1.1 TEACHING PRACTICE STAFF MEMBERS

1.2 INSTRUCTORS FOR STUDENTS
Students must keep a neat file with a table of contents, school timetable, class timetable,
personal class timetable, copy of disclosure form, copy of the disclaimer form, records of
logbook, lessons evaluated by either mentor(s) and/ or UFS staff member, lesson plans with
reflection reports, and observations as well as evidence of learning. The file must be
submitted to the mentor-teacher on a weekly basis to use as a basis for conversation about
your learning as well as record of signatures where required. The file will be submitted to the
teaching practice office at the end of the school-based experience.

Please complete all your work neatly, as it reflects your professional image as a future
teacher. Ensure that all examples of work, such as photos, notes and all-important
documents, are kept in your file. Some evidence may help in your following years as proof of
work well done. Remember, you are not allowed to take photos of learners without written
school permission. In case you must take photos as part of an assessment activity, please
remember to block learner’s faces out.

Important!

• Failure to sign the disclosure form would mean that your school visits are not aligned
with the UFS rules and regulations.
• Without the submission of a disclaimer form, there will be no marking of any
document submitted as required by the Teaching Practice Office. The UFS will
consider your school visits to be unauthorised.
• Hundred percent attendance is mandatory. Any missed days must be made up.
• Please attend any meetings or any professional development meetings where
attendance is approved by the school and participate in extra-curricular activities.
• Students are not allowed to change schools per session attendance.
• All activities in a module must be completed in the year of registration, including
school-based teaching practice experience.

This document serves as a disclosure form for the Teaching Practice module (WILV3606) offered at the UFS.
Please read this document carefully before signing (compulsory).

Ownership and Confidentiality:

The contents of the handbook, including all documents, information, and materials contained therein, are the
exclusive property of the Teaching Practice Directorate, Faculty of Education. The information provided in the
handbook is intended solely for the use of the registered students in the Faculty of Education, University of the
Free State and is not to be distributed, reproduced, and/or shared with any peers and/or third parties.

Compulsory Handbook:

By accepting and utilising this handbook, you acknowledge and agree that its contents are integral to your
academic progress as a student in the Teaching Practice module at the UFS. The completion of all the
documents within this handbook, including signatures from schools, mentor teachers, academic staff, and
yourself, is a mandatory requirement for the successful completion of your studies and the fulfilment of your
obligations as a student. Not complying with these regulations WILL result in a FAIL for this module.

Confidentiality of Information:

The information contained within this handbook may include confidential and sensitive details pertaining to
academic processes, school partnerships, and mentor teacher evaluations. You are therefore required to treat
this information with the utmost confidentiality and refrain from sharing it with unauthorised individuals or entities.

1.4 APPROVAL PROCESS

So that we can make an informed decision about whether to grant final approval for your
placement, various stages need to be followed:

• Academic approval – Your proof of registration will be reviewed to ensure that you
are a registered student for the module that requires a practical component such
as school-based experience.

• Risk review – The placements team will assess any potential risks involved during
your placement and provide helpful guidance to you around any associated risks.
For instance, Minimum Requirements for Teacher Education Qualification
(MRTEQ, 2022) requires students to be exposed to different concrete experiences
of the varied and contrasting contexts of schooling in South Africa. If the student
has not changed the school to at least TWO schools for a B.Ed. qualification, that
submission will be declined, and the student will be advised to find a different
school.

• Conduct agreement – We will check that the student has completed a disclosure
form as required by the university. We will then check that the nominated school
has completed a disclaimer form provided in the handbook and that dates are
aligned as to ensure that your placement is safe for you.

• Final approval – Once all these steps have been completed, the placements team
will conduct a final review to either approve your placement opportunity or help
guide you towards an alternative.

It can take anywhere between two and six weeks to complete approval, so please submit
before the closing date and start looking for schools as soon as possible so that we do not
risk delaying your start date.

The placements team will keep you informed throughout the process and let you know if we
need any additional information from you.

1.5 GUIDELINES FOR STUDENTS
As you go out to schools for teaching practice, the UFS expects you to be good ambassadors
for the institution by conducting yourself in a professional manner.
PUNCTUALITY
Be at the school 15 to 20 minutes earlier to meet the secretary, principal or guardian teacher
who will place students with an experienced teacher. This also applies to arrival at school, as
well as going to class for lessons. You need to set a good example for your learners.
BOUNDARIES
Never criticise teachers or become involved in arguments with teachers and other school
staff. You are a guest at the school and make use of the given opportunity to learn.
RELATIONSHIPS
Keep a clear teacher-learner relationship. Motivate, love, appreciate and support your
mentor-teacher and learners. Discuss any problems (e.g., disciplinary problems) with your
mentor/guardian teacher. Be open to good advice and try to apply it.
DRESS CODE
Each school will have its own dress code; however, you must always be neat and
presentable. This means that you always need to be appropriately dressed.
ATTENDANCE
You are required to be at school promptly every school day for the whole day. If for any
reason you cannot go to school, or for any reason you need to leave the school premises,
the principal or the person in charge must be made aware and grant permission.
EXTRA-CURRICULAR ACTIVITIES
Become part of the school program. Be enthusiastic and take part in all activities expected of
you.
CORPORAL PUNISHMENT
Under no circumstances may students inflict corporal punishment of any kind on learners.
Enjoy the time at the school and take it as an enormous learning opportunity. Your positive
attitude and involvement may perhaps secure you a future teaching post at this school.

1.6 TEACHING PRACTICE FILE CHECKLIST: WEEKLY
The purpose of this guide is to help you get oriented to, and gather critical information about,
your school and file your required documents. You are expected to gather information or
documents about each item on the list. These must be kept in your teaching practice file.
Your teaching practice file will also include a table of contents, school timetable, class
timetable, personal class timetable, copy of disclosure form, copy of the disclaimer form,
records of logbook, lessons evaluation forms, lesson plans with reflection reports, and
observations as well as evidence of learning as part of requirement in your handbooks. You
must prepare the documents listed below along with this checklist to be shared with your
Professional Officer after completion of your Teaching Practice and when requested by your
mentor or evaluator. This needs to be completed within the first two weeks of the teaching
practice school-based experience. Remember, schools are busy places and are concerned
primarily with their learners. Therefore, while gathering this information please be
professional and be considerate on your request to be assisted.

LETTER TO MENTOR/GUARDIAN TEACHERS: 15 April – 24 May 2024

TO ALL MENTOR/GUARDIAN TEACHERS

Dear Sir/Madam

To ensure that the training of our student-teachers is as efficient as possible, they are placed
under the personal care of mentor/guardian teachers for 29 days (15 April – 24 May 2024).
You, as an experienced teacher, have been appointed by the school as the mentor-teacher
of the student in possession of this letter.

The Faculty of Education, UFS sees the responsibilities of a mentor-teacher as follows:

1. To set a good example regarding teaching and general conduct in class.


2. To discuss the numerous problems of the classroom with the student.
3. To allow the student to observe and teach lessons each day under the supervision of
the mentor-teacher (or other experienced teacher/s) across the grades.
4. To see that the student is given an opportunity to gain practical experience in all major
subjects. The student should devote the same amount of time to each subject.
5. To monitor the student to fill in their logbook and class attendance register (forms
attached below) truthfully every day, after each activity, completed daily during school
hours. The logbook should be signed by the subject teachers for each lesson presented
each day.
6. To involve the student in extra-mural activities in which the mentor-teacher is involved.

Closer to the end of the year, when you have completed your teaching practice for this
module, you will be tasked to complete the Teaching Practice Annual Review Form Link. This
form is compulsory, and if not completed, you WILL receive an INCOMPLETE and will FAIL
this module. Once you have completed the link, take a screenshot of the completion page
and submit it on BB. You can only submit your own screenshot since each student number
is tracked alongside this form. Thus, we will know when forgery is committed, resulting in the
FAILURE of this module.
