Define Project Scope

• Product scope – “the

features and functions that
characterise a product,
service, or result.”
• Project Scope refers to all
the work involved in
creating the outcomes or
deliverables of the project.

Define Project Scope

Steps in defining project scope:

1. Collect Requirements
2. Write Project Scope Statement
3. Establish Project Priorities
4. Create WBS - Work
Breakdown Structure
5. Perform Integrated Change
Control

Collect Requirements

1. Collect Requirements
– The process of understanding
and documenting stakeholders’
needs to meet the project
objectives.
– Make sure the project team is
absolutely clear on the project
objectives.

2020 T2 Compiled by: Dr Nalin Sharda 8

Collect Requirements

Use Voice of the

Customer techniques
(VoC)
– Ask questions
– Place yourself in the
customer’s situation

Collect Requirements

• Requirements Matrix

Statement
2. The process of developing a detailed

product/outcome

Write Project Scope
Statement

Write Project Scope
Statement

Purpose of Project Scope Statement:

– To clearly define the deliverables for the customer
– To focus on successful completion of project goals
– To be used by project manager as a planning tool
and measuring project success.

Establish Project
Priorities
3.Establish Project Priorities
– Understand the trade-off of
each criterion in relation to
shift in Cost, Time and Scope
– Managing the priority of
each trade-off
• Constrain
• Enhance
• Accept

2020 T2 Compiled by: Dr Nalin Sharda 14

Establish Project
Priorities
Triple Constraint

Establish Project
Priorities

2020 T2 Compiled by: Dr Nalin Sharda 16

Establish Project
Priorities
• As a PM, you need to be
aware of all changes that
will impact cost, time,
and scope.
• The triple constraint
represents key elements
of a project that, when
balanced well, lead to
success.

Group Exercise
There are many tasks involved in
planning a wedding, like:
• Shop for shoes
• Create guest list
• Have the tailoring and fitting
done
• Shop for dress
• Find caterer
• Cater the wedding
• Wait for RSVPs
• Mail the invitations
• Finalise the menu
• Print the invitations
• Choose the bouquet

Create Work Breakdown
Structure (WBS)
4. Create Work Breakdown Structure (WBS)
What is Work Breakdown Structure?
– A project management technique for defining and
organising the total scope of a project, using a hierarchical
tree structure
– Defines the relationship of the main deliverable (of the
project) to its sub-deliverable, and in turn their relationship
to the overall project.
– A framework used as a basis for further planning, execution,
and control

Create Work Breakdown
Structure (WBS)

Create Work Breakdown
Structure (WBS)
Why is the WBS Important?
– Adds discipline and visibility to
project planning
– Basis for planning schedule,
resources, cost, quality, and risk
– Useful in determining where
and why problems occur
– Defines communication
channels and assists in
coordination.
2020 T2 Compiled by: Dr Nalin Sharda 21
Create Work Breakdown
Structure (WBS)
• Who could be involved in
developing WBS?
– Project Manager
– Project Management
team
– Project team
– Subject matter experts
– All the identified
stakeholders

2020 T2 Compiled by: Dr Nalin Sharda 22

Create Work Breakdown
Structure (WBS)
• Break work process into small components
– allows accurate estimating for the time and cost
required for its completion
• Name the component
– The component name should adequately describe the
task to be completed. Use the noun-verb format.
Examples:
• Document User Manual
• Install Network Routers
• Review Project Charter

2020 T2 Compiled by: Dr Nalin Sharda 23

Create Work Breakdown
Structure (WBS)
Each WBS Component when
completed should contain the
following four items:
1. The scope of work, including any
deliverables or milestones.
2. The beginning and end dates for
the scope of work.
3. The resource (name of the
person/material/equipment)
responsible for the scope of work.
4. The budget (cost) for the scope of
work.

Establish Change
Control

5. Establish Change Control

– Document potential changes
• Change request – a request
to expand/reduce the
project scope, modify
policies, processes, plans,
or procedure, modify costs
or budgets, or revise
schedules.
– Every change must be formally
proposed

Conclusions
• Planning the Project Scope is vital for a successful completion of
any project.
• To define the Project Scope, one must get project requirements
that are traceable, clear, and measurable.
• These requirements should be allocated Priorities
• Triple Constraint of Scope, Cost, and Time determine the quality of
the project outputs.
• Project Work Breakdown Structure (WBS) is obtained by a step-by-
step hierarchical decomposition of the deliverables.
• To perform Integrated Change Control all requests for change
should be documented and analysed for time cost and scope.
• Project success happens by good planning, execution and
relationship building.
