PROJECT OVERVIEW (Finances Online) This project includes generating charts of finance for particular financial year. The data includes total available funds in that financial year of college. Data is also available for insert/delete/update funds as per the need. Reports can be viewed/printed department wise allotted funds with requirement details. Login Screen for Admin/University-Staff/University Management Staff. Create new department for finance allocation. Current Scenario : As per the current process, the
Administrator distributes the generated revenues among the departments based on their annual requirements and demands. Department heads are responsible to put the revenues to use. They are required to keep track of transactions, maintain records and estimate finances. In case need for more funds arises, the Department Heads shall generate a new requirement and convey it to the Administrator. The entire procedure of financing requires a lot of manual effort and paperwork. In order to reduce the labour and maintain finance we need to design a computer system(Finances Online) for the process. INTRODUCTION The Budget Management System enables colleges and universities to manage the annual financing and activity funding of the organizations on campus. This online application is designed to be flexible with many user-based options. It will adapt to a variety of financing procedures and is powerful enough to replace traditional methods of manual record keeping. Thus, College financing systems must ensure financial viability while improving a college’s ability to reach its central goals. This is our task at hand. Purpose & Scope The purpose of this developed system is to reduce the manual work of record keeping. This system does several things such as it maintain the department transaction details ,estimate the annual finance, arranging of required funds,etc. The main objective of this system is to manage the finance of various departments according to their actual needs. Highly secured because this software allows to access only Authenticated user (Authorized user access to the data). Functionalities This system is used to reduce the manual work of record keeping and saves time and effort . This system calculates the overall finance of college, arranging of required funds,etc. It generates chart and report according to the calculated data. It can allocate the fund according the finance prescribed by different sections. Admin can update the finance of any department. In case need for more funds arises, the Department Heads shall generate a new requirement and convey it to the Administrator. They manage all the necessary requirements according to the funds provided by the administrator. It makes a report of all the investment done in various section and give it back to the administrator. It filters out the necessary requirements. Integrated Application Features Application should have single login page. Login page should be the welcome page for the application. Only registered customers can access the application. None of the application features can be accessed without login. There should be logout feature. Once logged out should come to the welcome page again or design logout page from where re-login can be done. At any point of time user should be able to back to homepage using home link. On login user credentials should be validated against the registered users in the system. Log in page should have username, Password fields to receive username and password and should have login and reset button. Password must be encrypted. Username and password cannot be blank. If the username and password not exists in the system, application should show proper error message. Conclusion This document illustrates the functional specification of the Finances Online. It is a system which is used to maintain and control university/college finance.
