I hope this message finds you well. I want to sincerely thank you for welcoming
me into your project for the expansion of your museum. It’s an honor to be trusted with
your business. As we will be navigating through the final stages of the museum
expansion, I have high hopes that we will be able to get the museum back up and
running soon. I am ensuring a successful completion date within the 81 days we were
hopeful for. We used extensive analysis to determine what we can do to make sure that
happens. With that being said, I have an update regarding the original critical path.
Since I had reviewed the plan that was introduced by the previous project manager.
There were limited options to get this project back on track. With the extra $3 million
allocated for the budget to be expedited, our best bet is to crash the project. Follow
along as I will outline the proposal for the proper usage of the funding:
Task Prioritization and Resourcing. I will be using a segment of the extra
funding for a higher level of staffing to ensure the quality of work is exceptional on
critical tasks. This specific support will provide the correct work to be completed
minimizing the risk for any potential delays that could occur.
Accelerated Procurement: Another segment of the funding will be used to
expedite the necessary materials and resources. Calling for more flexibility and
responsiveness. This will actively prevent distraction and keep us on track to final days
in our project.
Overtime for Employees: As an effort to keep up the team morale and
motivation the beneficial payment of overtime in addition to regular pay will be needed
to keep our staff here working longer for your advantage and theirs.
Reduction of Scope: By reducing some of the scope of the project we will be
able to save time yet meet the needs of your guests and maintain that aesthetic
appearance desired. Meaning that changing of the flooring to potentially all tiles to save
time during the carpet installation or wood floor staining may be essential.
Recognizing the importance of contingency planning, we know that no matter
what the unpredictability still stands. Here is the summary of what will happen if
necessary to reschedule and crash . Reach out for government officials to reschedule
inspection. This can take time so the expectation of it taking several weeks allows
forces up to regain control of the current projects status ASAP. We will step back and
reevaluate as we identify risks before reapproaching. Identifying where we will be able
source additional crew members. Also consistently monitor the adjustments being made
to work with the scheduled days. Mainly focus on the same strategies above to overlap
tasks and save time.
 With the changes above, channeling the additional funds into these areas will
create a more successful end result closer to your desired completion date. It is
important we keep this motivating drive till the end. I am committed to reach our goals
while overseeing the cash flow to be invested in your museum's expansion. Please
