What is Project Scope Management?

Project scope is a component of project implementation that helps


determine goals, constraints, workflow management strategies, tasks, and
deliverables.

Project scope management refers to the set of processes that ensure the
scope of a project is accurately defined and mapped. It must include all the
essential project information, not anything else in order to complete the
project on time
Importance of Project Scope Management?

A well-defined project scope management helps avoid common


issues like:

• Constantly changing requirements


• Pivoting the project direction when you are already mid-way
• Realizing that the final outcome isn’t what was expected
• Going over the discussed budget
• Falling behind the project deadlines
How is Project Scope Defined?

The scope is defined by understanding the project requirements and the


client’s expectations. The scope statement usually contains:

• Product scope
• Project scope
• List of deliverables
• Acceptance criteria
• Project exclusions
• Limitations
• Assumptions
How is Project Scope Defined?
Product scope is about the product details; what the product will look
like, how it will work, its features, and more.

Project scope defines the requirements of the product and the work
required to create it. This also defines what is inside and outside of the
scope, which helps you avoid scope creep.

A deliverable is the end product that is delivered to clients upon


completion of the project. The scope management plan shall include the list
of deliverables to be given to clients along with the specifications and
standards they should meet.

Acceptance criteria refers to a set of predefined requirements that must
be met to mark a user story complete.

Exclusions are the elements that are excluded from the project. These
can include certain tasks, activities, or resources that are not necessary
for the successful completion of the project.

Limits are the boundaries that are set for a project. They define the
scope of the project and the resources that are available to complete it.
Limits can be set in terms of time, budget, scope, and other factors.

Project assumptions are the expectations and predictions that a team
assumes when they start a project.

Planning scope management- creating a scope plan document that you can
refer to in the later stages. The document mainly helps in defining,
managing, validating, and controlling the project’s scope.

Collecting Requirements - the next step is to work out stakeholder


requirements and expectations. You will be required to document all the
project requirements, expectations, budgets, and deliverables through
interviews, surveys, and focus groups.

Defining the scope- At this step, you need to turn your requirements into a
well-detailed description of the service or product that you are trying to
deliver through the project. You will then have a project scope statement
that you can then refer to throughout your project.

Making a project breakdown structure- A project breakdown structure is


a document that breaks down all the work which needs to be done in the
project and then assigns all the tasks to the team members. It lists the
deliverables that need to be completed and their respective deadlines as
well.

Validating scope- In this step, the scope and deliverables that you have
recorded need to be sent to project executives and stakeholders to get the
necessary approvals. Scope validation needs to be done before starting the
project to ensure that if something goes wrong then it is easy to find where
it went wrong..

Controlling scope- Project managers need to ensure that as the project


begins, it always stays within the defined scope. In case there are some
things that need to change, then the proper change control process should be
followed.

Understand the project – You must identify and understand the interests,
needs, and goals of the client and have a firm grasp on the objectives of the
project.
Identify the project requirements – In order to know what resources are
needed, you must identify the requirements to complete the project. You will
then need to assemble a team, define roles and allocate tasks.

Define milestones – In order to complete a project, you must define key


phases of a project or milestone. You must also define how to evaluate and
approve each phase/milestone.

Hire a qualified project manager – The best plan in the world will fall
apart if you do not have the right project manager. They should be adept at
managing a team, with a clear understanding of how to allocate tasks based
on the skills and personalities of each person.

Maintain communications – You must be able to communicate with the


stakeholders, the project manager, supervisors, contractors, and team
members to discuss issues and changes so that everyone remains on the
same page.

Identify team members’ strengths and weaknesses – Being aware of the
strengths and weaknesses of team members will make the team more
efficient so you can meet the project requirements.

Take advantage of management tools – There are many resources in


online project management software. These tools can be a centralized
platform to track, manage, share, and communicate with everyone involved
in the project.
Practice risk management – Managing potential risks is essential in order
to identify potential threats, and avoid mistakes and cost overruns that could
derail a project.

Test deliverables – In order to deliver a project successfully, you need to
develop tests at critical milestones. This will ensure the requirements of
each step have been met.
Evaluation of the project – After a project is complete, the project
manager should review and evaluate the various components of the project
and the project as a whole. The objective is to identify successes as well as
areas where improvements can be made to prevent mistakes on future
projects.
