Conceptual Design
Documentation
 Documentation is any communicable
material that is used to describe, explain
or instruct regarding some attributes of an
object, system or procedure, such as its
parts, assembly, installation, maintenance
and use.
Documentation, cont.
 The documentation of the conceptual
design involves :
1. Overall system flow.
2. System Inputs.
3. System Outputs.
4. Other documentation like activity sheet and
system description,etc.
Report Preparation
 Having documented the conceptual design, the next step is to
get an approval of the management(users)so as to start the
detailed design activity.
 A proposal giving the cost to be incurred and possible
organizational changes is prepared for the management.
 The report prepared should mention the :
 Problem
 Objectives
 Overall view of system
 Time
 Resources required for developing and implementing the system.
The report submitted is reviewed by the top management of the
organisation.If approved, the detailed system design activityis
undertaken.

 Need for Information :
Identify the users and application of the
information for the information for achieving the
objectives.
 Define the System :
To decide the nature, type of the system and its
scope and also helps to determine the system
ownership, its benefits and complexity.

 Feasibility :
Technical : Hardware and software availability and
capability for implementation.
Economic : Study the investment and benefits.Assess
the improvement in value of the information.Determine
the return on investment.
Operational : Examine whether the system will perform
as desired in terms of time and results.Are the users
ready to use the system?

 Detailing the requirements :
Study the sources of generating the information.
Establishing I/O linkages. Modify the existing
system to satisfy the needs.
 Conceptual System Design :
Determine the inputs, process and outputs, and
design a conceptual model.

 Detailing the System Design :
Draw the document flow charts and dataflow diagrams it
helps in bringing a clarity in the dataflow. The
responsibility centres and the process centres are
identified.
 Structuring the system Design :
Breaks the system into its hierarchical structure which
helps in understanding the dataflow from one level to the
other and the processes carried out at each level.

 Conceptual model of computer system :
Define step by step the usage of files, processes and
interface,it helps to put down the data processing flow in
the computerised system.
 Break the system in programme modules :
Modules will be data entry, data validation, data
processing, reporting and storing.

 Develop the test data for checking the system
ability :
Confirms whether the system design is
satisfactory. Suggests the modifications.
 Install the System :
Install, test and run the system before the
user is exposed in a live mode.

 Implementation :
Train the personnel. Run the system in parallel.
Prepare a system manual which helps to identify the
problems and provide solutions.
 Review and Maintenance :
Review the system through audit trial and test data,
also confirm whether the objective is fulfilled. It helps
to maintain the system quality and quality of
information through modification.
