INTRODUCTION

This is the internship report of Aditya Birla Fashion and Retail Ltd, where I gained
valuable knowledge about financial work. I would like to express my gratitude to
the Zonal Head, Mr. Vishal Jaiswal, as well as Mr. Heymahun Salim and Mr. Tabrez
Shams, who has provided me with significant help and guidance for each task.

During my internship, my project focused on Sales and Operation Costs, Budget


Occupancy, Ledger Reconciliation, Mis Electricity Bills, Compliances, Vendor
Reconciliation, and Commercial Audit. I was responsible for explaining and
presenting the tasks assigned to me by my mentor, gaining valuable insights into
the complexities and dynamics of the fashion and retail sector.

ABOUT PANTALOONS

Pantaloons is among India’s largest chain of fashion stores.


Pantaloons fresh fashion, with its focus on “fresh look’ Feel & Attitude”
All stores have a wide variety of categories like casual wear, ethnic wear, formal,
party wear & sportswear for men, women & kids.
Pantaloons fresh fashion stands out as a fashion trendsetter, on the lines of how
fashion followed internationally
 Men’s wear sale is off 40%, kids wear 11%, western 15% Ethnic wear 17 %
women wear  17%.

FIRST PROJECT SALES AND OPERATIONAL COST

We received our first project from Mr. Heymuhain Salim, the manager of Aditya
Birla Fashion and Retail Ltd. He assigned us a task from the Management
Information System (MIS), where our focus was on sales and operational costs
(SALEX). In this project, we assisted him in creating the budget for the
upcoming year by extracting man-days data via SAP from all the stores in the
eastern zone. Subsequently, we entered the man-days figures into
the Excel Tracker.

SALES AND OPERATIONAL COST

The cost of sales measures expenses that contribute to the production of a product or


service, whereas operating expenses measure how much a company spends on overhead
costs. The cost of sales directly impacts a service or product, whereas operating expenses
support the overall business.

Why are operating expenses important in implementing cost controls-: In times of financial


difficulty, operating expenses can become an important focus of management when
implementing cost controls. Operating expenses include costs that are incurred even when
no sales are generated, such as advertising costs, rent, interest payments on debt, and
administrative salaries.

SECOND PROJECT ON OCCUPANCY OF BUDGET

We received our second project from Mr. Tabrez Shams, the Senior Executive of
Aditya Birla Fashion and Retail Ltd. He assigned us a task related to the
Occupancy Certificate, which is part of the Budget. Our work involved finding
the Rent amount, Lock-in Period, Validity of the Agreement, and Rent Amount
of the Common Area Measurement, as stated in the agreement paper. We
thoroughly examined the agreement papers of several stores in the eastern
zone and recorded all this information in the Excel tracker.

THIRD PROJECT ON LEDGER RECONCILIATION

We received our third project from Mr. Tabrez Shams, the Senior Executive of
Aditya Birla Fashion and Retail Ltd. He assigned us a task on ledger
reconciliation. Our work involved matching the amounts in our company's
ledger with the vendor ledger and verifying whether the debit and credit
amounts matched or not. Based on this, we recorded remarks on
an Excel tracker.

LEDGER RECONCILIATION


What is Reconciliation in Accounting-:
Reconciliation is an accounting process that compares two sets of records to check that figures are correct and in
agreement. Reconciliation also confirms that accounts in the general ledger are consistent, accurate, and complete.
However, reconciliation can also be used for personal purposes in addition to business purposes.


How does a General ledger work -:
The same transaction gets written down in another book called the “general ledger,” which keeps a running balance
of every account. Say it’s 1999, and your business receives an Rs. 500 utility bill. You’d open up the general journal and
record a journal entry: Then, you’d open the general ledger to update the affected account balances.

FOURTH PROJECT ON ELECTRICITY BILL

We received our fourth project from Mr. Heymuhain Salim, the manager of
Aditya Birla Fashion and Retail Ltd. He assigned us a task from the Management
Information System (MIS), where our work was to review the electricity bills. In
this project, we entered the data (electricity amount, rate per unit, before tax
amount) into the Excel tracker for each store in the Eastern Zone for the months
of April, May, and June, sourced from SAP.

FIFTH PROJECT ON COMPLIANCE

We received our fifth project from Mr. Vishal Jaiswal, the Zonal Manager of
Aditya Birla Fashion and Retail Ltd. He assigned us the task of compliance.
Compliance involves handling the necessary documents required for every
organization to operate their business smoothly. Our work was to verify that all
stores in the eastern zone have the essential documents in place, such as Trade
License, 365-day operation permit, Contract Labor Regulation and Abolition Act
compliance, and Weight and Measurement accuracy. We checked the
correctness of these documents and also verified their validity as per the
agreements. The information was recorded in the Excel Tracker.

TRADE LICENCE
A trade license is a document/certificate that gives permission to the applicant (person seeking to
open a business) to commence a particular trade or business in a particular area/location. It ensured
that the business or trade is carried by adhering to all the standards of safety as issued by the State
Municipal Corporation.
Why Trade License is Important-:
Any establishment or business would require a license to operate. Hence it is mandatory to secure a
trade license for a particular business. The state government usually issues trade Licenses. Any
individual having a trade license can carry out the operations of a business without any disruptions.
The validity of the Trade License is for 1 year and can be renewed every year.
The certificate can be renewed between Jan 1 Jan to March 31 st.
The applicant needs to submit the renewal application within 30 days from the date of expiry of the
trade license certificate.

FIRE NOC

A Fire NOC (No Objection Certificate) License, also referred to as a Fire Safety Certificate, is a
crucial document issued by the local fire department or the appropriate regulatory authority.

Why Fire NOC is Important?


Obtaining a Fire NOC is particularly crucial for commercial establishments, industrial units,
educational institutions, hospitals, hotels, malls, and other high-occupancy buildings. It
demonstrates the property owner’s commitment to fire safety and helps mitigate potential
risks to the lives of occupants and the surrounding community.

It depends on the state but the Fire Noc certificate’s maximum validity is 5 years.

CONTRACT LABOUR REGULATION AND ABOLITION

CLRA or Contract Labor Regulation Act 1970 is a specific law and act that regulates the
outsourced employees of your workforce. It provides the guideline based on which the industry
regulates the terms and conditions for the labor which are used by an outsourced contractor in
any specific Industry.

Why CLRA Act is Important?


One of the key objectives of the CLRA Act is the abolition of contract labor in certain circumstances.
The Act provides for the abolition of contract labor in any establishment where the work being
carried out is perennial in nature and requires the employment of workers on a regular basis.

WEIGHT AND MEASUREMENT
The Legal Metrology Act, 2009 was enacted on 1-4-2011 with the intent of establishing
weights and measures standards, regulating trade and commerce in weights and measures
and other commodities sold or distributed by weight, measure, or number, and for matters
connected with or incidental thereto. To govern weights and measure trade and commerce.

Why is legal metrology important?


The work performed by Legal Metrology, therefore, is vital to the public interest. Director, Legal
Metrology is a statutory authority with powers and responsibilities prescribed under the Legal
Metrology Act, 2009 relating to inter-state trade and commerce of weights and measures
including pre-packaged commodities.

SIXTH PROJECT ON RECONCILIATION

We received our last project from Mr. Tabrez Shams, the Senior Executive of
Aditya Birla Fashion and Retail Ltd. He assigned us a task on Tender
Reconciliation. Our work involved reviewing all the jumbled entries from the
stores in the eastern zone during the months of April and May. We checked for
any discrepancies in the jumbled entries and determined their correctness. Based
on this analysis, we created a report on an Excel sheet. The report was reviewed
by Mr. Tabrez, sir.
