Community Service Project

Identify the Purpose and Goals

● At a hackathon, the ability to adapt is crucial due to the dynamic and fast-paced nature of
the event. Participants encounter unexpected challenges, changing project requirements,
and limited timeframes, and those who can quickly pivot their strategies, embrace new
technologies, and adjust their plans based on evolving circumstances are more likely to
succeed. Adaptability, paired with a hackathon, enables participants to efficiently
problem-solve, collaborate effectively, and deliver innovative solutions. A key component
of this hackathon is to showcase the software sector, specifically computer science, and
force participants to encounter and solve problems, inspiring the adaptability required to
fight through such obstacles.

Creating The Website

● The website will function similarly to HackBackBetter’s while maintaining the style of
CruzHacks. Instead of hard coding the website, we will create a template on Canva that
would be fed to GPT-4 in order to generate HTML, CSS, and JavaScript code for a
website. This website will be uploaded to a GitHub repository and hosted on a domain
that will be provided by competing in hackathons.

Finding Location to Use

● I have close contact with Bay Valley Tech and will ask to use their venue in the Stanislaus
County of Education building in downtown Modesto, CA. This would provide sufficient
internet access to participants in order to upload their project and search the web for help,
despite most coding and other intensive application power being done at a local level in
hackathons. The tables and chairs would also be provided.
● If rejected or other conflicts with Bay Valley Tech, other potential spots include the
community center and other venues that can be booked online. However, the internet is
not available in most places alongside tables and chairs. The tables and chairs could be
rented (from sponsorship money) and the internet can be brought over by a borrowed
router and modem.

● Additional sponsorship search would be done by simply Googling and reaching out to
companies, preferably one in the computer science field. A template email will be drafted
and sent to each company alongside the website. This email will highlight the benefits of
sponsoring while also covering the credibility as it is a high school run event. This will
cover the standard ethos, logos, and pathos.

Publicity

● Majority of contact with participants will be done through a Discord server, and a link to
the server will be given once users submit the Tally form with Notion integration. This
allows us, the organizers, to keep track of shirt size, dietary restrictions, consent forms,
etc. while documenting each participant in case of an unforeseen event.
● There will also be social media posts and physical pamphlets/flyers given to business and
other connections to distribute. Accounts solely for this hackathon might be created
depending on the sponsorship types and how sophisticated previous steps turn out to be.

Hosting
● The opening ceremony will be around 8 AM at the venue, in which the theme is revealed
(unless decided earlier on the website or Discord), and the prize tracks will be reviewed
alongside side community guidelines. Any questions on how to proceed will be answered
at the end of the ceremony.
● If sponsors ask or corporate officials are willing to do so, there will be workshops to
showcase their product/feature. The arrangement of these times will depend on the
number of workshops and the product/feature specifically, and as usual, these will be
optional.
● Participants will be given the opportunity to work outside the venue, however, judging
will have to take place in the venue at the designated time.
● All projects will be required to be uploaded to DevPost under this hackathon. Here, the
judges will test each application while interviewing each team in person.
● The winners will be announced and awards (based on sponsorship) will be given at the
closing ceremony around 9 PM.

Additional Information:

● The Notion page will have all information, including steps taken throughout the process,
emails drafted and sent, Tally forms, budgeting information and spending history,
members, ideas, meeting notes, projected and actual calendar calendar, tasks,
sponsorships, promotional material, and external contacts.
● Judges will be requested/elected based on sponsorship and trustworthy connections
● Information regarding the event that will be added or updated will be informed to all
participants through the Discord Server, which will serve as a community hub through the
entire hackathon.
