Abstract
Cymblema is a small advertising company with at least 10 employees including graphic

designers, sales staff, creative directors, financial accountant and an office administrator. The

company looks at producing customized sales flyers for advertising purposes and there is a

need to store and be able to access and manipulate digitally stored images. There is need for

specific software that will facilitate the smooth running of the business A secure system is

required that will be able to keep track of sales, inventory and expenses effectively. There is

need to access and share files while on the go especially with the sales team.

The company requires mobility, that is the ability for employees to be able to access

information in a flexible manner whether in the office or on the move. Of importance is the

ability of the business to secure data and control access levels for both onsite and remote

employees. This can be done through the implementation of logic access control where users

can be assigned which data files they are able to access via user authentication and access

approval. For file storage a cost effective cloud service can be used to share access to files

and also provide a backup storage for the file in the case of data loss. Windows platforms

have also incorporated file sharing features through the home group function users are able to

share selected folders with other hosts on the same HomeGroup.

Networking Options

In most organizations a combination of two or more network technologies can be used

depending on the business needs to be met. A hard wired network(LAN) is always the

backbone of any network on which other technologies can be integrated on. In a small

company like Cymbema there might be no need for complex infrastructure however a

scalable, easy to support network is needed which is also cost effective. but it is rather costly

to implement and requires proper planning for successful implementation. For file sharing

services a cloud based system like Google drive and Microsoft one drive can be used google

drive offers more storage than one drive but has a weak file sharing security. whereas one

drive comes bundle up with Microsoft office 360 and is great for collaborative tasks however

it is NTFS supported which is a limitation. However, for a small business that if stating up it

should not be a huge setback.

The critical software application that the graphic designers need is the Adobe’s

Creative Cloud for performing and presenting the design material. The cloud platform allows

designers to create endless libraries of assets while ensuring they can all be stored under one

roof. The benefit of using the Adobe’s Creative Cloud software application is that it offers a

larger range Adobe creative tools such as Adobe InDesign, Adobe Photoshop and combined

support via its numerous channels of integrated services on both desktop and mobile or

smartphone/tablet In comparison to other graphic design software that do not have the

integral feature of bringing several applications in one package . Although the optional cloud

services and the file syncing features are not so impressive. Each user is assigned a license

through Microsoft active directory via the admin console and data is encrypted using AES

128 bit.

For remote personnel in order to access data that is within the company’s intranet a

VPN can be utilized as it offers a secure connection over a non-secure internet connection, it

ensures data protection through the use of passwords and other user authentication methods

Although this is a very secure connection it would prove very costly for a small company. On

the other hand, remote desktop can allow remote employees access to the company intranet

while on the move. This connection also requires password authentication for access to be

granted on the remote computer. Although it is a free package that comes on most windows

versions it requires well-grounded support and needs to be used by someone quiet

knowledgeable on how the connection is established. On tracking of inventory, sales and

performing accounting functions software that can be utilized include quick books or

Microsoft dynamics. A VPN requires more bandwidth which makes it costly. NordVPN

utilizes AES with 256 bit-keys with military standards encryption.. Although it really

protects information security it can also work with concurrently with remote desktop.

Conclusion

It is highly recommended that Cyblema have a hard wired LAN the provide a stable

and reliable connection the network with wireless access points that allow for mobile devices

connectivity. With resource and file sharing utilization of HomeGroups can prove cost

effective and the use of cloud services for the safe storage of files. For remote access to the

intranet remote desktop can be used together with VPNs as VPNs do not require extensive

support once configured,
