Class Objectives

By the end of this class, you should be able to perform the following on Microsoft Excel:

1. Construct a formula and make use of a function.


2. Edits values formats including currency, number, dates and percentage (Data Clean-up)
3. Edits values format using conditional formatting and formulas (Data Analysis)
4. Work with column, rows and sheets - Insert, Rename, Resize, Delete, colour and hide and
unhide ( Data Clean-Up)
5. Sorting data in a table including custom sort, including Sort Function
6. Filtering Data – Number filter, Colour filter and customer filter including filter and unique
function.
7. Find and Replace
8. Work on the class activity.
Formula and Function – Intro

 Formula – typed in equation Function – predefined formula by excel.


 Formula = 6 + 3
 Function = sum(6;3)
 Basic Function – Sum, Autosum, Product, Sumproduct.
 Cell referencing – Making use of a cell value in a different cell.
 Absolute and Relative Referencing
 Absolute Ref = $E$1
 Absolute row = E$1
 Absolute column = $E1
Number Formats – Data Clean Up tool

 Currency should be formatted in South African rand unless stated otherwise, with two
decimal places.
 Number may be formatted as general or number.
 Date format may be yyyy/mm/dd or reverse. Short dates and Long dates.
 Day of the month may also be revealed in date format.
 One has a choice of full date (14-February 2024 Monday) or short date (14 – Feb-24
Mon) or (14/02/24)
 =Today() function that returns live date.
 =Now() function return live date and time.
 When converting a number into a percentage, excel multiplies it by 100.
Conditional Formatting – Data Analysis

 Formatting data based on a predefined condition.
 Includes –
 Number format – Greater/Lower Than, Contains, Between e.t.c
 Data bars – represent a number using a scale bar
 Colour Scale – format data based on different colours
 Icon sets – format data based on given icons
 Formula – define a formula to format your data
Editing Rows and Columns – Data Clean-

 Insert and delete a row or column
 Manually/Auto adjust the size of a row or column to fit data
 Hiding rows, columns and sheets
 Rename and colour tab
Sort and Filter – Data Analysis Tool

 Alphabetical sorting or numerical sorting – Organizing data to follow an alphabetic order


or numeric order
 Custom sort allows a user to define how they want to sort their data – Which data is at
the top and which data is at the bottom
 Sort function(=Sort()) may be used to sort as well.
 Filtering data includes temporarily hiding some data and only showing what you want to
work with at the moment.
 Filter option is on when there are drop-down arrows on the headers.
 Info is filtered when a filter icon appaers on the drop-down arrow.
 Filter by number or colour
 Filter function (filter()) may also be used to filter.
Find and Replace(Data Analysis and

 Replace may be used to modify and clean data.
