ATTENDANCE POLICY .

1. Attendance Policy

Regular attendance is essential to the Company’s efficient operation and is a necessary


condition of employment. When employees are absent, schedules and customer commitments
fall behind, and other employees must assume added workloads.

1.1 Working days


The working days at the Company will be from Monday through Saturday.
Unless otherwise stated, work hours would be as follows:
Days of Work: Monday to Saturday:
General Shift: 08:30 a.m. to 05:30 p.m.
Shift A: 07:00 a.m. to 03:00 p.m.
Shift B: 03:00 p.m. to 11:00 p.m.
Shift C: 11:00 p. m to 07:00 a. m

Lunch and Prayer break for General Shift: One hour


NOTE: Senior Manager and above can avail flexi hours i.e they can come till 10:30 a.m
but they need to complete 9 hours duty in each day.

2. Late arrival
A 15-minute grace period is allowed for employees to accommodate occasional delays
in reporting to work.
Please refer to the table below for a better understanding on the timing:

8:46 am to 11:00 am Late Arrival
11:01 to 01:00 pm Half Day

 After grace time leave will be deduct for late arrival.


 After arrival of 01:00 pm, proportion deduction from leave / salary will be made.

a. Habitual Late comer

Frequent late comer at-least 08 late in a month treat as a habitual late comer. HR
department take legal action against habitual late comer.

3. Earlier Timeout (Leave)


No earlier time-out allowed without the permission of respective HODs

If employee time-out earlier before the official off time proportion deduction from leave /
salary will be made.

4. Deduction:
Causal Leave and Annual Leave will be adjustable against half day and normal leave.
Sick leave not entertain until the employees provide the medical proof / certificate.
Annual Leave 14 Working Days.
Casual Leave 10 Working Days.
Sick Leave 16 Working Days.

 Prior intimation and approval of leave is essential in all cases.


 During probationary period, employees are not entitled for any type of leave,
therefore all the leaves / half days / late coming / early leaving are subjected to
salary deduction.

Adjustment of Leave
Every employee adjusts total 24 leave for half day and normal leave, its means per
month 02 leave adjustment. If anyone accumulated time off (Late Coming / Early
Leaving / Half Days / Casual Leave) exceeds 02 day (16 hours) in a month, time
exceeding 02 days will be subjected to salary deduction.
If someone utilize less than 02 days during a month, the remaining balance from 02 days
leave is accumulated in proceeding months leave balance.
First casual leave will be deducted against half day / normal leave, if casual leave
balance is not available it will be adjusted against the annual leave balance. In the
absence of balances of Causal Leave / Annual Leave, will be adjusted against leave
without pay.

Employees are expected to arrive at work and for meetings on time. If an employee anticipates
late arrival he/she must inform the immediate manager (or a colleague in case the immediate
manager is not available) in advance to allow for schedule changes and to handle coverage of
working hours. Repeat challenges with late arrivals will be recorded as misconduct in the
employee’s file. All employees working with customers must ensure that all meeting
commitments are met on time. Lapses in punctuality will not be acceptable.

5. Absence from office


 Any employee, who is outside the office during working hours, should ensure that the
immediate manager (or a colleague, if the immediate manager is not available) and HR
department are aware of his/her whereabouts and the nature of work assigned.
 Unauthorized absence from office, or absence from office without prior approval from the
immediate manager, will be recorded as misconduct in the employee’s file.
 Unauthorized absence will be treated as Loss of Pay (LOP).

6. Attendance / Punctuality add 25% weightage in Annual Performance Appraisal


75% weightage of Performance Appraisal for respective department (fill by the HODs)
25% weightage of attendance and punctuality (fill by the HR Department)

- Team Work
- Own Responsibilities
- Coordination b/w Team and Department
- Attitude
- Take Initiatives
- Hardworking and devotion.
Etc.

7. Attendance Guidelines

i. All employees (full time or otherwise) are required to mark their attendance by face
deduction machine located in the Main Gate No. 2, in the morning as they walk in.

Failure of doing so, might result into an absent marked for the employee for that
particular day. 

ii. The office would also maintain an attendance register to record the attendance of
employees.

At the end of the month, HR and Admin Dept. would prepare a consolidated attendance
listing of all employees along with their attendance record and forward it to respective
HODs for verification.

iii. Employees must refrain from manipulation/falsification of attendance records


including proxy attendance. Employees may face strict disciplinary action if found guilty.
