 Standard Operation Procedure of Procurement

 Combine Purchase Request file is given by Inventory.

 For each order, look for factory balance, ylist, order processing list, old sale record, Chinese item name, factory, in the Y-
list file and make a new order file.
 Check if there is already enough factory stock/on the way and order processing items. Report any problem to Aunty Ohn/
Ma Chit Phyo Khaing.
 Talk to the factory. Ask for price and production period.
 If there is an increase in price, report the price to price group if it cannot be lowered.
 If order is duplicated or having factory issue, report that to Offer Info group.
 If there is any change in an item factory produces, compare old item and new item (parameter, picture, price ) and report
that to price group.
 If an item is no longer in production, report that to Offer Info group.
 If a deal is agreed, make a contract with the supplier. Record the contract information in Group order file.
 And send list to လို င်စင်လျောက်ရန် group to apply license.
 If an order is cancelled, record it in Cancel file with a remark as to why it is cancelled.
 Send Cancel file to Offer and Purchases group every Friday.
 Tell factory what to put on the nameplate of an item and outside the packing.
 Just before an item is delivered, ask factory to take pictures of the item, nameplate, and packing. Also ask for weight and
volume.
 After stock received and if the stock number is mismatch or item is wrong, need to make connection with factory and
make correction.
