CDI-5 POINTERS

IDENTIFICATION
1. INFORMAL REPORT-it is usually a letter or memorandum, or any of one of the any prescribed or
used in day-in day police operation.
2. FORMAL REPORT - suggest the full-dress treatment, including cover, title page, letter of transmittal,
summary sheet, text, appendices and perhaps an index and bibliography.
3. SPOT REPORT - is what is done after an important incident took place in a certain area at a given time
and date.
4. OPERATIONAL REPORT - this includes those relating to the reporting of police incidents,
investigations, arrests, identification of persons, and mass miscellaneous report necessary to the
conduct of routine operations, such as the patrol, traffic and investigation.
5. SPECIAL REPORT - is done either because one feels he has some reporting to do, or a lower police
unit and /or office is obligated based on the directive or an instruction from the higher police office.
6. TECHNICAL REPORT - this presents data on any specialized subject, within the police organization.
7. SUMMARY OF INFORMATION - this furnishes information or intelligence necessary to the solution of
crime, accident and administrative problems.
8. SITUATION REPORT - is similar to patrol report.
9. This differs from AFTER PATROL REPORT in term of movement.
10. RATIONALE - refers to the specification related to the problem.
11. PERFORMANCE REPORT-This contains information as to the status of an activity or operations.
12. FACT-FINDING REPORT- This involves the gathering and presentation of data in logical order, without
attempt to draw conclusions.
13. The 5Ws and 1H -can be useful guide to report writers, especially the beginners.
14. ACTION- The last paragraph has this usually.
15. REPORT -It is a story of action performed by men.
16. POLICE REPORT -It is a chronological or step-by-step account of an incident that transpired in a given
time and date at a given place.
17. NARRATION - Among the techniques in composition writing, it is effective in police report, this is
because narration concern events, with action, and with life in action.
18. OBJECTIVE TONE -Writing police report is most effective when they have a order to achieve
detachment.
19. ZEROING- in police report, the writer must consider that the readers have no time to dilly-dally
because they are always in a hurry to get things done.
20. ACCURACY -It is related concepts, but they should not be confused, and this also refers the
truthfulness or veracity of a given statement.
21. BREVITY -It may not always be the soul of wit, but certainly long-windedness is its enemy.
22. When writing about the concrete examples or situation that brings ideas to life, we need specific
words that bring the reader close to FIRST HAND EXPERIENCE.
23. The report writer need not be a literary genius to write a good police report, and if the police officer
obtains SIX INTERROGATIVES the it might not be a literary masterpiece. his report will be complete
even thought it might not be a literary masterpiece.
24. FLASH REPORT-it is a brief dispatch giving preliminary information on an incident or event and
informing in advance a higher office.
25. INTERMEDIATE OFFICE-that is other than the National Headquarters, Philippine National Police
(NHQ, PNP), it may either be a national, regional, provincial and city or municipal level office.
26. SIGNIFICANT INCIDENTS OR EVENTS-they are any of the incidents or events which are considered as
important to be monitored by the Philippine National Police (PNP) for purposes of effectively
managing the operational mission of the organization.
27. BE CLEAR- Do not use confusing language to describe what occurred.
28. NATURE OF THE INCIDENT-Describe the nature of the incident.
29. On top of the letterhead, and lower fold of the paper, the word CONFIDENTIAL is a typed or
stamped.
30. A POLICE REPORT is written because a crime is committed, and investigation of it is made.

DEFINITION

1. BEAT INSPECTION REPORT - is one of the widely – practiced written communications.


2. PERFORMANCE REPORT - this contains information as to the status of an activity or operations.
3. TECHNICAL REPORT - this presents data on a specialized subject within the police organization.
4. PROBLEM -DETERMINING REPORT - this attempts to find out the causes underlying a problem or to
find whether or not a problem really exists.
5. SITUATION REPORT - is similar to patrol report.
6. INFORMAL REPORT - IT IS USUALLY A LETTER OR MEMORANDUM, OR OF ONE OF THE MANY
PRESCRIBED OR USED IN DAY-TO-DAY POLICE OPERATIONS.
7. PROBLEM-SOLUTION REPORT - THIS ANALYZES THE THOUGHT PROCESS THAT LIES BEHIND THE
SOLUTION OF A PARTICULAR PROBLEM.
8. PROGRESS REPORT - HAS A FOLLOW UP EFFECT.
9. REPORT -It is a story of action performed by men.
10. FORMAL REPORT - IS A PRESENTATION OF FACTS OR IDEAS.
