OGL 481 Pro-Seminar I:

PCA-Human Resource Frame Worksheet

1) Briefly restate your situation from Module 1 and your role.

I discussed overseeing a team tasked with implementing Dynamics (DFM), a new

software system integrated within Microsoft Office 365, for our organization. Similar to
experiences in previous tech and consulting projects, we faced various challenges,
including employee resistance, insufficient training, and communication gaps between
departments.

2) Describe how the human resources of the organization influenced the situation.

The human resources (HR) department played a crucial role in shaping the Dynamics
(DFM) implementation project within the Microsoft Office 365 environment. Initially,
HR's involvement was limited to staffing decisions and administrative tasks. However, as
the project progressed, HR practices significantly influenced employee engagement,
training effectiveness, and overall organizational culture. HR's role in recruitment and
selection directly impacted the composition of our project team. Insufficient attention to
aligning skill sets and personalities within the team led to conflicts and inefficiencies,
hindering Dynamics (DFM) implementation. Moreover, HR's oversight in employee
onboarding and orientation failed to adequately prepare new hires for the demands of the
Microsoft Office 365 environment and Dynamics (DFM), contributing to a steep learning
curve and decreased productivity. Training and development initiatives, driven by HR,
lacked specificity to the Dynamics (DFM) requirements within Microsoft Office 365. The
absence of tailored training modules for the new software left employees feeling
unprepared and frustrated, hampering adoption and proficiency. HR's communication
strategies also fell short in fostering collaboration and transparency across departments,
exacerbating tensions and resistance to change.

Overall, inadequacies in HR practices worsened existing challenges, impeding progress

and undermining morale within the Dynamics (DFM) implementation project under
Microsoft Office 365.

3) Recommend how you would use the human resources for an alternative course of
action regarding your case.

To address HR-related shortcomings, proactive measures are essential. HR should be

integrated into project planning and execution from the outset, aligning staffing decisions
with Dynamics (DFM) implementation goals within Microsoft Office 365.

Comprehensive onboarding programs tailored to Dynamics (DFM) and Microsoft Office
365 are crucial. HR should design orientation sessions providing clarity on roles, project
objectives, and available resources. Prioritizing continuous learning and development
initiatives, including customized training programs and ongoing support, fosters
confidence and competence among team members, enhancing overall project
performance. Establishing robust communication channels, including regular town hall
meetings and digital platforms, facilitates dialogue, encourages feedback, and promotes
transparency across all levels of the organization, particularly regarding Dynamics
(DFM) and Microsoft Office 365.

By adopting proactive HR measures, the organization can mitigate challenges and

maximize the success of Dynamics (DFM) implementation within Microsoft Office 365.

4) Reflect on what you would do or not do differently given what you have learned
about this frame.

Reflecting on the HR frame, I recognize the importance of integrating HR into project

planning and decision-making processes. Building strong relationships with HR
stakeholders fosters collaboration, addressing concerns proactively and co-creating
solutions. By viewing HR as a strategic partner, rather than a mere support function, we
can leverage their expertise to drive positive change and achieve shared objectives,
especially within Dynamics (DFM) implementation under Microsoft Office 365.
In conclusion, the HR frame underscores HR's pivotal role in shaping organizational
dynamics and driving performance, particularly in projects like Dynamics (DFM)
implementation within Microsoft Office 365.
