programs) used to track and store electronic documents. It is usually also capable of
keeping track of the different versions modified by different users (history tracking).

 Content Types
The term ‘content type’ within SharePoint refers to the classification of an item
(document, email, list entry) and associated with it a definition of:
1) Related metadata attributes (Business Unit, Asset, Author, Created Date,
Version etc.)
2) Retention policies (optional) (Automate review, archive, deletion etc.)
3) Workflows (optional)
4) Document Template (Office document template, contract, agreement etc.)

 Taxonomy is the vocabulary words that are controlled in each of these words has
a hierarchy (wider or narrower) and have the same word relationships (synonym).

The managed metadata service provides a mechanism to distribute collections of
‘terms’ or ‘tags’ – Terms sets provide more functionality to the user over traditional
drop down selection lists. Such as
1. Simple type ahead, as a user types a term the suggested options appear to the user.
Similar to how you get suggested search phrases when you search on Google.
2. Terms can be multiple synonyms allowing many ways to find the same term.

3. Term Browser. In addition to type ahead a user can browser a tree structure of
terms
4. Nested Terms. Terms can be grouped together to aid navigation
5. Terms can be distributed across all SharePoint farms ensuring content is being
described in a consistent way across the company.
6. Terms can act as ‘refiners’ within document library and search results.
