CHAPTER 1

INTRODUCTION TO
ORGANIZATION

1.1 Introduction
Coconut oil, which is created by crushing copra, has been used for thousands of years in tropical
nations. The increased demand for coconut oil's key benefits has led to an increase in global
production of coconut oil over the past ten years. Copra, either shipped to overseas countries or
processed locally, is the almost-exclusive raw material for producing coconut oil.

The main distinction between regular and virgin coconut oil lies in the making and extraction. The
newly harvested mature kernel of the coconut, collected mechanically or naturally, with or without
the use of heat, and without going through any chemical processing, is what is referred to as virgin
coconut oil (VCO). There are some variations when compared to copra coconut oil (CCO) in terms
of iodine value, fatty acid composition, specific gravity, and moisture content. Virgin coconut oil or
VCO has many health benefits such as prevention of yeast infection, reduction in cholesterol level,
aids in weight loss, and also helps in diabetes.

Due to its flavor, texture, and stability, coconut oil rose to become one of the main sources of plant
fats for North American food makers throughout the past century. The diet-heart theory, which
claimed that saturated fats contributed to the development of heart ailments, led to the replacement
of coconut oil in the 1940s with vegetable oils and seed oils from corn, soybeans and cottonseeds.

KLF is one of the best-selling brands of coconut oil in the nation with a history spanning more than
70 years in the market. KLF stands for what is pure, nutritious, and healthful in coconut oils since it
sticks to the highest quality standards from copra sourcing through processing to packaging. In the
Thrissur region of Kerala, at Irinjalakuda, a cutting-edge extraction and packaging facility, KLF
manufactures high-grade sesame (gingelly) oil and coconut oil.

The KLF brand name was established by the late Mr. K.L. Francis, a visionary businessman, and
now it serves as a guarantee of quality and purity for millions of customers not only in Kerala, its
native state, but also in the Indian and international markets.

1.2 The world scenario for coconut oil industry

Coconut is a popular plantation and is grown in more than 90 countries worldwide. Though it is
quite difficult to establish a coconut plantation but once it is done, it proves to be quite beneficial as
coconut is harvested throughout the year.

Around 11 million tonnes of coconuts are produced worldwide each year. The two countries that
produce the most coconut fruits worldwide are Indonesia and the Philippines.
The top two nations on the list are close competitors for the top spot. However, output in the
Philippines has been progressively dropping over the past few years.

When the global situation is considered, it is clear that the price of coconut oil is a little more
abroad than it is at home, but the business thrives since demand is high thanks to the presence of
Indians, mostly in other countries. In addition to being used for cooking, oil is also used to make
soap, surface-active cleaners, and cakes that are fed to cattle.

Following is the list of Top 5 countries producing Coconut Oil as per US, department
of Agriculture: -

1.3 The Indian coconut oil industry
The country's coastal regions have extensive plantations of coconut palms. The major economic
product of the coconut, known as copra, is the dried kernel, which is mostly used to extract oil. Oil
content in copra typically ranges from 65 to 72 percent.

The country's southern regions, particularly Kerala, rely heavily on coconut oil as a culinary
ingredient. Additionally, there are several industrial uses for the oil. It is employed in the
production of cosmetics, surface-active agents, detergents, hair tonics, and other products including
laundry soaps, toilet soaps, and dishwashing liquid. Due to its ability to aid in hair development, it
is utilized as hair oil all across the nation. The body feels cooler after using it as massage oil.
Coconut oil has a market in the nation because of these features.

Coconut is a popular plantation and is grown almost in all major states of the country i.e., in
Andhra Pradesh, Assam, Kerala, Goa, & Karnataka, Orissa, Tamil Nadu, Tripura, West Bengal,
Maharashtra, Andaman and Nicobar Islands, Lakshadweep and Pondicherry. Our country's
traditional method of extracting the oil from copra still uses rotating chucks. However, using
expellers to extract oil is the most effective method.

Coconut or the “tree of life”, in tropical climates is a way of life for millions of
people all around the globe. Coconut is a versatile product and has multiple uses. Almost every
component of a young coconut, whether edible or not, is employed in some way. With an annual
production of 13 billion nuts, India is one of the world's top producers of coconuts. Nearly 20% of
the world's production of coconuts comes from India.

As a result of the value-adding process of processing coconuts, a variety of goods are produced,
including virgin coconut oil, desiccated coconut, coir fiber, pith, mattresses, coconut cream,
coconut milk, and spray-dried coconut milk powder.

1.4 Company profile
The late visionary businessman Mr. K. L. Francis created KLF Nirmal Industries Private Limited, a
premium brand with more than 70 years of experience in the coconut oil market. Today, it
represents a guarantee of purity and health to its customers in the Middle East, the United States,
and Europe in addition to the millions of consumers in India.

KLF goods' superiority is what has earned the company a household name in the coconut oil
industry. Every stage of manufacturing, from the acquisition of copra to processing and packaging,
is covered by KLF's dedication to quality. In order to preserve the natural richness, taste, and
nutritional content of coconuts, KLF purchases the best coconuts directly from farmers. These
coconuts are then sun dried in sanitary copra drying yards. Kerala's strategically positioned
purchase locations provide a consistent supply of copra with a high yield. The oil's shelf life is
increased, its risks of going bad are decreased, and the amount of time it takes to warm up is
reduced thanks to the innovative, patented processing method developed by KLF.

ORGANIZATIONAL STRUCTURE
2.1 Organizational structure of KLF Nirmal Industries Private Ltd.

In order to accomplish an organization's objectives, certain activities have to be carried out

according to a framework called an organizational structure. Rules, roles, and responsibilities may
be part of these activities.

An organizational structure defines how activities such as task allocation, coordination, and
supervision are directed toward the achievement of organizational aims. Organizational structure
affects organizational action and provides the foundation on which standard operating procedures
and routines rest.

2.2 Functional organizational structure

A functional organizational structure is used to build up a company's operations in line with its
areas of specialization. A company may, for instance, have divisions for sales, engineering, and
marketing, each of which is solely responsible for the running of production facilities and the
creation of new goods. Larger enterprises frequently adopt a functional organizational structure
since no other type of structure would be nearly as effective for handling the volume of sales and
production these organizations do.

2.3 Advantages of an organizational structure

1. Improve Employee Training - A good organizational structure makes employee training

easier to administer. And it allows training to remain flexible based on the changes within
the organization.
2. Helps in the decision-making process - Regardless of the type of organizational structure
you choose, there will always be a reporting channel that ends with a final decision maker.
In a top-down structure, decision-making occurs at the senior management level and is
then clearly communicated to the rank-and-file to implement.
3. Ease strategic planning - Using a strong organizational structure allows a company to
better focus on a single set of goals instead of each group working toward its own agenda.
This is the result of the flow of communication that an organizational structure offers, as
well as the establishment of responsibility and respect for the company hierarchy that
comes from strong structure.

2.4 Disadvantages of an organizational structure

1. Individual creativity and originality may be stifled by the rather rigid determination of
duties and responsibilities.
2. Workers may become less willing to assume duties that are not formally a part of their
original assignment.
3. Very often the fixed relationships and lines of authority seem inflexible and difficult to
adjust to meet changing needs.
13

CHAPTER 3

FUNCTIONAL DEPARMENTS
The departmentalization helps in specialization of work in each field. It helps in better planning and
better concentration in the particular work handled by a particular department. The following are
the functional departments of KLF Nirmal Industries Private Ltd.
1) Human resources department
2) Production department
3) Stores and Purchase department
4) Finance department
5) Marketing department

3.1Human resources department

One of a production company's key departments is the human resources department. The
company KLF Nirmal Industries Private ltd is happy to say that it is the yieldable efforts
made by the skilled managers that actually determine true functionality rather than the
number of executives and departmental infrastructure. As we can see, the business did not
commit to creating such a sizable HR department because the size of their staff did not call
for it. The administration of people inside the organization is handled by the human
resources department.
The duties that go along with this position are many. The most important duties are
acquiring people; this involves attracting workers, maintaining them in their employment,
and ensuring that they deliver as expected. Additionally, the human resources division
makes clear to the staff the department's goals, vision, and mission, as well as how to make
changes strategically. Plans for upcoming projects and goals involving corporate personnel
are coordinated.
HR department deals with following objectives: -
 Employee selection procedure
 Induction and training
 Worker’s welfare activities
 Worker’s safety measures
 Leaves and retirements, etc.

15
3.2 Production department

Production management refers to the process of managing the activities of a business to

furnish desired outputs of products and services. It involves planning, executing, and
directing operations to convert raw materials into finished goods and services. Therefore,
we can say that product management is concerned with
 procuring resources in the form of management inputs, raw materials, labor, capital,
equipment, and so on in.
 order to develop or produce finished products.
The entire process between these two checkpoints is what we essentially refer to as
production management. The supervision and execution of the process that transforms
materials into products is called ‘production management’.

3.3Stores and Purchase department

Purchasing departments are often an important part of large corporations and small
businesses. They establish policies and procedures that try to ensure the financial health of a
company. A purchasing department is the division of a company that's responsible for
acquiring the goods and services the business requires to operate. Some companies refer to
purchasing departments as procurement departments or buying departments. These units are
often an important part of helping companies meet their daily needs and their long-term
strategic goals. How much responsibility a department has can vary on the size of the
company, but they often help monitor the supply chain and help manage vendor contracts to
keep the company's operations efficient.

3.4Finance department

Finance is regarded as the life blood of the business. In modern money-oriented

company finance is one of the basis foundations of all kinds of economic
activities. It is the master key, which provides access to the entire source for
being employed in manufacturing and merchandising activities.
The company makes use of three types of sources to finance its activities, they are
1. Share capital
2. Reserves and Surplus
16
3. Loan funds

The main functions of this department are as follows: -

 Maintain a good financial structure.
 Collection of cheque.
 General payment.
 Payment for local purchases.

3.5Marketing department

The marketing division's main goal is to determine market demand and deliver items in
accordance with that need. The marketing department is primarily housed at their head
office in Bangalore, and they also have a regional office in the Irinjalakuda branch, which
focuses mostly on promotional efforts to guarantee the realisation of sufficient sales and
prevent product stagnation. By making a contribution to the production planning, the
marketing department of KLF plays a significant part in regulating the output.
KLF's network is widespread throughout South India, especially in Kerala, Tamil Nadu, and
the North Eastern states of upper Karnataka, Andhra Pradesh, and Orissa. As for other
nations, it has extended to all gulf nations, including the United States and Australia.
The KLF coconad brand of the corporation includes advertising displaying a wide range of
goods in which the Malayalam film star Mr. Mohanlal has appeared.

17
CHAPTER 4

SWOT ANALYSIS
4.1 SWOT Analysis

SWOT analysis is a framework for identifying and analysing an organization's strengths,

weaknesses, opportunities and threats. These words make up the SWOT acronym. The primary
goal of SWOT analysis is to increase awareness of the factors that go into making a business
decision or establishing a business strategy. To do this, SWOT analyses the internal and external
environment and the factors that can impact the viability of a decision.

As its name states, a SWOT analysis examines four elements:

 Internal attributes and resources that support a successful outcome, such as a diverse
product line, loyal customers or strong customer service.

 Internal factors and resources that make success more difficult to attain, such as a weak
brand, excessive debt or inadequate staffing or training.

 External factors that the organization can capitalize on or take advantage of, such as
favourable export tariffs, tax incentives or new enabling technologies.

 External factors that could jeopardize the entity's success, such as increasing
competition, weakening demand or an uncertain supply chain.

FINDINGS, RECOMMENDATIONS
AND CONCLUSIONS
5.1 Findings

• Great concern for the quality of the product.

• Better plant facilities and machineries are made available in the plant premises.
• Labor and working conditions are favorable.
• Advanced storage of raw materials is not entertained since the freshness of the material
matters.
• Fluctuations in the oil prices have immensely increased the logistics costs and other
subsidiary costs. Company believes in employee empowerment, so rather than sticking
to conventional management theory, the management emphasizes on the practicability
and provides feasible work environment.
• Proper residence and food are made available for the employees.

5.2 Recommendations

• Employee appraisal must be given periodically so that they have valued properly in
the organization.
• More involvement in CSR activities is desired for sustainable growth of the society
where the company resides in.
• Since the financial position is sound, the further expansion scopes can be taken into
account since the demand prevails in the market.
• New advertisements should be introduced.

5.3 Conclusions

I have learned a great deal and had several life changing experiences thanks to my study, all of
which I found to be tremendously fulfilling. I now possess technical knowledge after gaining hands
on expertise with a range of tools, machinery, and equipment required in the production of coconut
oil.
I was able to understand the many divisions of KLF NIRMAL INDUSTRIS Private LTD through
this organizational research. I am aware of the strict quality controls used in the production of
coconut oil. It is clear that the management team has well-organized and maintained control over
the employees and workers from the outset of recruiting from the HR department to manufacturing
and product sales.
22
It has been a wonderful experience, and I want to express my gratitude to everyone who has
supported me. The KLF NIRMAL INDUSTRIES private LTD. employees all made good
contributions and generously offered their invaluable expertise, which really aided me in my
organizational research.
