What is Microsoft Excel
● Microsoft Excel is a spreadsheet
developed by Microsoft for Windows,
macOS, Android and iOS. It features
calculation, graphing tools, pivot
tables, and a macro programming
language called Visual Basic for
Applications.

Cells, Columns and Rows
A worksheet is made of rows and columns
that intersect each other to form cells where
data is entered. It is capable of performing
multiple tasks like calculations, data
analysis, and integrating data.

In Excel worksheet, rows are represented by


numbers and columns by alphabets.

Ribbon

Customize Ribbon
We can customize the Ribbon by creating our
own tabs with whichever commands we want.
Commands are always housed within a group,
and we can create as many groups as we want
to keep our tab organized. If we want, we can
even add commands to any of the default tabs,
as long as we create a custom group in the tab.

Formula Bar
In the formula bar, we can enter or edit data, a formula,
or a function that will occur in a specific cell. It allows
to write the function and formulas to manipulate the
data.

In the image below, cell C1 is selected, and 2000 is


entered into the formula bar. Note how the data
contains in both the formula bar and in cell C1.

Name Box
The Name box presents the location or
"name" of a selected cell.

In the image below, cell B4 is selected.


Noted that cell B4 is where column B and
row 4 intersect.

Worksheet Views
Excel 2016 has a variety of displaying
options that change how our workbook is
showed. We can choose to view any
workbook in the Normal view, Page Layout
view, or Page Break view. These views can
be useful for several tasks, especially if
we're planning to print the spreadsheet.

To change the worksheet views, locate and


choose the desired worksheet view
command in the bottom-right corner of the
Excel window.

Zoom Controls
To use a Zoom control, click and drag the
slider. The number to the right of the slider
reverse the zoom percentage. It presents at
the bottom right corner of the Excel
worksheet.

Workbook
In Excel, when we create a new document, we always select a blank workbook, as you already have done
in the previous chapter. When this blank workbook opens up, an interface you see is called a workbook
window.

This workbook window contains several essential components. Most importantly, rows and columns
that together create cells.

In other words, an interface that you see when opening a new or existing document in Excel is called
workbook window and that Excel file is called workbook.

Worksheet
Excel files are known as workbooks. Each
workbook holds one or more worksheets
(also called a "spreadsheetsx").

Whenever we create a new Excel workbook,


it will include one worksheet named Sheet1.
A worksheet is a framework of columns and
rows where columns are identified by
letters running across the top of worksheet,
and rows are identified by numbers running
down the left side of the worksheet.

Opening a Workbook
● Create a workbook

● Open Excel.

● Select Blank workbook.

● Or press Ctrl+N.

Enter Data
To manually enter data:

● Select an empty cell, such as A1, and then type


text or a number.

● Press Enter or Tab to move to the next cell.

To fill data in a series:

● Enter the beginning of the series in two cells:


such as Jan and Feb; or 2014 and 2015.

● Select the two cells containing the series, and


then drag the fill handle Fill handle across or
down the cells.

● Create a workbook

● Open Excel.

● Press File

Compatibility Mode
We may have existing Excel files created in
an older version of Microsoft Excel, such as
Excel 2003 or Excel 2000. Sometimes, we
need to work with those workbooks to make
some changes in them. When we open
these kinds of workbooks, they will occur in
Compatibility mode.

Compatibility mode disables certain


features. For example, if we open a
workbook created in Excel 2003, we can only
use those tabs and commands that were
available in Excel 2003.Hence, we can only
access commands found in the program
that was used to create the workbook.

Recent Files
You will be able to see the recent files in the
Microsoft Excel page.

Saving and Sharing Workbooks
Save a workbook to OneDrive to access it
from different devices and share and
collaborate with others.

● Select File > Save As.

● For work or school, select


OneDrive - <Company name>.

● For personal files, select


OneDrive - Personal.

● Enter a file name and select Save.

You may need to sign in to your account.

Microsoft Excel Online
MS Excel online or Microsoft Excel online is
an upgraded version of MS Excel and comes
included with the Office 365 package. As the
name suggests, it works online and allows
users to save the data on the cloud (namely
OneDrive). Although the online version is
not as powerful as the MS Excel desktop
version, it has all the basic features required
for the spreadsheet. MS Excel Online is
much similar to Google Sheets, rather than
the desktop version of MS Excel.
