EXECUTIVE SUMMARY

This report is prepared based on my six months of my placing in Sinar Jernih Sdn Bhd Human

Resource Department for my industrial training duration. In this report, I mainly have

incorporated my experience at Sinar Jernih Sdn Bhd Melaka Branch Office where I have

detailed about company’s profile, my training reflection, and SWOT analysis and

recommendation based on those four main points which are strengths, weaknesses,

opportunities, and threats. Sinar Jernih Sdn Bhd is one of the leading companies with over 26

years of experience in the cleaning and facility management service provider industry where

they offered solutions to general and private hospitals, commercial buildings, airport cleaning,

and many more. Sinar Jernih Sdn Bhd put priority in investment on advanced equipment and

technology with a highly skilled task force in performing their services.

SWOT analysis has been detailed in this report to take a closer look at the strengths and

weaknesses of the company with the outside nature of opportunities and threats that have been

occurring around them. The analysis is important for recognizing and providing the solution to

the company itself for further improvement where the company needs to use its strengths,

overcome the weaknesses, utilize the opportunities and avoid some major threats for them as a

whole entity to go through a vast journey in the industry.

Sinar Jernih Sdn. Bhd has been established on 20th November 1995 and is one of the leading

cleaning and facility management service provider in Malaysia with over 26 years of

experience in the industry. The company headquarters is located at Petaling Jaya, Selangor

meanwhile company also has an office branch in Batu Berendam, Melaka. The operation of

company services covered vastly the entire Malaysia region, from south to east.

Sinar Jernih Sdn. Bhd. major in cleaning service contracts which include healthcare and

commercial division. The Healthcare division covered more than 10 hospitals in Malaysia and

commercial covered government and non-government buildings, airport facilities, and outlets.

To enhance the quality of life, Sinar Jernih has expanded its role as a cleaning expert. With

more than 26 years of experience, Sinar Jernih has established itself as a top cleaning service

provider in Malaysia and certified its services to the following international standards: ISO

9001:2008, ISO 14001:2004, OHSAS 18001:2007, as well as ISI 2020, a standard based on

Islamic tenets. Sinar Jernih provides clients with cutting-edge solutions. Its portfolio includes,

among other things, airports, cleaning of aircraft interiors, public and private hospitals, high-

tech commercial and industrial structures, governmental structures, financial institutions,

shopping malls, retail stores, maintenance of highways, cleaning of rail stations and coaches,

and hotels.

TRAINING REFLECTION

My internship training in this company has been started on 28 February 2022 and until August

2022 which is roughly 6 months. The working day will be the same as other company office

hours which is from Monday to Friday for 8 hours, from 8.30 A.M. until 5.30 A.M.

I have been placed in Human Resource Department of this company in Melaka Branch Office

located at Taman Merdeka Jaya, Batu Berendam, Melaka. My roles as a clerk are to assist the

Human Resource Manager by managing and calculating salary for a few project site operative

workers. My assignments will be included calculating workers' salaries, registering new

employees, key-in workers' overtime claims, and medical claims, and preparing monthly wages

reports and submit to the Chief of Operation Officer. By calculating operative salary, the

company uses the payroll system that has been provided. From that payroll system, I can key

in all the data of the workers, salary reports, calculating overtime rate, and any task related to

the human resource tasks. This company payroll period will be from the 18th until the 30th of

the month. In that period, I am responsible to complete my tasks within the period to the final

payout which means the release of the worker’s salary.

Not only that, I have been assigned to assist in managing any related foreign workers in that

company. From calculating foreign workers' utility bills, managing passports, and key-in data

until registering a new permit on the Perkeso website. After 1 month of training, I have been

assigned to 3 project sites, which are Hospital Pantai Ayer Keroh, Hospital Pantai Batu Pahat,

and Gleneagles Hospital Medini Johor. I have been held responsible to communicate with the

head of the project site to manage workers absents, leave, overtime, and claims. Any related

matter about the workers from all those projects I need to follow up and responsible for their

salary.

During the tenure of my internship, I gained multiple valuable insights and skills that require

to be able to perform in my eventual working life. Most of the hardest part of the internship is

I need to be able to use the company’s payroll system efficiently and quickly because I need to

complete my tasks within the time given. Other than that, I have also gained important skills

which as my proficiency with Microsoft Excel. I have been required to prepare a monthly

wages report and submit it to the Chief of Operation Officer. By handling that task I need to

complete the task in a short amount of time without making any mistakes. I have been handling

that task from the first month of my training. Aside from these skills, I also see a significant

improvement in my communication skill. When I have been assigned to handle 3 project sites,

I need to be able to communicate well and clearly with the project to make the operation run

smoothly. By saying that, it is important for me to gain those valuable skills to prepare myself

to venture off into the working world.

STRENGTHS

Well known and experienced in the industry

• The company has been recognized and well known in the entire industry for over 20

years since its establishment.

• Sinar Jernih Sdn Bhd has been leading in its industry for over a decade to build its

reputation in the cleaning sector.

• Their reputation makes them easier to gain trust and customer satisfaction by showing

their capability and potential in providing what customer needs.

• Having such a good reputation means that Sinar Jernih Sdn Bhd could gain an

advantage from their name to obtain new customers and continue using their services

for existing clients.

• It is a great way for the company to leverage its brand recognition to increase its success

in closing deals and obtaining newcomer clients.

• Since its establishment, Sinar Jernih Sdn Bhd has been continually growing and

acquiring valuable recognition in the industry.

• In 2015, Sinar Jernih Sdn Bhd has been awarded Platinum Award and Gold Award by

KLCCUH QHSE for their best performance in housekeeping services in Petronas Twin

Tower.

• From that award, it says that Sinar Jernih Sdn Bhd has their best way to demonstrate

their contribution and commitment to their client requirements and to strive for

continual improvement towards their quality of services.

Well trained workers

• Employees play a big role in the succession of a company. Not only that, but employees

also represent the integrity and image that shows how well a company train its

employees.

• Sinar Jernih Sdn Bhd has more than 3000 well-trained employees to carry out their

responsibility and tasks assigned.

• These well-trained employees prove that Sinar Jernih Sdn Bhd is highly recognized in

their industry and help them derive their vision and mission along with their brand

image.

• Well-trained employees also have a significant impact and a ton of benefit to the

company itself and also for the industry.

• Better training implemented by the company means better processes. Operations and

tasks can be performed far more efficiently and quicker if employees know what they’re

trained to do. By that, the quality of work also will improve along with their

productivity.

• Employee satisfaction is one of the important points that companies need to look

forward to. Employee satisfaction is a great tool to increase their morale if they’re

satisfied with their role, then will increase work output.

• A proper training prepared by the company will help workers be confident in their role

and next improve their morale.

• Other than that, being well-trained can help in avoiding and reducing workplace

accidents. This safety requirement is a priority for the company to ensure the safety of

their employees as well as surrounding people. With well-trained staff, it can help the

company avoid and minimize the possibility this problem could occur in the future.

• This shows the company tends to invest more in training their workers not only growing

their sales pointlessly.

Recommendation for Strengths

• In respect of their well-known name and experience in the industry, Sinar Jernih Sdn

Bhd could invest more into marketing tactics.

• They could display more of their brand name on the project site they have working on.

This tactic will show the public the performance of the company.

• Not only that, but the company also could display their effort and performance of the

service by showing their unique method of cleaning to the public.

• Next, Sinar Jernih Sdn Bhd could improve their productivity and performance using

their skilled employees by creating multiple diversion of employee team.

• This could be done by creating a new team for the quality check to ensure all their

employees’ performance is stable and keep improving.

• The creation of this team also can help businesses to insight, solve the problem and

keep finding new ways to optimize the operation smoothly on the project site.

• By doing so, Sinar Jernih Sdn Bhd could utilize the full potential of their well-trained

workers and also can help employees improve themselves in performing their jobs.

WEAKNESSES

High rate of employee turnover.

• Employee turnover refers to the total number of workers who leave a company over a

certain time.

• For Sinar Jernih Sdn Bhd, they are not going anywhere from this term. Being said as a

cleaning service company, this is one of the major weaknesses they need to overcome.

• The labor market in this cleaning industry is too large, where anyone can work here and

then they will leave easily too.

• This is because of several factors that play around with this high employee turnover.

• Most of the work and tasks are dealing with dirty and messy places, this is not arguably

wrong because that is what they need to face every day.

• Not all people can tolerate this kind of work and environment. By saying that, the

workers themselves are the reason for this high rate of employee turnover.

• Next, the flexibility of work time also plays a big role in keeping their workers. Lack

of flexibility occurs when the workers need to take overtime unwillingly.

• Cleaning services need to be performed continuously to make sure the area is clean and

comfortable for customers to use.

• With that, workers are bound to overwork and lack flexibility in performing their job

and this will impact their work-life balance.

• The company needs to know what is going on and what are their employees facing up.

This will help the company to lose valuable and well-trained employees because of this

matter.

Lack of project management maturity

• The purpose of a project management maturity model is to provide a model of

progressive improvement in project management systems and processes that can be

used to assess an organization’s capabilities and to provide an improvement path

(Pennypacker 2001, 6).

• This project management maturity model is important to measure the level of maturity

of project management that has been assigned. It is to measure the improvement of the

management itself to secure the company from losing their clients due to improper

manner of the managing project site.

• That can be said that Sinar Jernih Sdn Bhd is facing the problem from the bottom to the

root. The Head of the project is assigned to handle and manage the project site by taking

any measures to ensure the services are delivered successfully and fulfill the client's

satisfaction.

• Sinar Jernih Sdn Bhd is facing this challenge because they are losing some existing

clients by providing poor performance and lack of improvement.

• The selection of project managers needs to look seriously by Sinar Jernih Sdn Bhd to

maintain their performance.

• Planning and executing the project are important to be improvised and monitor to

ensure the operation runs smoothly without any flaws.

• Sinar Jernih Sdn Bhd must put a significant effort into this matter to achieve their goals

and satisfy the client's needs.

Recommendation for Weaknesses

• To address this high turnover rate, Sinar Jernih Sdn Bhd needs to learn more about the

issues facing its employees.

• To be able to care and be concerned about their employees, they will know what are

the factors and problems that make the workers leave the company so frequently.

• By allowing for work-life balance flexibility, employers can greatly assist their

employees. Flexible work arrangements improved employee retention.

• Sinar Jernih Sdn Bhd must prioritize maintaining a positive work environment. High

employee morale is a key indicator of job satisfaction and absenteeism.

• By intentionally focusing on employee morale, employers can boost participation,

output, and employee retention.

• To address the problem of lack of project management maturity is by choosing the right

person to handle and manage the responsibilities wisely.

• Choosing a good leader and manager is important to ensure the quality and performance

needed to deliver to clients.

• Not only that, Sinar Jernih Sdn Bhd need to monitor the leaders and managers that have

been chosen to ensure they are following the company’s standard and benchmark.

• Sinar Jernih Sdn Bhd also needs to expand its involvement in project management. In

this matter, Sinar Jernih Sdn Bhd needs to be involved in the approval of key decisions

and key project issues.

• The quality of the solution is often improved, and more importantly, the commitment

to support the solution delivered is stronger as a direct result of the involvement of key

stakeholders and decision-makers.

OPPORTUNITIES

Essential industry

• For over a few decades, cleaning services are most needed or being said as an essential

sector that needs to be provided to entire places.

• The essential sector is referred to the class of sectors that have been legislated by the

government to have a special restriction regarding labor actions such as not being

allowed to strike (Donovan & Ho, 2020).

• This is going by the Covid-19 outbreak order, in the time frame of the outbreak, Sinar

Jernih Sdn Bhd does not affect by that and they are required to provide more of their

services.

• The company has been protected under the Prevention and Control of Infectious

Disease Regulations 2020.

• The company has been put under the list of essential services which are allowed to

operate during the outbreak.

• Their services are also needed by most of the customers to fulfill the cleaning and

sanitizing requirements to prevent the outbreak even worst.

• Sinar Jernih Sdn Bhd has to increase its efficiency in its services provided especially in

the hospital.

• In the Covid-19 outbreak, all hospital is the most important place that they need to cover

up and deals with.

• With that factor come into their way, it would be a great opportunity for them to cater

and capitalize to increase their sales and provide more of their services.

Sustainability cleaning services trends

• The movement toward sustainability has been a trend in the industry for the entire

world. This effort is recognized as a business concern toward environmental safety.

• Apart from generating profit solely, Sinar Jernih Sdn Bhd has been practicing and

implementing this effort into all their cleaning operation.

• Sinar Jernih Sdn Bhd has developed a board corporate concern for quality, pollution

prevention, safety, and health on its arduous journey to become a top brand in its

industry.

• As a result of that effort, Sinar Jernih Sdn Bhd has adopted particular standards in its

management system, including the Occupational Safety and Health Management

System, the Environmental Management System, and the Quality Management System

(ISO 9001:2015). (ISO 45001:2018).

• Sinar Jernih Sdn Bhd makes sure that they will continue to provide environmentally

friendly services, work to preserve the environment, and protect human health and

safety at all levels of employment.

• Sinar Jernih will also work to minimize the environmental impact by promoting

resource and energy efficiency, waste separation and recycling, and community

concerns.

• This important effort has set Sinar Jernih Sdn Bhd to be able to show they are concerned

about environmental sustainability and keep paying attention into this matter.

Recommendation for Opportunities

• To take advantage of their spot in the essential industry nowadays, Sinar Jernih Sdn

Bhd could align with the government to secure their place in the industry.

• By taking this advantage, Sinar Jernih Sdn Bhd could take a massive step in providing

its services to all of the places that consider essential to operate.

• Not only that, but Sinar Jernih Sdn Bhd also could prove themselves why they are

leading and experienced in the industry.

• Sinar Jernih Sdn Bhd could get many deals this way, by providing excellent

performance to their alliance.

• Next, for sustainability trends, Sinar Jernih Sdn Bhd could be taking a part in the

charity for the environmental sustainability movement.

• Showing this concern to the public surely will increase the company’s reputation that

they are working on a way to help other Non-Government Organizations (NGOs) in

maintaining a clean environment.

• This will show that “cleaning” is an important term in sustaining the environment and

also encouraging public to keep the environment clean and free from unethical

activities to harmful the environment.

THREATS

The business is depended on client satisfaction.

• All business is dependent on their customer's satisfaction, whether products or services

business, they are bound to this behavior to gain profit and generate sales.

• If businesses provide what are customers’ needs and wants, they are will noticeably

successful in the industry. This is the game that all business needs to play to stay at the

top of the industry.

• Client satisfaction is the main factor Sinar Jernih Sdn Bhd performed well in their

business by providing tremendous effort to satisfy their client's needs and wants with

top-notch service.

• But not only did Sinar Jernih Sdn Bhd perform well, but their competitors were also

said to be the main challenge in this battle.

• By giving 2 or 3 years time period of the contract, all the businesses in this cleaning

service industry need to show to their clients who give the best performance and most

valuable service that they have ever done.

• This battle in the closing deal has been around in the industry since the cleaning service

sector is one of the essential services.

• If the company does not perform well in that contract period, it will lose a lot of

opportunities in that industry.

• This threat gives a significant negative impact on Sinar Jernih Sdn Bhd if they failed to

satisfy clients in their way.

Fierce competition and increasing costs

• Business competition refers to the rivalry among the company in the same industry to

get more sales, generate revenue, and more market share as compared to others.

• Given the same service, same quality, and same target audience, definitely a high-

pressure challenge for all the businesses to compete to gain customers.

• In the cleaning service industry, numerous service providers are competing for the same

potential clients.

• Sinar Jernih Sdn Bhd faces this threat as they are many big brand names that offer and

provide the same quality and value as them in the industry.

• With the rising cleaning service industry in the world, not to deny every business is

finding its way to win this competition.

• To win this competition, business is improving their service by investing more in

equipment, employees, and their method of operation.

• This investment is needed for them to stand out more than the other competitors out

there.

• Consequently, this way has a downside for business. The business needs to spend a

huge amount of money to keep up compete in the industry.

• The rising costs eventually restrained them for gain revenue even more and they need

to spend more.

• This threat gives Sinar Jernih a hard time growing and improve its brand image in this

industry.

Recommendation for Threats

• To ensure customers' satisfaction towards Sinar Jernih Sdn Bhd, they should display

and prove themselves what are they capable to deliver to fulfil the customers’

requirements.

• This is a major step they need to take to win the client’s heart where Sinar Jernih Sdn

Bhd could give their clients a promising service and provide the necessary improvement

towards their performance.

• Clients want to see what they can be provided and served from what they pay for.

Therefore, Sinar Jernih Sdn Bhd should improve on their services, performance, and

even capability in giving any solution on their expertise.

• In this way, Sinar Jernih Sdn Bhd can prove themselves they are different and are

capable to give a promising performance more than other competitors that serve the

same service out there.

• Next, to combat the threats from competitors in the same industry, Sinar Jernih Sdn

Bhd should what its competitors are capable of. By learning what their competitors can

do, Sinar Jernih Sdn Bhd could improvise their services and find a way to improve

themselves.

• Not only that, Sinar Jernih Sdn Bhd should look out for global companies on how the

companies give an impressive and numerous amount of effort to satisfy their clients.

• By looking at this, Sinar Jernih Sdn Bhd can set a benchmark on how they are capable

to follow the step of global competitors out there.

SUMMARY

The time given of 6 months to complete my industrial training at Sinar Jernih Sdn Bhd Melaka

Branch Office benefits me a lot. I have gathered all the necessary and extra knowledge in

between the tasks and assignments that I have been assigned to. This makes me realize that it

is more than knowledge itself for me to adapt to real working requirements. It does require me

to be able to think critically at the same time wisely, able to hold the responsibility, and take

the action beyond my decision in every process of my work. I also realize it is important for

me to master and sharpen my communication skill as in a working environment I need to

communicate effectively with my co-workers and display a good manner to all of them. I have

to say in this internship period, I have been facing a lot of challenges from executing my tasks

to holding myself accountable for my decision-making. It pushes me out of my comfort zone

and I can see the improvement and growth in myself through these experiences. This will

benefit me to pursue my career and explore the real-working world reality that already waiting

for me once I take this last step in my internship period. Before ending my industrial training

period, I would like to express my gratitude to Universiti Teknologi Mara for giving me this

meaningful opportunity to help me expand myself professionally and personally in this

challenging working environment. At last, I am giving my utmost gratitude to Sinar Jernih Sdn

Bhd for accepting me as their student some to learn a lot of knowledge and valuable experiences

in their company.
