The event will be organized by [Name] and involve a team of volunteers and hired staff. The
organization structure will include a project manager, a marketing team, an HR team, and a
production team (Jackson, 2013). The project manager will oversee the event and have overall
responsibility for the success of the event. The marketing team will develop and implement a
marketing plan to promote the event. The HR team will recruit, hire, and manage volunteers and

The estimated budget for the event is [amount]. This amount will cover expenses such as
venue rental ($5000), artist fees ($2500), equipment rental ($2000), security ($1500), and staff
wages ($1000). I am also expecting to receive sponsorship from local businesses, which will help
to offset costs.
HR Plan
The HR plan will involve recruiting, hiring, and managing volunteers and staff. All
volunteers and staff must attend a mandatory training session before the event. The training
session will cover event safety, emergency procedures, and customer service topics. I will also
work with local law enforcement to ensure that all safety regulations are followed. Furthermore,
I will be coordinating with local businesses to create promotional material and sponsorships. The
promotional material will be distributed online and in various locations around the city. In order
to ensure that the event is enjoyable for all participants, I will be working with local musicians to
create an inviting atmosphere for the attendees. I will also work with local organizations to create
Marketing Plan
The marketing plan will use online and offline strategies to promote the event. Online
strategies will focus on using social media platforms like Facebook, Twitter, and Instagram to
reach potential attendees. Offline strategies will include distributing flyers and posters in the
local area and advertising in local media outlets such as radio, TV, and newspapers.

Furthermore, the marketing plan will also involve using email campaigns to reach out to
existing contacts and creating a dedicated website for the event to provide more information.
Advertising on partner sites will broaden the event's reach to new audiences, and various
promotional offers and discounts will be offered to encourage more people to attend. The event
could be featured in industry publications to generate further interest, and cross-promotions with
other events and related organizations could be done (Robertson et al., 2018). Lastly, retargeting
Sponsorship Policy
The sponsorship policy will focus on seeking sponsorship from local businesses.
Sponsors will be offered various benefits, including exposure to the target audience, ticket
discounts, and branding opportunities. The sponsorship policy will also feature opportunities for
sponsors to engage with the target audience through interactive displays, promotional activities
and product sampling. Sponsors will be able to reach a wider audience through the use of social
media and other digital marketing channels. Additionally, sponsors will have the opportunity to
access exclusive events with key decision-makers and industry influencers. Finally, sponsors will
have access to detailed analytics and metrics to track their success and evaluate the effectiveness
of their sponsorship. These benefits will be tailored to each sponsor to ensure the best possible
outcome.
The pre-production and production planning will involve developing a timeline outlining
every event aspect. A Gantt chart will be used to track the event's progress and ensure that all

The legal issues, safety, and health plan will involve obtaining the necessary permits and
licenses from the local authorities. It will also involve developing a safety plan covering topics
such as emergency procedures, crowd control, and security. The safety plan should also include
measures to prevent and respond to any health risks associated with the event, such as food
safety and sanitation, proper disposal of hazardous materials, and fire safety. It should also
include measures to protect the safety and health of attendees, such as implementing social
distancing and providing personal protective equipment (PPE) (Schulenkorf et al., 2021).
Additionally, the plan should include methods for responding to any medical emergencies that
Sustainability
Sustainability is an integral part of the event plan. I will work with local businesses and
organizations to develop a plan to reduce waste and use renewable energy sources. Exploring
sustainability further, I plan to research and implement strategies such as composting, recycling,
and creating a zero-waste policy. Additionally, I can work with local energy providers to source
renewable energy, such as solar-powered energy, to power the event. In addition to reducing
waste, I can also create a plan to reduce water and energy consumption. I plan to research green
building materials, such as bamboo and cork, to use for event decorations and recycled or
recyclable materials for any printed materials, such as flyers and brochures. Finally, I can work
with local transportation providers, such as ride-sharing companies and bike rentals, to
encourage attendees to reduce the number of emissions generated from travel to the event.
