CHAPTER I

Introduction

This chapter deals with the presentation of the study. Specifically, this

presents an introduction, the overview of the project, purpose and description,

objective of the study, and scope and limitations of the study.

Project Context

In the contemporary age of technology, mobile applications are an

essential part of most people’s lives, from social networking and entertainment to

productivity and business, mobile apps play a vital role in how people interact

with technology. A kiosk mobile application refers to a specialized software

designed for mobile devices that operates in a kiosk mode, meaning it restricts

user interaction and functionality to a specific application or set of tasks. This

type of app is an extension of the traditional physical kiosk concept, adapted for

the digital convenience of smartphones and tablets. The significance of kiosks

lies in their ability to enhance the overall customer experience by providing a self-

service option. The convenience offered by kiosks not only reduces wait times

but also empowers customers to independently navigate through transactions,

fostering a sense of control and efficiency. Digitalizing registrar's office

transactions is a big step toward modernizing educational administration; it's a

transformative method that helps staff members, instructors, and students all

around. The power of digital transformation to simplify intricate procedures is

what makes it so revolutionary. Institutions can improve operational efficiency by

reducing paperwork, minimizing human error, and expediting processing times by

moving these crucial operations to a digital platform. Because digitalization

eliminates the need for physical things, it promotes environmental sustainability.

Ultimately, the registrar's office's shift to digital transactions is about more than

just implementing new technology—it's about rethinking the educational

ecosystem to make it more approachable, effective, and sensitive to the needs

of all its stakeholders.

Rizal College of Taal (RCT) is a private educational institution located at

G. Marella St., Taal, Batangas that was established on May 22, 1923, by the

brothers Quirino, Jose, Juan, Ramon, and Mariano Eleazar who all hail from

Lucban, Quezon. The institution grounds an Olympic-sized swimming pool, a

gymnasium, a library, and several science and computer laboratories. Currently,

it offers undergraduate degrees in accountancy, teacher education, criminology,

computer studies, business administration and management education. For

graduate students, there is also a Master of Arts in Education Program. RCT also

provides services for junior high and senior high school students through its high

school department.

The Registrar’s Office oversees organizing and keeping track of alumni’s

and student’s records. The office is also responsible for the issuance of

documents and certifications of alumni and students on request. One of the

biggest issues that the visitors of the registrar’s office encounter is having to wait

in line for a lengthy period while still being unaware of the requirements of a
document or certifications for it to be released to the requester. Another issue is

making inadvertent typographical errors by the visitors on the request form,

which wastes paper, ink, and human labor.

The scenario discussed above inspired the researchers to propose a

software development entitled “RCT QUEUESKO: An Android Based Registrar’s

Office Kiosk Application for Rizal College of Taal. The information on what

documents and certifications can be obtained at the registrar’s office will be

available through this android-based kiosk application. It will also contain the

prerequisites that need to be fulfilled to obtain a particular document or

certification. A receipt that will serve as a request form will be produced by a

thermal printer that is connected to the kiosk. By doing this, you can save human

labor and prevent unintentional writing errors. Once all the requirements are met,

the requester can queue in the registrar’s office to submit it to the persons in

charge and wait to hear back regarding the payments to the cashier and

issuance of the documents and certifications requested. The creation of an

Android kiosk application is critical to improving the user experience,

accessibility, and general functionality. It offers a smooth and practical interface

for activities such browsing services, decision-making, and information access.

Purpose and Description

The goal of a school registrar kiosk application is to automate the process

of requesting and inquiring about student’s and alumni’s documents at the

registrar’s office. This application, which can be accessed from outside the

registrar's office, will reduce the applicant’s effort from coming back and forth to

find out the certain requirement for a document or certification to be requested.

The study of the school registrar kiosk application is significant because it

provides information about documents or certificates that students can obtain

through the registrar’s office. This application also prevents the waste of paper

and ink caused by accidental writing mistakes and generates a receipt that will

serve as a request form.

The research study will be significant to the following:

The study will help the Proponents obtain knowledge and information in

developing a School Registrar Kiosk Application. It will also help the proponents

to seek new ideas and enhance the skills in their specialization.

The system can also be beneficial to the Students/Alumni because

through this they will no longer need to go back and forth to the registrar’s office

when asking for the requirements for a certain document or certification and

manually write on request forms.

The system can also be beneficial to Future Researchers; It will guide

them in developing their studies.

Objectives of the Study

The main objective of this study is to create an Android-based Kiosk

Application for the Rizal College of Taal Registrar’s.

Specifically, this study seeks the following objectives:

1. To design and develop an android-based kiosk application that can provide

efficient information of the services in the registrar’s office where it can show the

required pre-requisites for a certain document and certification.

2. To design and develop an android-based kiosk application that will generate a

receipt that will serve as a request form.

3. To test the efficiency of the “RCT QUEUESKO: An Android Based

Registrar’s Office Kiosk Application for Rizal College of Taal”.

Scope and Limitations

The concept of the study is to create and design an android-based

application that will help the Rizal College of Taal Registrar’s Office staff, alumni

and students eliminate common problems that are encountered and provide

automation for the requesting of necessary documents and certifications in the

office. It will make the task easier because it will lessen the time of inquiring

about the services in the office and minimize the wasting of paper and ink due to

human errors in writing.

The “RCT QUEUESKO: An Android Based Registrar’s Office Kiosk

Application for Rizal College of Taal” can produce the information of the

services that the registrar’s office is responsible for, as well as the pre-requisite

requirements of some documents and certifications that can be obtained in the

office. The kiosk will generate a receipt that will serve as a request form that will

be submitted in the registrar’s office when the necessary requirements are on

hand. The receipt will contain the requester’s name and student id, as well as the

document or certification that would be requested. The kiosk will be available

outside the Registrar’s office.

This application will only be available for android devices. This application

will only cater to the services from the registrar’s office except the admission and

enrollment process. The alumni/student will still need to queue in the registrar’s

office for the submission of the request form together with the necessary

requirements. If the request is approved by the Registrar’s Office, the

alumni/student will still need to queue in the cashier's office to pay for the

documents and certification they are requesting.
