Introduction
This unit describes the skills and knowledge required to manage the deployment and
administration of enterprise communication solutions. It includes email and remote access
email, web portal or content management solution, and enterprise collaboration tools.
The organisation’s today are moving from legacy communication solutions to focus on real
time communication needs. These new technologies and systems have a global footprint,
likely use cloud systems and multiservice providers using PBX and network equipment.
The planning for enterprise communication solutions should be based on the following
main principles:
1. Cost saving
2. Streamlining communication
The need to have an enterprise communication solution arise for a number of reasons,
such as but not limited to:
There are a number of expectations from the enterprise communication solutions, such as,
but not limited to:
o Save time
o Better communication
o Increase pro
You must understand the organisational requirements to have effective and efficient
enterprise communication solutions at the workplace. The research should be conducted to
identify what they are and how the enterprise communication solutions can meet these
identified organisational requirements.
The organisational requirements may vary but some of the important aspects stay the
same that we are covering in this section of the learner guide.
Safe collaboration is when two or more entities or parties interact and do not allow anyone
else to have access to the information or communication. For that, the stakeholders need
to communicate in a way that is not vulnerable to eavesdropping, cyber threats,
interception and so on. Therefore, the enterprise communication solutions should allow a
real-time collaboration and allocation of network resources for a given application. The
communications should be protected from fraud and security attacks using policy
enforcement functionalities identified and established by the organisation.
The enterprise communication systems should be able to analyse, examine and fact check
the information, allocate the network resources for a given application.
Most of the organisations focus on the enterprise communication solutions that can offer
different delivery options, such as enterprise and carrier models. The solutions should be
focussed on a multi-tenant system providing flexibility as the enterprise grows. Each client
shares the application and shares a single database as well. Data regarding each tenant is
segregated and remains invisible to other clients.
Allows enterprise communication solutions to coexist and complement other on-site, cloud,
or hybrid solutions, providing smooth connectivity of enterprise users within its own critical
communication infrastructure.
You will be required to evaluate and compare enterprise communication solutions against
the identified organisational requirements. You must therefore ensure that you are aware
of the organisational requirements and what enterprise communication solutions have to
offer.
You may develop an analysis and comparison template, modify an existing one available
within the organisation or find one available online for personal use.
Analysing and comparing the enterprise communication solutions is not a field that creates
palpable enthusiasm usually. However, it is required to identify the best solutions that
meet the needs and requirements of your organisation.
You must understand that enterprise communication solutions are not about a plan for the
cloud strategy or a SIP strategy. It's about what systems and solutions should be in place
for stakeholders such as user employees, clients, partners, learners, patients, visitors,
residents, or whatever you have to communicate more efficiently and effectively or about
offering communication solutions that are more cost-effective alternatives as budgets and
personnel tighten without compromising current user capabilities.
One of the most common features used by organisations to handle their incoming phone
calls is intelligent call routing. Software with this feature acts like an operator for a virtual
switchboard. It collects caller information and then passes the call to the relevant
authority.
Some other features and services for assessment and evaluation may include:
PBX Interworking
The communication solutions that you select should address organisational requirements,
maximise network efficiency, increase productivity, provide a secure and safe
communication solutions and comply with organisational protocols such as policies and
procedures and regulatory and legislative guidelines.
The selection should also be focussed on the following parameters, but not limited to:
What is the cost involved in procuring the enterprise communication solutions is one of the
main aspects to select one. The cost includes total set up costs, ongoing costs such as
maintenance costs, labour costs, and any other costs associated with the enterprise
communication solutions.
What are the basic and advanced features of the enterprise communication solutions, how
easy and user friendly are these solutions? What processes and requirements include the
use of these features? You must focus on all the aspects to successfully use each of these
solutions.
Enterprise communication solutions include a number of concepts, such as, but not limited
to:
using vendor tools to check network for readiness to install mail server.
Microsoft Exchange
Postfix.
authentication
certificates
mobile devices
certificates
encryption
connectivity:
databases
mail flow.
backups of configuration
backups of databases

Microsoft SharePoint
Moodle or Equella
Oracle.
access policies
application authentication
database permissions
firewall configuration

Domino or Lotus
Groupwise (Novell)
Microsoft SharePoint
Moodle or Equella
wiki engines.
Review technical papers and guidelines that describe the appropriate components
of hardware and software
Working with the enterprise communication systems to analyse and assess the
compatibility and integration to the organisation’s existing system and practices
Implementation plan
An implementation plan, used as a support device for your strategic plan, maps out how to
bring your strategic plan to life by splitting it into recognisable phases, where each step is
delegated to a member of the team to finish on a set timetable. In an operational level,
strategic planning is carried out, dictating the course of the corporate strategy and
allocating resources to make the strategy come to life. The implementation plan
consequently maps the edges of that, setting out from the start how to better execute a
strategic plan, and how to handle it efficiently as it is put into action.
An implementation plan, therefore, is the written steps that you need to take to complete
your implementation activities successfully. While business enhancement is as important
as an implementation plan, many organisations fail to execute an effective plan that
ensures that all goals are achieved.
The consultation with stakeholders should be based on the following aspects but not
limited to:
Increased cooperation
Staying on track
Assigning responsibilities
Determining activities
Self-check assessment

That means that it has a lot to do with the project manager's leadership and
communication skills to effectively introduce and execute enterprise communication
solutions.
The project managers must ensure that the right people at the right time are working on
the right tasks to implement enterprise communication solutions effectively and
efficiently.
The skills and knowledge may include but not limited to:
The implementation plan lays out how companies should plan business communication
solutions to be implemented. Via asset management plans, personnel plans and long-term
resource management and assessment plans, the tools required to incorporate these
business communication solutions are identified and managed.
Implementation obstacles can have a serious effect on the functionality and use of the
product. And successful implementation will make the difference between success and
failure in today's enterprise environment. When implementation is carried out by having
the right people, the right methods, and using the right information at the right time ,
businesses are more agile. The correct platform for planning and implementation
processes makes all the difference in the successes and failures of the solutions for
enterprise communications.
1. Kickoff planning: The people, activities and resources required should be planned
and scope should be clearly defined and all support needs should be identified.
4. Testing/signing off: The knowledge base should be taken into consideration to test
the enterprise communication system against the set standards and parameters.
The project should be signed off by the authorised representatives.
5. Going live: This step includes the enterprise communication solution to go live. It is
always a good practice to ensure that a thorough testing and signing off process
has been carried out before making a solution go live.
6. Support and maintenance: This step includes providing support and maintenance to
the enterprise communication solutions as required.
The comprehensive assessment should include how each of the proposed enterprise
communication solutions meet the organisational requirements, advantages and
disadvantages of the enterprise communication solutions, additional capabilities,
operational and technical assessment and comprehensive stakeholder impact analysis.
The organisational policies and procedures should be taken into consideration at all times.
These policies and procedures clearly set out the requirements to ensure that the
enterprise communication solutions meets implementation plan and organisational
requirements and any modifications to implementation can be made to address variance.

QUESTION 3
A monitoring or test sheet should be used to assess and provide you with a fast update at
a glance on how the implementation has occurred according to the implementation plan,
what activities are completed, and what other activities have different completion status
such as in progress or late. This helps you to solve any issues quickly to get the project
implementation on track.
For ease of use, we suggest implementing a traffic light method through your tracking
sheet:
The testing should include all aspects of enterprise communication solutions, including but
not limited to:
firewall configuration
networking infrastructure
Monitoring and analysing the performance and logs are a critical part of evaluating the
enterprise communication solutions. These aspects are monitored and analysed to
understand how effectively and efficiently the enterprise communication solutions are
implemented.
System logs
The system logs include a record of all events that demonstrates how the system operated
and functioned in a certain time period. These logs include all the successful operations
and any errors identified during the system operations.
Performance assessment
The enterprise communication solutions should be modified to address instances where the
organisational requirements have not been addressed.
The modifications should occur according to the following requirements but not limited to:
Review of enterprise communication solutions may also include review of the following,
but not limited to:
purpose and nature of organisation and how it fits into the enterprise
communication solutions
