Exporting as an Handout (1/2)
• Handouts : A document that the presenter hands out to the
participants as a supporting document (slides and notes) for
the presentation
• What can we do with the Handout file?
• Edit and format the content of slides using MS Word
• Automatically update the handout when the slide
content was changed

Creating handouts :
1. When slides finished, File  Export  Create Handouts
2. Select the page layout for the handouts in MS Word

Editing Handouts (1/2)
• Example of handouts
• To edit the handouts in MS Word
1. Created by Paste option (Without update, manually
edit) :
i. Double-click the required slide
ii. Point the cursor to the object (text, graphic,..) to edit
iii. Edit the content and save changes right away in MS Word

2. Created by Paste link option (With update) :
i. Double-click the required slide
ii. MS PowerPoint is launched  Edit the content as usual 
Save changes
iii. The changes will reflect to the handouts in MS Word

Exporting to a pdf file (1/2)
• PDF (Portable Document File) :
• A document file type that can preserve layouts, formats,
graphics
• Can be viewed by different computer platforms (Linux,
Windows, Mac)
• To export a pdf file :
When slides finished, File  Export  Create PDF/XPS 
Select file type PDF

• A file format for fixed-layout document developed by 9

Printing Out Slides (1/2)
• Export the slides to the connected printer or the MS Print to
PDF
• To print file : File  Print and select the necessary settings
1. Select the slide(s) for printing
2. Select the layout of printing or the handouts format

3. Select the color style for printing
• Color – Print color objects using combination of
primary colors
• Grayscale – Black (0), white (255), and gray
color ranges between 0-255
• Pure Black and White – Only 2 levels of color;
black (0) and white (1)
Collate – Print a complete set of pages
4. For printing out multiple copies of to
before proceeding documents
the next set:
Uncollated – Print the first page for each
copy then proceed with the second page

Sharing Slides

Sharing works with others
• A presentation file can be shared to people/ co-workers –
View only or Edit function
• The sharing person must have an Outlook account to use this
function
• File  Share  Share With People, log-in and follow the steps
to save the file to OneDrive
• Enter e-mail addresses of co-workers in Invite people dialog
box  Click Share
• In case of sharing the file via a link, click Get a sharing link 
Edit link and View-only link appear  Copy the right one to
co-workers
