Charts

 Charts are graphical figures of data in a worksheet. You


can build a chart automatically based on existing data.
This chart can then be moved, resized and deleted without
affecting your data. Charts do not appear within a specific
cell, but rather appear over other cells. When creating a
chart, there are some basic rules to keep in mind to make
the process easier.
Rules on Making Charts

There are seven basic rules for creating charts in MS Excel. Following these
rules can help you make a chart easily by reducing the steps for creating it. Once
the chart is prepared, you can modify it to your preference.

RULE DESCRIPTION

RULE 1 A chart title is automatically added to your chart based on the first row of selected
information. The chart title, however, can be added anytime you want

RULE 2 A chart subtitle is not automatically added to your chart based on the second row of
selected information. A subtitle can be added after the chart is created.

RULE 3 Blank rows and columns in your information are not ignored.
Rules on Making Charts
RULE DESCRIPTION

RULE 4 If the data contains more rows than columns, the data will be plotted by column.
The first column becomes the x-axis labels; the balance of the columns are the
data series. The first row becomes the legend’s labels.
RULE 5 If the data contains more columns than rows, the data by will be plotted by row.
The first row becomes the x-axis labels; the balance of the rows are the data
series.

RULE 6 If the data contains an equal number of rows and columns, the data will be plotted
by rows by default. You will then have the option to plot by columns.

RULE 7 If only numeric data is selected, rules 4 and 5 are followed.


Bad data sample

in the data series create
blank spaces in the chart.
In addition, the lack of row
labels makes it difficult for
readers to understand the
chart because no labels
appear on the legend to
guide them.
Good data Sample

 In the following
example, notice that
no blank spaces
exist in the data
series, so no empty
spaces exist in the
chart. Also, the
added row labels
have made the
legend much easier
Steps to insert a chart for the
data
 1.) Select the reference of the chart
2.) Go to Insert Tab
3.) In CHART group, Select the chart you
want to insert
4.) To move the chart, right click on the
chart inserted
5.) Then select, MOVE CHART NEWSHEET

Different Types of Charts
1.) Column Chart

It charts and compare values to


catergories using a series of vertical
columns to illustrate the series.
2.) Bar Graph

Like, column charts, it compares


values to categories, but use a
series of Horizontal bars to
illustrate the series.
3.) Line graph

Similar to bar charts but use dots to


represent the data points and lines
to connect the data points.
4.) Pie Chart

This Chart compares parts to a


whole. Usually a pie chart only has
one data series.
5.) Area

This displays the


trend of each
value, usually over
a specified period
of time.
6.) X-Y Scatter

This includes two value


axes, one showing a
set of numerical data
along the x-axis and
the other showing data
along the y-axis.
7.) Surface

This Shows
trends in values
in a continuous
curve.
8.) Doughnut

 Thisdisplays data similarly to a pie chart; it


compares parts to a whole, but contains multiple
series.
