Note: The S/N up to the right in the dialog is shown for


internal testing only; each user will have a different S/N
(depending on their assigned License Code).

4. If the dialog shown to the left appears: make sure


that the Safe Interface USB is inserted properly into
the service contact of the safe and then click Retry
Log On, or select Continue to work offline.

Note: If Retry Log On does not work and communication


with safe is required: choose Continue and follow the
procedure described in section 5.5 to choose a COM port.

3.2 To exit from the software

1. In the main menu, click Exit down to the right.

2. By marking the 'Logout only' checkbox, SafeLink


for Windows will go back to the logon window and
prompt for your password. If you leave it unchecked,
the SafeLink for Windows software must be restarted
the next time you use it.

3.3 Password protection


To maintain the highest level of security and traceability, each person (user) having
access to the SafeLink for Windows software must have an individual password.

4. To connect to safe
The Safe Interface USB can be used with all safes that have a mini-DIN connector,
i.e. all models of Zenith, Infinity, Sentinel and Xtra.

Note: The below pictures show Sentinel II, but the same principle applies for all
models mentioned above.

1. Important: Start by touching a steel part of the door to discharge any


static electricity.

2. Remove the protection cap from the service contact.

3. Connect the Safe Interface USB carefully to the safe.


Make sure that the "thumbgroove" is facing upwards.
When connecting to a digital safe with PH III electronics,
USb will be displayed on the safe.

Note: If you touch any of the keys on the safe, and Ser
or “…” is displayed, disconnect and reconnect the Safe
Interface USB.

4. Double click on the SafeLink software shortcut icon.


5. Log on to the software.
6. Important: When you disconnect the Safe Interface USB after having
performed all desired SafeLink for Windows operations, make sure that
the protection cap of the safe is refitted completely.

5. Setup of SafeLink for Windows

5.1 Introduction
For security reasons, the SafeLink for Windows software must be adapted to each hotel.
To maintain a high level of security, each person who is allowed to use the SafeLink for
Windows software must have a unique password. At least one person at the hotel must
be in charge of the SafeLink for Windows software administration. This person will be a
user at Hotel Manager level and must handle:
User administration (see sections 5.3 and 5.4)
Installation configuration (see section 6.1)
Backup of the SafeLink for Windows setup, including user information (see section 11.2)

Always remember to:


Fill in the LogBook whenever a service opening or decoding is performed.
Exit from the SafeLink for Windows software after having performed the
desired operation(s) in it.
Store the Safe Interface USB in a safe place.

5.2 To adjust the time


Safes with event log have an internal clock to provide date and time stamps for the event log.
This clock is checked against the SafeLink for Windows software time during each logon; it is
therefore of great importance that the SafeLink for Windows software time (same as the PC
time where the SafeLink for Windows software is installed) is correct.

5.3 User levels
The user(s) with Hotel Manager status is responsible for administration of users
and passwords (see section 5.4), and also of SafeLink for Windows software setup
(see section 5.5). The Hotel Manager will in turn get his/her SafeLink for Windows
password from the local ASSA ABLOY Hospitality distributor.

Note: It is very important to keep up a good system for user administration,


and keep the list of users up to date. Make a backup copy of the user database
every time it is changed; see section 11.2 for details.

The SafeLink for Windows software has four user levels for normal use; see table
below for more information.

5.4 User administration

5.4.1 To add a user

5.4.2 To edit a user
To change user level and/or password, follow the steps below:

5.4.3 To deactivate a user

5.4.4 To reactivate a deactivated user
If a user is deactivated according to section 5.4.3, the user is not erased from the
user list; instead the user name will be greyed out and the password for the user
will not work. It is however possible to reactivate the user again.

5.4.5 To print a user list


To keep good record of the employees allowed to use the SafeLink for Windows
software, an updated list of users should be printed every time a user has been
added, deleted or edited. The list contains user name and level of user rights.
Deleted users are marked with an X. See section 8.4 for more information
regarding printer usage.

5.5 System setup
Warning: Settings in System Setup are not to be changed without consulting
your local ASSA ABLOY Hospitality distributor. Incorrect settings might lead to
SafeLink for Windows malfunction.

Note: You must be logged in with a Hotel Manager password to access

6. To commission/program the safes

When receiving a safe, it is normally in Transportation Mode; the safe appears


to be out of battery. Pressing any key except for RESET will not activate anything
in the display. Pressing RESET will display one dot “.” for 3 seconds in the display.
To activate the safe, the safe must be commissioned (programmed). This can be
done by use of SafeLink for Windows or PinKey on each safe. Note: Only users with
Supervisor or Installer level can commission safes. The procedure is to be carried out
in close cooperation with your local ASSA ABLOY Hospitality distributor.

The commissioning consists of the below steps:


1. Installation configuration; this is required before steps 2 and 3 are performed.
2. Setting of room number (all safes except for Old Classics); see section 6.2
for details.
3. If desired, safe configuration (all safes except for Old Classics); at delivery,
the safe is already configured with the parameters described in section 6.3,
default values according to the applicable section 6.3.1 or 6.3.2.

6.1 Installation configuration


1. Double click on the SafeLink shortcut icon to start the software.
2. Enter a valid password and click OK.

Note: If there is a request for adapting old safes to the SafeLink for Windows
software, these safes must be programmed to match the Service Code already
programmed in the software. For setup of the software for this operation,
you need to contact your local ASSA ABLOY Hospitality distributor.

*) Change serial number is only to be used if the inside or front PCBA has been changed. The serial
number stored in CPU should match the number found on the serial number label. This is essential for
Code Activator systems.

Change service code is applicable e.g. if a Service Device disappears/is stolen and the Service Code
needs to be changed.

6.2 Install room
When performing Install Room on a safe, the following will happen to the safe:
Service Code is changed from Factory Code to the hotel's unique Service Code.
Safe is set into Normal Mode (activated for normal use).
Room number is assigned (for PHIII safes, the following applies: if a room number
is not set, the safe will not be taken out of Transportation Mode).

Tip: During the installation, a log showing the following information will be
generated in separate columns:
Hotel Name
Hotel ID
Serial number of safe
Room number
Time & date
These columns will be comma-separated and the file can be opened in a text editor
or imported into MS Excel (or other similar applications) for sorting and analysis.
The location of this log file is defined under System setup; see section 5.5 for
more information.

Note: The installation log file is by default stored in a folder C:\ProgramData\


Safelink\Log on your PC.

6.3 Safe configuration

Note: If changes of the safe configuration are requested, please contact your
local ASSA ABLOY Hospitality representative for more details and assistance.

Note: For PHIII safes, only ASSA ABLOY Hospitality distributors with a
Supervisor password can change the safe configuration setup in the SafeLink
for Windows software. The section in the manual is only to inform the end user
about the possibilities.

Changing the safe configuration is done in two steps:


1. Changing the configuration setup in the SafeLink for Windows software;
connection to safe is not required.
Note: For PHIII safes, this can only be done by a Supervisor.
2. Uploading the new configuration to each safe; requires connection to safe.
Note: For PHIII safes, this can only be done by a Supervisor or Installer.

Options under safe configuration can be of software or hardware type; see table
on next page. Software options can be changed in all safes, while hardware options
require extra hardware components in the safe. Note: Be careful when changing
hardware options. Make sure the hardware is present and mounted correctly;
otherwise the safe may malfunction.

dependant on a PC-based administration system of safe model

8. To display and print events and configuration
It is possible to display, print and save reports of events stored in each safe's
memory and of activities done by the SafeLink for Windows software. This is
for tracking purposes. Note: The events must be displayed in the software
before you can save them.

All software activities will be stored in a log file, by default at


C:\ProgramData\Safelink\Log, with:
- Log on time
- Log off time
- User name
- Operations performed during log on

All safes have a configuration setup (see section 6.3 for details) which can be
controlled by the SafeLink for Windows software. Sometimes this configuration
can be incorrectly set, causing the safe to malfunction. The software provides a
possibility to display, print and save the safe configuration for troubleshooting.

8.1 To display safe events

Note: Both the safe event log and the SafeLink activity log can provide evidence in
case of false allegations of theft from guests, and in case of staff members misusing
the Service Device. There are good examples of hotels/cruise ships disclaiming
responsibility for lost guest property because they could prove their innocence
based on event logs from their safes. If you in addition have door locks with event
log capabilities, you could use the two systems together and make the evidence even
better. Note: The safe's event log will also show how much the safes are being used
by the guests. Keep in mind that the safe event log depends on the room number
in each safe, so make sure that you program the safes correctly during installation.

Configuration Changed Safe configuration was changed. There are two variants of this event; for PHIII boards
252-8404 and 252-8414, no configuration parameters are shown. For PHIII boards 252-8406
or 252-8416, the changed parameters are shown (name of the parameter and new parameter
value). The variant with parameters is named ’Config Changed’ and the variant without
parameters is called ’Configuration Changed’.
Cold Start The safe's microprocessor was restarted (this happens when safe looses power and gets it
back again; does not delete anything from the safe memory)
Bootloader When upgrading firmware in the safe, a bootloader event is stored. The bootloader event has
parameters showing what firmware versions the inside, the outside board and - if the safe is an
online safe - the online node had when the bootloader was called. When the firmware upgrade
is ready, a cold start is forced and the startup fw event (see below) is generated. A bootloader
event is always followed by a startup fw event. It is possible to see the firmware versions the
safe is upgraded to, as well as the firmware versions it is upgraded from.
Startup fw The safe has been cold started. The Startup fw event has parameters showing the firmware
versions for the inside, the outside board and - if the safe is an online safe - the online node.
This event uses the same parameters as the bootloader event (see above), i.e. also the startup
fw event shows what firmware versions the safe had when the bootloader was called.

electronic boards in the safe. This operation can be useful e.g. if new features are

Appendix: System events
When making a read-out of safe events according to section 8.1, it is possible to
choose to include all types of events or to exclude system events (which are only
of interest for technicians etc). The below table shows which event types that are
shown if the 'Include System Events' checkbox is marked/unmarked. To find out if
your safe has SADA or SADC firmware, follow the instruction in chapter 7 to view
Detailed Safe Info; see example below.

If the frontboard firmware is of SADA type, the version number starts with 1.
