Chemical Safety - Hazard Communication
• Employees must understand potential hazards of any chemicals they are using. Laws protect
employees to ensure hazards are known.

• The material Safety Data Sheet (now referred to as SDS) has all available chemical information
including labeling, physical hazards, health hazards, chemical composition, shipping instructions, and
disposal instructions. New Global Harmonizing Standard has commonized SDS format across
countries.

• All SDS’s can now be accessed via the Sphera Chemical Management System on the ePortal for all
VLS locations.

• Major changes to process include:

• Any new chemical must be approved in this system prior to bringing onsite.
• Labels on secondary containers (squeeze bottles, etc) must have contents, manufacturer, and
primary hazard symbols

Searching for an SDS
• To search for an SDS, you can use any of the following methods:
• QuickSearch: From any page in Chemical Management, enter one or more keywords (such
as a material name, manufacturer, and CAS number) to find the SDSs that match these
keywords. This search can be focused on your facility or expanded to include additional
catalogs (if you have appropriate permissions).

• Material Properties Search: Search SDSs by a specific property, such as a certain health
hazard or GHS pictogram.

• Advanced Search: Use a comprehensive search form to find SDSs that match multiple
search criteria.

• SDS Ledger: Browse the full ledger of available SDSs.

Request a New Material
• Before a new material can be purchased and brought on site, you must submit a request to get it
approved. This action is local to a specific facility, and cannot be done at the corporate level.

• Complete the following required fields:

• Requester's Name: The name of the user submitting the request. This defaults to the user name of
the person currently signed in.
• Requester's Email: The email address of the user submitting the request. This defaults to the email
of the person currently signed in.
• Material Name: The name of the material being requested.
• Manufacturer name: The name of the company that manufacturers the material.

• Add any comments or additional information about the request, if needed.

• The form is saved and submitted to the appropriate reviewers for evaluation.

Chemical Inventory Tracking
• EHS leaders need a detailed overview of material quantities and usage for regulatory
reporting. Chemical Management Chemical Inventory Tracking meets this need by
providing users the ability to know what is onsite and how much is used in each process,
waste stream and chemical area. In addition to its current labeling functionality, new
enhancements deliver the ability to print 1x3 and 2x3 roll printer labels and sheet labels in
diverse formats. When generating a label, users can choose to include Material Name, Lot
Number, Responsible Party, Barcode, GHS Pictograms, Expiration Date and Date Received.
Users can also save time and drive consistency by configuring default CIT labels per facility.
This labeling enhancement provides flexible options to help track materials and provide
data visibility for all.

Reports
• Reports enables Administrative Users the ability to Print Data
Reports based on Indexed information obtained from the SDS.

• Report functions can include:

• Audit Reports
• Chemical Area Reports
• Binders (offline SDS backup)
• GHS Audit Reports
• Ingredient Reports
• ETC…

New Plants
• For all new plants that would need to be added to Sphera, we will
need a list of all of the chemicals at the plant.

• Be sure to include both Production and Non Production chemicals.

• We are charged a specific price per Safety Data Sheet, so we would

have to have an exact number to get a quote from Sphera.

• Once all plants have been added to Sphera, we will have an in

depth training on how to use the system.
