1. INTRODUCTION

1.1 PURPOSE OF THIS DOCUMENT


This document is created with the intention to explain the internship requirement and also to fulfill
the need of the internship offer received via PSGR Krishnammal College for Women. This covers the
project from various perspectives of Microsoft, with the specialization in Microsoft Power BI, while
providing my service to ELGi Equipments Ltd, Singanallur.

1.2 OBJECTIVE OF THE PROGRAM


 Dashboard making skills i.e to be able to create a visualization dashboard for analyzing purposes
that are professional to enough to present.
 Public speaking skills i.e to be able to present the project effectively in a gathering.
 Professional work etiquette i.e to get an opportunity to learn to behave professionally at work
spaces.
 Data collection i.e to learn how to gather data on own, instead of using an already pre-owned dataset
from the cloud services.
 Microsoft knowledge i.e gaining knowledge on all the software provided by the Microsoft like
Microsoft Power Automate, Microsoft forms, Microsoft One Note etc.

1.3 SCOPE OF THE PROGRAM


 Training program for 3 months (100 days)
 Advancement in Microsoft software, especially Microsoft Power BI.
 Analyzing the company’s real life data.

1.4 ABOUT MICROSOFT POWER BI


Microsoft Power BI is a powerful and versatile business intelligence and data visualization tool
developed by Microsoft. It empowers users to transform raw data from various sources into
meaningful insights, interactive reports, and visually appealing dashboards. It is designed to make
informed decisions by analyzing and presenting data in a more accessible and comprehensible
manner. It enables us to explore, analyze, and present data-driven insights, leading to improved
business understanding and choices. The tool's continuous updates with other Microsoft products
make it a popular choice for data visualization and business intelligence needs.

In the three months duration of training in ELGi Equipemnets Ltd., various projects on various
client’s requirements have been handed over. These projects were done with the usage of Microsoft
Power BI, Microsoft Forms and Microsoft Power Automate and other Microsoft softwares. The
projects were handed over by the clients, themselves which helped the clear understanding of their
needs and requirements.

After the completion of a project at our end, it is reverted back to the client after consulting about it
with our internship coordinator or scrum masters. A Scrum master means a professional who leads a
team through a project using Agile project management techniques. But, in our case, scrum masters
also work as our project manager. The project is altered accordingly if their suggestions are liked
by the rest of the team members. The project will be passed over to the client from our end. The
client, then views and analyses the dashboard. If the dashboard does not meet with the expectations of the
client, alterations will be made until it is satisfied. The project is said to be completed only
when the client’s requirements have been met. The project is then used by the employees of
ELGi Equipments Ltd. Either for their research purposes or for the company’s records.

ADVANTAGES OF POWER BI :
Microsoft Power BI offers several advantages that make it a powerful and versatile tool for data
analysis, visualization, and reporting. Power BI is preferred for the following reasons.

Ease of Use: Power BI provides an intuitive and user-friendly interface that allows both technical and
non-technical users to create compelling visuals, reports, and dashboards without requiring extensive
coding or technical expertise.

Interactive Visualizations: Power BI offers a rich collection of interactive visualizations, such as


charts, graphs, maps, and tables. These visuals allow users to explore data, identify trends, and gain
insights through a variety of graphical representations.

Real-Time Insights: With automatic data refresh and support for real-time data, Power BI enables
users to monitor and analyze up-to-date information, making it suitable for dynamic and time-
sensitive analyses.

Overall, Microsoft Power BI empowers users to transform data into actionable insights, make
informed decisions, and drive business success by providing a comprehensive and flexible platform
for data analysis and visualization.

DISADVANTAGES OF POWER BI :
Though there are many reasons to prefer Power BI over other softwares, it also has a few
disadvantages. They are as follows.

Limited Offline Access: Power BI's full capabilities require an internet connection, which can limit
access and functionality in situations where online access is unavailable.

Performance Issues with Large Datasets: Extremely large datasets or complex calculations might
result in performance issues, requiring optimization strategies to ensure efficient report loading and
responsiveness.

Version Compatibility: Compatibility between different versions of Power BI Desktop, Power BI


Service, and Power BI Mobile can sometimes be a concern, potentially leading to formatting or
functionality discrepancies.

2: COMPANY PROFILE

2.1: ABOUT ELGI EQUPMENTS :


ELGi Equipments Ltd was founded in 1960 by L. G. Varadaraj, an industrialist and visionary
entrepreneur.
The company started its operations in a small workshop in Coimbatore, Tamil Nadu, India.
ELGi initially focused on manufacturing textile machinery components and related equipment.

In the 1970s, ELGi recognized the growing demand for air compressors in various industries and
decided to diversify its product line.
The company began producing air compressors and related products, marking a significant shift in
its business focus.

During the 1980s, ELGi expanded its manufacturing capabilities and introduced innovative
technologies in air compressor design and manufacturing.
The company's commitment to quality and innovation helped it establish a strong presence in the
domestic and international markets.

In the 1990s, ELGi further expanded its reach and began exporting its products to international
markets. The company gained recognition for its energy-efficient and environmentally friendly air
compressor solutions.

ELGi continued to invest in research and development, focusing on improving the efficiency and
performance of its air compressors.
The company's emphasis on sustainability and green initiatives led to the development of energy-
efficient and oil-free air compressor technologies.

ELGi solidified its position as a global leader in the air compressor industry during the 2010s.
The company expanded its international operations, established subsidiaries in various countries,
and strengthened its distribution networks. It is notable that ELGi is continuing its legacy as of the
date.

ANALYSIS AND REPORT

The making of a dashboard consists of the following stages as follows.

 Collection of datas

 Data pre-processing

 Creating relationship between data tables.

 Collecting useful insights from the datasets.

 Creating tables for visualization.

 Creating an interactive dashboard.

 DAX functions

 Dashboard

3.1 COLLECTION OF DATAS

Dataset can be generated from various sources, including surveys, experiments,


observations, sensors, databases, and more. They are commonly used in fields such as data
science, machine learning, statistics, and business analytics to extract insights, discover
patterns, and make informed conclusions based on the data.

The first step for analyzing in Microsoft Power BI is to save the dataset in the excel
format, preferably.After changing the dataset to the preferred format, it should be imported
to Microsoft Power BI. Understanding of the data is very essential to proceed further in
analyzing field.

Dataset : Ball_by_ball_2022.csv

This is the first dataset, which contains the datas of the bowlers played in the IPL 2022.

DATASET : ipl_matches_2022.csv

The second dataset is stored in Excel format, that contains the details of the players who bowled in
IPL 2022.

3.2 DATA PREPROCESSING


Data preprocessing refers to the systematic and essential steps taken to clean, transform, and organize
raw data into a more usable and suitable format for analysis or machine learning. It's like preparing
the data before it's fed into algorithms or models, ensuring that the data is accurate, complete, and
properly structured.

Microsoft Power BI does not support datasets that consists of null or empty cells. Also, the noisy
datas in the dataset should be minimized to zero. It can be done manually, as well as using a format
re-changing option.

Here, we have altered the ‘Date’ column from ‘whole number’ to ‘date’ format, so that the column
can be viewed in the correct format.

3.3 CREATING RELATIONSHIPS BETWEEN DATA TABLES
When you have data distributed across different tables, they may share common fields or columns
that link them together. By defining relationships between these tables based on these shared
columns, you can create a unified and structured dataset that maintains the integrity of the data
relationships. This allows you to perform queries and calculations across tables seamlessly.

By creating relationships between models in Power BI, you can harness the power of data integration
and perform more sophisticated analyses that leverage data from various sources and tables. This is
essential for building comprehensive and meaningful reports and dashboards that provide valuable
insights to users.

3.4 COLLECTING USEFUL INSIGHTS FROM THE DATA

In Microsoft Power BI, collecting useful insights from data refers to the process of analyzing and
visualizing data to extract valuable and actionable information using the tools and features provided by
the Power BI platform. Power BI is designed to help the users to transform raw data into meaningful
insights and reports, enabling data-driven decision-making.

Here, we have selected a particular IPL team for gaining the insights only about it.

3.5 CREATING TABLES FOR VISUALIZING


By creating tables for Power BI, you are also essentially building a structured foundation for your
data analysis and visualization efforts. This organized structure enables you to explore insights, create
reports, design visualizations, and build interactive dashboards that convey meaningful information to
your audience.

Here, numerous visualizations tools can be encountered, since Microsoft Power BI offers numerous
options for its users to choose from.

STACKED BAR CHART
A stacked bar chart is a type of data visualization used in Power BI and other data analysis tools to
display the composition of a whole by breaking it down into smaller categories. It's particularly useful
when you want to show how different components contribute to the total value across different
groups or categories.

DONUT CHART
A donut chart in Power BI is a type of data visualization that displays data as a circular chart with a
hole in the center, resembling a donut. It's a variant of the more common pie chart. Donut charts are
useful for visualizing parts of a whole and showing the distribution of data across categories. They
provide a quick and easy way to understand the proportions of different categories relative to the
whole dataset.

SLICERS
Slicers provide a dynamic way to filter data, making it easier for users to explore and analyze specific
subsets of information without having to create complex filters or queries. They enhance the
interactivity and user experience of your Power BI reports.

Here, slicers play the major role, as they are interactive with the rest of the charts and the slicers
enables the end-user to serve as a selective option.

By selecting their preferences with the help of this slicer tool, the data changes with respect to the
selection.

To be more clear, if the end-users selects KL Pandya, the innings, runs, wins, losses and other factors
with respect to Pl Pandya can be seen changing on the dashboard. It is called as interactive dashboard.

CHARTS
Charts are a crucial component of creating compelling and informative reports and dashboards.
Power BI offers a variety of chart types to choose from, each suited for different types of data and
analytical needs. Charts are used here, for the purpose of showing the users the summarized quotients
of the data according to the title mentioned in the box.

3.6 CREATING AN INTERACTIVE DASHBOARD

Power BI enables its users to create an interactive dashboard. This can be optional, which
means that it can be turned off or on. The best part of this is that, they can be done for
each tables, that are in the same sheet of the dashboard. This gives the users to perform
various analytical operations and present them in the same sheet, instead of showing
them in different sheets. This also saves space and time. This makes the dashboard
professional.

Here, for IPL Analysis dashboard, I have set the interactions in two different places. It is
created with the intention to distinguish batter and bowler statistics, since I have used the
slicer for the sheet, as a whole. This can be explained with the image.

From the above image, you can see that the datas of the player statistics of ‘MM Ali’
does not affect the player statistics of ‘VG Arora’, even though they are in the same
sheet.

3.7 DAX FUNCTIONS


DAX, or Data Analysis Expressions, is a powerful formula and query language used in Microsoft
Power BI and other Microsoft tools like Excel and SQL Server Analysis Services.

DAX is specifically designed for working with data models, performing calculations, creating
custom measures and calculated columns, and querying and transforming data. It plays a crucial role
in enhancing the functionality and analytical capabilities of Power BI reports and dashboards.

Here, DAX functions, also known as Data Analysis Expressions also played a vital role. The dataset
which has been used here does not provide us with the title winner, economy of the striker, bowling
strike rate or the average of the bowler.

But, however, these can be found out with the help of formulas. That is when DAX functions come
hand-in-hand.

3.8 DASHBOARD

A dashboard is a visual and interactive canvas that brings together various reports, visuals, and
data visualizations into a single unified view.

Dashboards provide a consolidated overview of key performance indicators (KPIs), metrics,


and insights, allowing users to quickly assess the state of their business, analyze trends, and
make informed decisions. Dashboards are a fundamental component of Power BI's data
presentation and analysis capabilities.Power BI dashboards offer a centralized and dynamic way
to monitor and analyze data, making it easier for users to stay informed, make data-driven
decisions, and collaborate effectively.

Here, dashboard is created by using the IPL 2022 as the dataset, which consists of bowlers and
ball by ball datas as well.Visualizing is made with the help of charts, slicers, donut charts,
graphs and stacked bar chart, which are the tools offered by Microsoft Power BI.

4. WORK DIARY

WEEK 1 :
 Learned about previous batch’s works.
 Watched and learned about the basics of Power Automate and Microsoft Power BI from
YouTube and other sources.
 Received a new project named ‘Joining kit. The dataset consists of details regarding the
products that are to be given to the new recruits and interns such as notepad, pen, flasks and
others with respect to the interns.
 Started working with joining kit on Microsoft Power BI.

WEEK 2 :
 Learned to sync Microsoft Excel to Power BI to collect live datasets.
 Learned how to use Microsoft Forms.
 Continued the work on dashboard on Power BI.
 Pre-processing procedures on Excel was made.

WEEK 3 :
 Worked on Microsoft Forms and learned how to sync the forms with that of Excel and
Microsoft Power BI.
 Got to know about the new visualization tools offered by Microsoft Power BI via YouTube
and other sources.
 Imported various new tools in Power BI.
 Learned to upload comments in Microsoft Forms.

WEEK 4 :
 Project was sent to our intern coordinator for review.
 Few alterations were made to the dashboard.
 Dashboard was altered and completed and then, sent to the end-user.

WEEK 5 :
 Explained the project to the client via a meeting in Microsoft Teams
 Project was approved by the client.
 Assisted another team members with Power BI and learned about Microsoft Automate by
them.
 Helped the intern coordinator to collect datas about the internees and gave them a basic
introduction to Microsoft Power BI.

WEEK 6 :
 New project on the data ‘ OEE Analysis’ was given. RPL Effectiveness - Recognition Of
Prior Learning Effectiveness. The dataset consists of the product’s description, their
suppliers, requirements, date of the products received and the reason for delay.
 Learned the meaning of the new terms mentioned in the dataset.
 Started working in Power BI on this project.

WEEK 7 :
 Completed the dashboard and handed over to the end-user.
 Project was approved.
 Learned about real-time live streaming from Excel to Microsoft Power BI.
 Worked with dummy data sets to perform Live data streaming.

WEEK 8 :
 New project was handed over on the data, ‘OEE Analysis’. OEE- Overall Employee
Effectiveness. This project consists the datas with respect to the employees, their expected
run time, actual run time, hindrances that contributed to the run time, products
manufactured by them and so on.
 Another new project was handed over, from the previous batch’s intern. The project is
named ‘ PLI Analysis’. PLI - Performance Linked Incentives. This dataset consists of the
employees and their performance and their work completed over the month and the
incentives they are about to get.
 Learned about the new terms mentioned in both the datasets and their functions.

WEEK 9 :
 Created dummy datasets in Microsoft Excel similar to the actual dataset.
 Started working with Power BI on the OEE analysis dashboard.
 Gained insights about the project by connecting via a Microsoft Teams meet.

WEEK 10 :
 Checked the live streaming capacity for OEE Analysis.
 Assisted another group with Microsoft Power BI.
 Basics of Power BI was thought.

WEEK 11 :
 Imported new visualizations tools from the inbuilt Power BI tools.
 Collected the IP Addresses of the laptops and desktops from the ELGi DOJO.
 Imported the datasets from Teams to Excel to work on Power BI.

WEEK 12 :
 Assisted Cyber Security departments with IP stats and Network trafficking. This dataset
consists of the laptops and monitors that are connected to ELGi Wi-Fi and the websites they
have visited. It also consists of the close time, establishment time and the work time.
 Developed the dashboard on OEE Analysis and the project was moved to the intern
coordinator for further development for the project.
 Project was presented to the client.

WEEK 13 :
 Thought the basics of Microsoft Teams, Power BI and other software of Microsoft to the
new intern batches.
 Further changes were made in the dashboard.

WEEK 14 :
 Helped the other teams with Power BI on netwrok traffic analysis of ELGi desktops.
 Further improved the dashboard on OEE Analysis dashboard.
 Updates Microsoft One Note up to the present date.

WEEK 15 :
 Worked on OEE analysis dashboard and sent it to the client.
 Improvised the dashboard further based on the requirements of end-user.
 Connected with the client to get more knowledge about the visualization tool which was
used in the sample dashboard.

5. CONCLUSION

Working as an intern in ELGi Equipments Ltd. allowed me to meet a potential mentor and
relationship that helps guide my career path. The Managers and supervisors I met during my
internship during the course of three months helped me a lot to know about the working of Microsoft
softwares such as Microsoft Forms, Microsoft Power BI, Microsoft Power Automate and came to
know about the business sector and different department that mainly aims towards the achievement
of goal and profit maximisation and mainly to increase their employee effectiveness.

I have acquired knowledge and communication skills with strangers and learned many new things
about the working processes engaged in a company. The live project helped me in gaining insights
in day- to-day activities of organization. My training ELGi EQUIPMENTS LTD. was a great
experience that I gained. I consider myself grateful to learn from the best.

The Company motivates every individual employee with non-monetary benefits and as its centralized
communication, every employee follows their session of order and follows their duty. Absenteeism
was very less in the organization as employees are interested in working. Employee turnover rate was
also seen less because organization had good trust and goodwill among workers.

The workers were hard working and sincere and also satisfied. Employees are having co-ordination,
team work, good contact, relationship and communication with the interns. The
employer and employee’s relationship are good and understandable and learned the different facets
of working within an established company.
