Steps to making a call formally
After picking up the phone, you can start and make a call. To avoid misunderstandings
between each other especially in business calls, here we show several ways that can be used
in making a call :
1. First, you should always start with hello and introducing yourself.
2. Asking for somebody.
3. Reason for calling.
4. Asking for information.
Introduce

To making a call, you should always start with hello and introducing yourself. You
can say “This is (Name) from (Company).”

• Hello, this is cahyo from Police


Department

• etc.
Asking for Somebody

This way is used to ask someone you want to call. You can say “May I speak to (their
name)?”, “I’d like to speak to (their name), please?”, “Is (name) there?”, and “Is
(name) available?”

• May I speak to Varrel? • Is Joko available?

• I’d like to speak to Rizky, please?

• Is Fajar there?
Reason for calling

This way is used to give the reason why you called the person. You can say “I’m
calling to ask about …”, “I’m calling to discuss …”, “I’m calling to clarify …”, “I
just wanted to ask..”

• I’m calling to ask about product information. • I just wanted to ask about
product license.
• I’m calling to discuss prices.

• I’m calling to clarify about the business agreement.


Asking for Information

After you have told the purpose of your call. ask the question you want to convey.
You can say “Could you tell me…”

• Could you tell me about how to order


products from your company?

• etc.

Steps to ending a call formally
One thing you want to avoid is just sunddenly saying good bye. To end a business call
professionally, there are three simple steps to follow :
1. First, you signal that you want to end .
2. Secondly , you review your action point , and
3. Finally you say goodbye.
Signal

Singnaling that you want to end a call often starts with a word like : "well" , "so", or
"okay". These word show that you want to change the subjek.

• Well, I should probably get going.

• It’s been great to chat.

• So, thank’s for all the infomation.


Reviewing

The second step in ending a call is reviewing the actions you've discussed.

• So, I'll send you that file tomorrow.

• Allright, so we’ll be chatting again next week, right?

• I’ll look out for your email today.


Say Goodbye

There are many ways to say goodbye in English. You can wish some want a
"greatday" or a "good weekend" , or a "good luck" with somethings. And we often
say "take care " or mention went we'll talk again/

• Have a great day, bye now.

• Take care, Amy, we’ll talk again soon

• Allright then have a good weekend.
