1. Routine Reports These report are also called record or periodic reports
because they are presented for a certain interval or period of time such as
hourly, daily, weekly, monthly, or annually.
Having no definite format, they may come in several forms: letter,
memo, or essay. Blank forms to be filled out with numbers, check marks, and
other figures about sales volume, shipment deliveries, accounts payable, and
personal data, are likewise used for this type of business report.

2. Special Reports
These are reports resulting from an analysis, investigation, or examination of
something to determine a future course of action. There is no specific or regular
period of time for the presentation because the time and purpose of the
preparation of these reports depend in the need of the individual or the company
requesting the report.
Types of Special Report

A. Progress Report. As the name implies, this report shows progress or


accomplishments at a given period of time or stage of an assignment. This is
done by comparing two past records of accomplishments. What makes a
progress report different from a record report is that the former presents progress
or development of a project while the latter just gives a factual information with
no suggestions or recommendations for improvement.
The contents of a progress report come in this
order.

1. State the purpose and the nature of the progress report.


2. Give background of what was completed.
3. Explain the present status of the work as regards manpower, working
procedures, and workplace.
4. Exchange ideas about future activities.
5. Give target date for the completion of the work.
b. Conference report

Contact report is the other name of this report. This is done when there is a need
to present in a chronological order a summary of personal sales and of call
conference between a company employee and client, like a phone call between a
collection officer and a client.
c. Proposal Report.

This is a special report that presents something for special consideration. An


individual or an organization may prepare this kind or report, and may present it
in an a written way.
An effective writer of a proposal report is like a gambler who is susceptible to a
risk of losing a big amount of money. This is so because this type of a business
report aims at suggesting an idea or a solution to a problem, but, it is possible
that despite the extensive time, money, and effort spent by the writer in preparing
this solution, the reader may still turn down the proposal.
Types of Proposal Report
1. External proposals. These are proposal that go outside a company or an
organization.
2. Internal proposals. If the proposals are prepared for customers within the
company or organization, they will be called internal proposal
3. Solicited proposals. These are written in response to RFP (request for proposal)
and are presented in a face-to-face interview, telephone conversation or letter writing.
4. Unsolicited proposals. Proposal voluntary prepared for any prospective customer
are unsolicited.
Types of Proposal Report
5. Informal proposals. Just like the solicited/unsolicited proposals that can either
be internal or external proposals, informal proposal fall under any of these latter
groups of proposal that may take the form of a letter or a memo.
d. Audit Report

This is a report to verify an accountant’s inspection of a firm’s financial record.


This is the most standardized of all reports because it requires the writer to use a
standardized statement of verification.

e. Technical Report
This is a report about a high specialized field such as Engineering, Science, or
Technology. Special knowledge about a subject matter in these fields is the
number one requisite in the preparation of this report.
f. Investigative Report or Information Report

This is a kind of report that mainly presents data or information about a certain
situation. It does not give any interpretation or recommendation about the case.
Similar to the other special reports, it presents its parts in order:
1. Ideas
2. Body
3. Summary
g. Compliance Report

Officers of the government in the national or local required to submit reports about
their implementation of laws, rules, or regulations governing their official duties.
These reports are called compliance report which can be presented in a letter, a
memo, or a prepared form. The following are the contents of these kinds of special
reports:
1. Gainful or frustrating effects of the application of some laws.
2. Revenue collections or losses
3. Adoption of safety measures needed in their accupation
h. Minutes

Serving as officials records, these types of a special reports help those present in
the meeting remember what exactly occurred in the proceedings. And, for those
who where absent, the minutes act as their informant of things they missed in the
meeting.

These are the everyday working report s that contain routine information vital to
the operation of an organization. Only two important parts are included: the Body
and the and the Conclusion or Recommendation. Since a short report follows a
direct order, its beginning states the most important information. Central to the
effectiveness of a short report is the application of conciseness, accuracy, and
objectiveness. Time is gold for most businessmen; hence, avoid using detailed
introduction, elaborate headings, numerous transitions, and abundant visuals.
The forms of business reports may be in a letter or memo form.
