Introduction

Overview
This Coaching Guide can be used to support the delivery of the following presenter-led
skills-based sessions:
 Working with BoMs Effectively
 Working with Task Lists Effectively
 Working with Materials, Parts and Inventory – coming Q1 2024
 Working with Maintenance Plans, Measurement Points and Counter Resets –
coming Q1 2024
The skills-based modules are for Short Term Planners, Coordinators, Supervisors and
other Frontline roles that complete relevant tasks in their work of the role.
For support, contact the MP&E Training Coordinator or Senior Advisor Projects.

skills-based session. Agendas are also included on Slide 4 of each PowerPoint
presentation.

Preparation

Equipment & System Access


Prior to attending this session, each participant must have:
 A Rio Tinto issued laptop.
 A Rio Tinto laptop charger.
 A Rio Tinto username and password.
 A Rio Tinto email address.
 SAP System access.
 ECQ 310 System access (if you decide to set up practice data).
 Business Solution Help access.
Prior to running this session, the coach must have:
 A Rio Tinto issued laptop.
 A Rio Tinto laptop charger.
 Skills Based Coaching Guide.
 The applicable skills-based PowerPoint Presentation/s.
 Mentimeter account access (optional).
 SAP System access.
 ECQ 310 System access.
 Business Solution Help access.
 Power boards and extension cables (sufficient for participant numbers).
If you experience IT issues while preparing or running the session, you can contact IT
support at Central Park or the Operations Centre. Alternatively, if you’re running this session
on site, please reach out to your local IT support.

Delivery Options
When conducting these skills-based sessions:
• If you plan on delivering 1:1, simply use live SAP data (Production) with the person
you are coaching.
• If you plan on delivering a classroom-based session, you can:
o Set up practice data using ECQ310 which mimics the Production systems.
o Use participants’ live SAP data.

Systems Access Setup
Systems access should be arranged ahead of each session, preferably at least two weeks
to allow enough time for access to be granted.
 For multiple participants, add participant names into an Excel spreadsheet, save
to your laptop and attach to the relevant ServiceNow ticket.
 For a single participant, submit the request individually (without the attachment).

Requesting Access to the ECQ 310 System


Follow the below instructions to submit a ServiceNow ticket.
1. In ServiceNow, open the IT Support chat bot and type the following message:
“Please raise a Request and assign to the RTBS Security Team.
Roles for access;
Ask them to map business role – Team Member Maintenance;
And supplementary role – Perform Maintenance planning Site – Iron Ore role.
Expiry of this access – 1 month from creation date.
Business Justification – Required for training for task list and BoM to address the
strategic gap across the sites.
Please see attached spreadsheet with participant names.”
2. Note the Incident Number (provided via the chat bot and email) for tracking the
progress of your ticket.
If you’re having trouble getting access, email RTBSSecurityOperateTeam@riotinto.com:
 Subject line: “Urgent – ECQ 310 Access”.
 Include a screen shot of the issue.
 State when they require access by, e.g., “prior to 8am 16/11/23. Thank you”.

Requesting Access to Business Solution Help


1. Click: Something is Broken to submit a ServiceNow ticket.
2. Who are you filling this out for field: Leave your name and email as pre-populated
(for single participant, change details to match participant).
3. Preferred methods of contact field: Select Teams and Email.
4. Briefly state your issue field: Type “Add user/s to UPERFORM AD group to access
Business Solution Help”.
5. Anything else we should know field: Type “Please refer to attached spreadsheet
with list of participant names” (for single participant, type “N/A”)
6. What is the main topic of your issue field: Select “Application”.
7. Tick the checkbox “I cannot find my application”.
8. Type your application name field: Type “UPERFORM – To access Business
Solution Help”.
9. Click Add Attachment, find spreadsheet and double-click.
10. Submit Form.

Running the Session

Setting up
Ahead of the session:
 Set up power boards and extension cords for the participants.
 Open and log into Mentimeter on your laptop.

Coach’s Notes are included within the Notes section of the PowerPoint.

Demonstration
The coach demonstrates the function on the device with participants observing.

Walkthrough (Step-by-step)
The coach and the participants walkthrough the activity together. This is the physical
step-by-step guides of all fields, including some generic examples.

Activity / Practice
Participants perform the activity on their own using the available resources, including
the User Guide and the coach, for assistance. Ideally, these would follow a coach-led
demonstration.

Attendance

Ensure all participants register their attendance via the QR code on Slide 3.
Note: All participants must register before proceeding with the session.

Data
Various demonstrations and activities are included in the face-to-face presentations. Please
ensure that data is never saved (by yourself or by the participants) during the SAP
transactions.

Interactive Polls

We use Mentimeter to conduct live interactive polls during the coaching sessions, as
described below. This is optional for a coaching based approach.

Login and Open Presentation (ahead of session)


 Open Mentimeter and log in:
- Login: EIPS@riotinto.com
- Password: MaintenanceExcellence1
 Click My presentations in the left-hand banner.
 Click the relevant presentation to open.
 Click Present button at top right of screen.

View Results (during session)


 Allow participants to scan the QR code from the PowerPoint presentation.
 Bring up the Mentimeter Poll to watch live data.
The data will appear as participants submit their responses via their mobile phones.
 Discuss results with the group.
 Click X to close live presentation in Mentimeter.

Reset Results (during session)


 Click Manage results.
 Select Reset results for the entire presentation.
 Click Reset results.

Ongoing Collaborative Support


Once participants register their attendance, they will be added by the MP&E Training
Coordinator into the relevant quarterly Collaborative Group Channel in Teams.
Encourage participants to use this space:
 Share tips and tricks with one another.
 Ask questions to be answered by Work Management or Master Data.
 PowerPoint presentation and other useful links will be provided here following the
session.
