In & Out Movement Policy for Staff

Purpose: To ensure proper monitoring and accountability of employees who


leave or enter office premises during working hours.
Policy Guidelines:
1. Working Hours In & Out Punching:
o All staffs should register their Bio-metric In & Out attendance.
HRD will notify you through message to clarify, failed to report
in allocated time. Then the attendance will be considering with
the bio metric data available.
o If any person found of skipping in & out Movement. His / Her
attendance will not be considered till the person, submits Miss
punching approval slips which the person has to get sign their
HOD & HRD. Can get form from HRD.
2. Movement Classification:
o Any movement outside the office during working hours (including
site visits, bank work, personal reasons, etc.) will be treated as
Permission or On-Duty.
o Employees must seek prior approval for all such movements.
3. Permission / On-Duty Slip Process:
o Movement slips must be collected from the Reception.
o Approval is mandatory from:
 Concerned Department Head (HOD)
 HR Department (HRD)
o The duly approved slip must be submitted to the Security desk at
the time of leaving.
4. Biometric Attendance:
o Staff must register their IN & OUT timings using the biometric
device.
o Failure to record movement will result in attendance
discrepancies.
5. Security Checkpoint Protocol:
o Security personnel will:
 Collect approved movement slips.
 Maintain an entry-exit log.
 Ensure only authorized staff exit during working hours.
6. Submission to HRD:
o All collected movement slips will be handed over to the HR
Department by Security on the next working day morning.
7. Unauthorized Movement:
o Leaving office premises without proper approval may result in:
 Loss of pay for the hours/duration.
 Disciplinary action as per company policy.
Note: This policy is applicable to all staff, and compliance is mandatory to
ensure workplace discipline, safety, and proper attendance management.
