WFH POLICY

Dear HLIS Employees/Trainees,


Creating a work-from-home policy is essential to
ensure that employees understand the
expectations, responsibilities, and guidelines for
remote work.

Hyperlink Infosystem Pvt. Ltd. Work-from-Home


Policy

1. Purpose

This Work-from-Home (WFH) policy outlines the


guidelines and expectations for employees who
work remotely. It aims to promote a productive
and efficient remote work environment while
ensuring compliance with company policies and
applicable laws.

2. Eligibility

Remote work arrangements may be available to


employees based on the following criteria:

• Job role suitability for remote work.


• 3 years industrial experience.
• Employee's performance and
demonstrated ability to work independently.
• Availability of necessary environment at the
remote location such as laptop, quiet
place, Internet availability, TD installed in the
personal laptop or PC etc.
• Compliance with applicable laws and
regulations.
• Based on the Need of any project
• Based on the Permission from Team Leader
• Based on the Permission from CEO if
needed.
• WFO employees are eligible to apply 15
WFH in a year.
• If you apply for WFH does not mean it is
approved so if in any case if WFH is still
availed then it will be considered as LOP.
• No one will ever be given permanent WFH. It
is always based on the above terms &
conditions.
• If anyone suddenly decides to take WFH in
the morning then permission will not be
granted.

3. Work Arrangement

Employees approved for remote work must adhere


to their regular work schedule unless otherwise
specified.

• Employees must have a designated and


secure workspace at their remote location.
• All work-related activities and
communication should be conducted
through company-approved tools and
channels including TD, EmPro, Skype &
official email etc.
• Employees are responsible for ensuring the
confidentiality and security of company
data, information & codes.
• Regular attendance and participation in
virtual meetings, as required, are expected.
• Immediate response to all the messages,
mails & calls are required.

• If you are not well and to avoid SL, please
do not apply WFH. If you are unwell, please
prefer to take rest & apply SL only.
• Frequent/continuous request of WFH will not
be approved.
• If you are applying WFH then it is up to your
reporting manager whether to approve or
to reject.
• Please apply WFH in advance. At least
before 3 working days. If your number of
WFH requests are more then please apply at
least a week ago.
• You can take WFH only when it is approved
from the system. If it is not approved and
you assumed that it will be approved then it
will be considered as leave or LOP.
• No verbal permissions will be granted.

4. Equipment and Technology

• Employees are responsible for maintaining


and ensuring the security of company-
provided systems & other hardware used for
remote work.
• In the event of any damage to company
property, regardless of the cause,
employees/trainees are required to pay the
actual amount to the company promptly.
• Any issues with company-provided
equipment should be reported to the IT
department promptly.
• You must visit the office if the issue occurred
is not solved in one day remotely by the IT
department. Please visit directly without
waiting for any official email for the same.
You just need to take confirmation from the
system admin & check his availability. For
that day, you are required to apply leave
when you visit the office for your system
related issues.
• If you work from the office using your own
system, ensure 8.5 hours are logged in TD &
EmPro.
• If leave balance is insufficient, apply for LOP.

• The company will not provide remuneration
for travel time, cover travel or any expenses,
or courier items to your home.
• If specific hardware is required and
available in the office, visit the office to
collect it. No separate expenses will be
approved.
• If your system experiences frequent issues,
you may be requested to switch to Work
From Office (WFO) mode.
• The company will not give any settlement
timer for your system related issues in case of
WFH. You either need to apply for leave or
LOP.
• Employees must have a reliable and secure
internet connection.

5. Data Security

• Employees must follow the company's data


security and information protection policies.
• Confidential company information should
not be shared with unauthorized individuals
or stored on personal devices.
• Securely dispose of physical and electronic
documents containing sensitive information.

6. Communication

• Maintain regular communication with


supervisors and colleagues through email,
phone, video conferencing, and other
approved channels.
• Respond to emails and messages promptly
during working hours.
• Notify your supervisor and team if you are
unable to work due to illness or other
reasons.

7. Performance Expectations

• Remote employees are expected to meet


the same performance standards as in-
office employees.
• Supervisors will evaluate remote employees
based on their performance,
communication, and adherence to
company policies.
• Performance reviews and assessments will
be conducted as usual and if it is not up to
the expectation then the employee needs
to start work from office on an immediate
basis.
• If there is any urgent need due to project or
client need or for the need to give training
sessions, mentorship, team collaboration
then the company can immediately start
WFO of any of the team member.
• Keeping WFO or WFH of any employee is
fully company’s rights to decide.

8. Expenses and Reimbursements

• Employees are responsible for any costs


associated with their remote work setup,
including internet and utilities.
• The company will reimburse reasonable,
approved expenses related to work duties
when required and authorized.
• The approval should be in written from the
authorized person only. If you do not know
who is the authorized person then please
contact HR for the same. Keep everything in
written.

9. WFH application through the EmPro system

• Employees must apply WFH from the HLIS


EmPro system in advance before 3 days.
• The employee is eligible to avail WFH only
when it is approved from the system by the
reporting person or the concerned person.

• If your WFH request is not approved from the
system, please do not assume that it is
approved and do not avail it. It will be
considered as LOP only.
• Verbal or Skype or email approvals will not
be considered.
• Employees must accurately track and report
their working hours.

10. Termination of Remote Work Arrangement

The company reserves the right to terminate or


modify a remote work arrangement at any time,
with or without cause, as deemed necessary.

11. Review and Revision

This policy will be reviewed periodically and


updated as necessary to ensure its effectiveness
and alignment with company needs and industry
best practices.
